3 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change
This Assessment is designed to assess competency in the following unit:

BSBINN601 Lead and manage organisational change

● Identify change requirements and opportunities
● Develop a change management strategy
● Implement a change management strategy.

Task One:
You are required to answer the following questions:
Activity 1

a) Why is it important to analyse an organisation’s objectives when identifying change

requirements or opportunities?

Reason to Analyse the Organisation’s Objectives in Change Opportunities

In order to determine whether a company needs changes, managers must analyze the organizational
objectives. These objectives or goals are presented through a strategic plan. The strategic plan gives
detailed information about desired outcomes for a certain amount of timeframe which is usually
more than five years and planned steps of achieving the strategy.

With the strategic plan, managers are able to see:

 The goals/objectives of the company, which establish the purpose of the company and its
basis of activities;
 The top-level strategies, which define what kind of are of business the company is in and
wants to be in;
 The competitive strategies to win its competitors /Cost or Differentiate/

After analyzing the organizational objectives, the findings will help to develop the required change
opportunities/requirements consulting with relevant stakeholders.

4 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change
b) Give three examples of the types of strategic change that may be required as a result of an
analysis of organisational objectives.

Types of Strategic Change

Generally, competitive advantage is the main aim of strategic change, which always looks for any
improvements to a company’s competitive situation.

The following are the number of types of strategic change:

1. Reconstruction – many companies move cost-effective competitive advantage into differentiation

to come up in a new level of competition. For instances, Intel, which is a technological company,
started differentiated itself from other computer making companies through its new brand
campaign ‘intel inside’ in 1991. /https://www.intel.com.au/

2. Adaptation – a change which can be adapted into current assumptions and take places
incrementally through initiative steps of aiming at changing the way of organizational operation

3. Evolution – which is transformational change needs to conduct gradually through various stages
and initiative ideas. It is possible to be planned or happened in an emergency.

c) Why should existing policies and practices be reviewed against strategic objectives?

Reasons on Why Policies and Practices be Reviewed

There might be still some changes need even after implementing a change successfully into the
organization. The reason is that there is still a risk to encounter with new steps or work processes.
To prevent such problems, managers need to put some controls over the organization. Such controls
may require to create new policies and procedures which makes the processes. Thus, the existing
policies and practices should be reviewed in the first hand to implement any changes.

5 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change
d) Imagine that an organization has a new strategic objective concerning the introduction of new
technology throughout the business which will affect all employees. Which types of policies
and practices may need to be reviewed in the light of this objective?

Policies and Practices to be Reviewed

When an organization introduce new technology to the business, the following policies and
procedures/ practices can be reviewed:

 Occupational health and safety – a new technology may bring a new way of coping with the
equipment;
 Staff training and qualifications – employees need to learn new methods or manuals about
technology;
 Admission and discharge – it may require new admission or discharge;
 Arrangements for outings and visitors and so on – it also requires some change in visitors or
non-entering areas;

e) Give six examples of the types of external trends or events that may impact the achievement
of an organisation’s objectives.

Types of External Trends

1. Political – government policies influence law and regulations that affect business operations
directly and gradually.

2. Economic – any changes in an economy influence the supply and demand for economic units, in
result income may drop or even raise as well.

3. Social – it also refers to cultural aspects which affect individuals, groups and their beliefs.
Furthermore, it changes social trends which impact companies’ operations in a long run.

4. Technological – it brings many challenges to the world and managers as well. Everything changes

6 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change

through technology such as smartphones and computers etc.

5. Competition – due to competition, a company has to look back to its objectives and figure out
whether there is a certain change required or not.

6. Environmental – natural forces refer to the environment and its natural resources are limited. So,
companies' outputs may be affected by it.

f) Using the PESTLE analysis tool, identify three current factors in each category which affect (or
may potentially affect) your industry sector.

Current factors

Political 1. Government policy

2. Political stability
3. Instability of foreign markets/ foreign trade policy
Economic 1. Economic growth
2. Interest rates
3. Exchange rates
Sociological 1. Population growth
2. Age distribution

b) Imagine that a graphic design company has found that they are only delivering 70% of
customer projects on time, that customer satisfaction is low and that a competitor has started
trading on the same business park, targeting the same customer base. What changes might
arise from this set of circumstances?

