Steps to Setup Office 365 and Microsoft Team


Step 1: Go to the office 365 on clicking here. Following screen will
be appeared, enter your email Id provided by the college,
click on get started. Refer to Figure 1.

Step 2: Click on I’m a Teacher (Refer to Figure 2).

Step 3: In the Figure 3, the system ask for sign-in and click on
Sign in option. After Sign in OTP need to be entered.

Step 4: Create a new password for the Microsoft account. If already


signed up with Microsoft account, then login with your
official Email id credentials, refer Figure 4.

Note: If required, install Office 365 products to your system and it is free. Login with the
Microsoft credentials (email id provided by college, password created in previous step)

Steps for Installing Microsoft Team
Step 1: Download the Microsoft Team on clicking here. Click on
Download, depending on the platform. Refer Figure 5.

Step 2: Install the Teams software.

Step 3: Login with Office 365 credentials, email id provided by


college and password. Refer Figure 6.

Step 4: Click on the Create Team on the Microsoft Team software,
refer Figure 7.

Step 5: After clicking on the create team button select the class
option for creating a class (subject), refer Figure 8. Other
options like Personal Learning Community, Staff Meetings and
other administrative of activities, are also available that
can be used to create a new Teams respectively based on our
purpose.

Step 6: Enter the Team Name along with department, Semester, Section
and Subject with Code (Refer Figure 9).

Step 7: Add members (students) registered for the corresponding
subject with their official e-mail ID provided by the
college. Refer Figure 10.

Step 8: View the students (Team) added for the Subject. The same
procedure is followed to add the students (Team) for the
other subjects too. Click on the three dots adjacent to the
team title, drop down menu appears. You can manage the team,
add any missing student, and explore for other options too.

Conducting Classes in Team


Students must be informed with the date and time of the class
session or meeting [NO SESSION ID AND PASSWORD required] in prior.

Click on the icon shown in the following image to begin the meeting
(Refer Figure 12).

Microsoft Team Meeting platform can be as shown in the following
screen shot. Instruction to share the slide show, PPT or Open board,
to see list of students participating the session can be seen on the
right-side dialog box are shown in the Screen shot (Refer Figure
13).

How to Create Channels

In Microsoft Teams, a Team is a group of people who collaborate together, usually consisting of
the entire organization.

Meanwhile, Channels are segregated conversations, where each one can be dedicated to a
department, project or even a task.

Create a channel

Now that you’ve got a team set up, it’s time to add channels.

By default, Microsoft Teams creates a general channel for all team members.

To create additional channels, follow the steps below:

Step 1: Click on the three dots next to the Team you want to create a new channel in, and click
on the “Add channel” option. Refer Figure 14.

Step 2: In the pop-up window that appears, you can:

 Select a channel name.

 Add a channel description.

 Change privacy settings to allow access to every team member or only a select few
members.

Once you’re done with these settings, click on the “Add” button to create the channel. Refer
Figure 15-16.

How to Schedule Meetings

For meetings that need everyone’s presence, it’s best to schedule them in advance. This way,
people can clear their schedules for the meeting and sync it with their calendars.

Here’s how you can schedule meetings in Microsoft Teams:

Step 1: Select “Schedule a Meeting” (calendar icon) below the compose box.

Step 2: Go to “Calendar” on the left pane and click on “New meeting,” which is located at the
top right. Refer Figure 17-18.

Step 3: Once you’ve selected a time range in the calendar, a form will open to help you out.

Step 4: Add a title for the meeting, invite participants and add other details. The Scheduling
Assistant can help you check everyone’s availability.

Step 5: Hit “Save” to complete the process. An invite will automatically be sent to each
participant’s.

Additional Features of Microsoft Teams

Teams an excellent communication tool for remote as well as in-office teams:

1. Live events

Teams’ live events are broadcasts created for large audiences.

Unlike video conferences and calls, live events are a form of communication, where
audience interaction remains limited to only viewing the content you’re putting out.

With Microsoft Teams, you can:

 Host live events for upto 10,000 attendees

 Record live events for audiences to stream after the broadcast

 Allow limited access to the broadcast or make them public.

2. Instant Messaging

Since Microsoft Teams is a collaboration tool, it has an instant messaging feature to keep
the team connected.

It lets you:

 Have a quick group chat or hop on a video call.

 Move email replies from your Outlook inbox into a quick chat.

 Have informal conversations with gifs and stickers.
