Central Library Mandi Bahau Din

Introduction:

Central library Mandi Bahau Din is situated in Distric Mandi Bahau Din near
Government degree college for boys. This library contains a huge collection of English and Urdu
litreature books. It also contains Magzines,Novels and amany other history book.

What is the need of the organization?

As the library contains many books of different catagories in it so, it is very difficult to
keep the records of all these books and the daily transactions so simple file-based system is not
completing the need of the organnization. Therefore, now it has become the need of the
organization to make a computerized system to keep the record of the books .This computerized
system can make the feasible environment concerning to the proceedings of the books.

System Planning:

The first step to create a database is to make a plan that serves both as a guide to be used
when implementing the database and as a specification for the database after it has been
implemented. The complexity and detail of a database design is state by the complexity and size
of the database application and also the users.

Mission statement :

To influence, store and modify the huge collection of books and add necessary data for
the Central library Mandi Bahau Din and books in well designed data based system.

Mission statement :

Our mission objective is to make a data base system to do the following objectives:

 To add, remove or modify data of library books and its members.


 To perform search on library books in a best way.
 To follow requests for new books.
 To order new books.
 To maintain data of employees and library members.
 To maintain data of borrowed books of libraries.
 To keep record of returning books.

System Definition:

This step describes the boundries and scope of database system in library management
system. According to the basic requirement by our user we had decided a scope for developing
database management system for the library.

The tools which we are using in it is MICROSOFT ACCESS.

User Interference for library Management system:

There are five main interfaces of our system.

 The DBA which would have security privileges also able to maintain and remove rights
given to others in any unsure condition.
 Second is the Librarian which is the operator for data entry. He can add, delete or
remove the data about the books and members that are conneceted to the organization.
 Third one is the head Librarian who is also the owner which is responsible for overall
activities taken place in the library.
 The last one is the member which can search the books of their relative interest and can
lend these books.

Requirements Collection :

A library database needs to store information related to its users workers, and the books etc.
Customers will provide their name, address, phone number, and dateof birth when signing up for
a library card. They will then be assigneda unique user name and ID number, plus a temporary
password that will have to be changed. We have different questions from our users and granted
them their role according to their specifications
Questions from the Chief Librarian:
What is the purpose of library?

The purpose of library is to provide books to the people for study purpose and keep track of
books

What kind of tasks does u perform?

I am responsible for overall responsible for the overall management of Library services,
collections, and resources, with particular emphasis on planning, coordinating, and supporting
the activities of the Library, and managing the resources allocated to it

What kind of information do you need?

I require the information about employees, books members and every type of fines regarding to
Library`s members and others.

How database can make easy for record keeping?

By using DBMS the record keeping becomes easy because data is centralized and data repetition
ends. Tracking of every book and every member becomes easy.

What reports do you generate?

I send the requests made by librarian to issue new books and that kind of material made by
librarian. And the reports of fine charged to members and polices and rules and regulation for
library. I also send reports that contain the changing to rules and data to database administrator.

What do u do and what is your job?

I am library database administrator and I maintain the data of library I also change the rules and
data that chief librarian defines and give access to members.
What is your access?

I can change the data, manipulate update and remove the data. In short I can do everything with
data with permission of chief librarian

What kind of reports does u generate?

I generate reports relating to books and members

Questions from the Librarian:

What is your job?

I can keep the record of books that has been issued and books that are in library. Member’s fine
is also maintained by at my side. I also send request to chief librarian for the new infrastructure
and request to change the rules.

What kind of access do you have?

I can enter, delete or modify the data about the books, members etc, Basically, I am data entry
operator

What is your job?

I can make the transaction of daily routine concern with the issuances and receives etc about the
books. I can also make and issue the library cards to our members.

DBMS Selection:

Having identified the role of DBMS as an application development tool and having
identified the major need of an application developer. We have a basis for making an intelligent
assessment of various DBMS approaches. Our intent here is not providing the final answer on
which database approach is best. What we shall do is briefly examined.

We used Microsoft ACCESS for developing a database FOR Central library Mandi Bahau Din
because of their low budgeting and also due to the LIBRARY data which is thus complex and
could easily handled by this software.
Development Stage
The development stage for this database system is as follows:
 System Model: D915PGN.
 System Manufacturer: Intel inside.
 Bios Version: 08.00.10.
 Processor: Intel Pentium 4 CPU 3.00GHz (2 CPUs).
 Memory: 1024MB Ram.
 DBMS: Microsoft ACCESS.
 Operating System: Microsoft Windows XP 07(Windows 7).
Advantages of this System:

This information system has many advantages. Some of them are given below:

 It is totally secure.
 It is easy to use by the naïve user.
 It has minimum data redundancy.
 No data duplication.
 It shows the summary of daily transactions in beautiful, easy and conveyable manners.
 It provides a very good interface for the end user.
 The daily transaction is done using this information system thus the daily record is
maintained and updated hence it provides the whole information to the owner on daily
basis

Operational Maintenance:

Operational maintenance is the care and minormaintenance of equipment using


procedures that do notrequire detailed technical knowledge of equipment’sor system’s function
and design. This category ofoperational maintenance normally consists ofinspecting, cleaning,
servicing, preserving, lubricating,and adjusting, as required. Such maintenance may alsoinclude
minor parts replacement that does not requirethe person performing the work to have highly
technicalskills or to perform internal alignment.As the term implies, operational maintenance,
isperformed by the operator of the equipment. Its purposeis threefold:
1. To make the operator aware of the stateof readiness of the equipment.
2. To reduce the delaysthat would occur if a qualified technician had to be calledevery time
simple adjustments were needed.
3. Torelease technicians for more complicated work.

We will repair and give up gradation services for the first year and will charge low prices for
next years to repair or upgrading the services. We will solve the problems within four days of
complaint.