Expected or Potential Changes from Negative Scenarios

It may result in losing customers and market share. Thus, it may lead to the company income
downturn. So, the potential changes might be a technological advancement to perform faster than
before or the recruitment of new staff to achieve certain goals of delivering fast to customers.

c) Why is it important to review and prioritize change requirements or opportunities with
relevant managers and specialists?

Importance of Review and Prioritising Change Requirements

It is important to discuss and review together with the relevant manager and stakeholders about
the upcoming change requirements. This is because there might be some resistance come up after
the change implemented. It also helps to manage unknown situations. Priorities can help companies
plan and manage their works even better. It can support companies to take proper action against
unexpected events as well.

d) Group and case study questions

i. In groups of three/four, the learner should consult with the group:

Feedback to student:

Task Two:
You are required to answer the following questions:
Activity 1
a) Why is it important to undertake a cost-benefit analysis for high priority change requirements
and opportunities?

Reasons to Undertake Cost-Benefit Analysis

Cost-Benefit analysis is about weighing up decisions with their associated costs. More specifically,

11 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change

when a company faces a few alternatives to change requirements/opportunities, it needs to find a

way to compare them to each other. Thus, cost-benefit analysis helps to weigh one alternative
against another. The main aim of the cost-benefit is to compare project costs against its benefits.

b) Imagine the graphic design company has decided to invest $50,000 in new equipment, staff
training and consultancy support to streamline its workflow. What are the potential tangible
and intangible benefits to be achieved from this investment?

Tangible Benefits Intangible Benefits

1. Increase potential income 1. Increase productivity

2. Increase outputs 2. Trained staffs
3. New equipment itself as an asset 3. New production

c) What is the purpose of risk analysis when developing a change management strategy?

Purpose of Risk Analysis

Risk can be divided into two parts. One is a probability of something unexpected can happen, or
another one is to happen a negative outcome come up. Thus, risk-analysis's main purpose is to help
to identify and manage potential threats that could ruin the key business initiatives or projects as
well. In risk-analysis, you need to estimate the likelihood of those threats. There are three likelihood
estimators which are very likely -major, likely-moderate and unlikely-minor.

d) Imagine that the graphic design company is introducing new technology and working practices.
What barriers might be encountered?

12 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change

Barriers to New Technology and Working Practices

There is a number of barriers a company may face to introduce new technology to its business and
working practices.
Those are:
 Lack of knowledge – employees need to be trained;
 Any incidents may happen – potential injury of people;
 It may take time to adopt the new technology to its daily run;
 The outcome/benefits will come in a long run;

e) What mitigation strategies could be implemented to avoid the barriers identified in the
previous question?

Mitigation Strategies to be Implemented

Risk mitigation is to take reverse actions against potential threats to lower or eliminate their effects.
The following are the mitigation strategies that the design company take action in advance:

 Lack of knowledge – *employees need to be trained;

 Any incidents may happen – *train employees with safety manuals;
 It may take time to adopt the new technology to its daily run -* accept the risk;
 The outcome/benefits will come in a long run - *accept the risk;

f) Why is it important to develop a change management project plan?

Importance of Change Management Project Plan

It is always hard to change what people are used to. In terms of a company, change management

13 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change

refers to moving the entire company and its objectives from its current state to future state. Thus,
there might be many obstacles come up during the change implementation or after the
implementation. Change management project plan focuses on adopting the change effectively and
decreases the risk of resistance. It usually takes into account that training staffs and communicating
activities that are necessary for an organization to adopt the change.

The Change Management project plan clarifies:

 Who should be a part of developing the change plan?

 Who is the audience for the change activities?
 What type/kind of materials/channels need to be?
 Budget
 What are the potential benefits?

g) What key information should be included in the change management project plan?

Activity 2
a) Why is it important to gain approval from relevant authorities for change management
processes?

Reasons to Gain Approval from Relevant Authorities

It is important to discuss and review together with relevant managers, stakeholders and
headquarters about the upcoming change requirements. This is because there might be some
resistance come up after the change implemented. It also helps to manage unknown situations. Not
gaining approval from the relevant authorities may lead you unexpected costs or loss.

b) You are applying for access to a funding partner’s grant for businesses such as yours/example
business. You are seeking their approval for a change programme in which you are requesting a
$5,000 investment in developing new procedures and staff training.

14 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change

Consult with and ask the funding partner for approval.

You may want to include the following points in your consultation:

● Review the funding partner’s criteria for awarding the grant

● Ask the funding partner for examples of the types of projects that they have invested in before,
and the types of projects which they will support in the future
● Brief the funding provider on your proposal and how it satisfies their criteria and benefits the
business, staff and customers
● Share the change management strategy and project plan with them
● Sell the benefits of your change programme
● Seek information about any conditions that they might impose on the funding and assure them
of how these will be incorporated in your plans.

c) What kind of resources might you allocate to a project?

Resources Needed to Allocate in a Project

There are a few resources needed to allocate in the project. Those are:

 Budget allocation for developing new procedures for the change plan;
 Budget allocation for training staffs for the change requirement;
 Human resource allocation to train staffs for the change program;
 Human resource allocation to develop new procedures for the change program;

d) Identify a current, small scale work (or non-work-related) project that is taking place in your
organisation (or example organisation). Identify the resources that would be required to
successfully implement this project.

Resources Needed for Project Implementation

15 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change

It is important to identify small scale projects from other projects. There are a few issues of small
scale projects for identifying small projects:

 Lack of time to think and plan;

 Unrealistic deadlines;
 Mix up operational and project work etc.,

In order to implement such projects successfully, the following resource should be allocated
properly:

 Have a formal project plan – this leads a company to complete tasks through plan;
 Timeframe planning should be not tight – it will give a company to avoid unrealistic
deadlines;
 Budget;
 Human resource;

e) For the project above, identify who needs to be updated as to the progress of the project, how this
is done and how frequently.

People to be Updated/Informed How it is done? How frequently?

1 Project manager Set regular monitoring intervals Every day

2 Project team Collect data Weekly

b) Think of a recent change that took place in your organisation or another organisation that you
know. What were the benefits of this change?

Most the companies implement technological changes in recent days. That brings many benefits
such as:

 Increasing productivity;
 Improving the operational cycle;
 Increase outputs;
 Increase profits etc.,

c) Thinking of the same change as in the previous question, what types of loss were experienced
by people affected by or involved in the change? How could this be taken into account in the
communication process?

There might be some potential hazards related to introducing new technology to a business such
as:

 Taking a too long time to reimburse the expenses;

 High costs related to training current staffs;

Those risks should be stated in the communication process as often as possible.

d) Imagine that you are planning a series of briefing sessions to brief the staff about a forthcoming
office move. What should your briefing cover?

18 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change
An example of a briefing session:

e) What practical arrangements do you need to consider when arranging and managing
communication/training activities?

The following are practical ways to arrange and manage training activities:

 Let trainees know that what training session will cover through a brief overview;
 Main aspects of the session;
 Test trainees frequently;
 Involve trainees some activities;
 Analyze the session together;
 Get feedback about the training session;

f) Imagine that you are planning a consultation event in your own organisation as part of a
change program to introduce new equipment (hardware or software).

How would you select members of the consultation group/s?

I would choose consultation members based on their knowledge and level of needs to be part
of the change program.

When, where and how will the consultation/s take place?

19 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18
Subject Name: C6MMC01V15-B Management principles- B
Unit Name: BSBINN601 Lead and manage organisational change
The consultation should be held at our company's office right before the beginning of the
change implementation processes.

What key questions will be asked as part of the consultation process?

● Review the team members change the project;

● Share the change management strategy and project plan with team members;
● Sell the benefits of your change plan;
● Seek information about any conditions that they might happen;

What will happen to the results/output from the consultation process?

 Can fully understand what upcoming event/ office move;

 Lower some resistance through understanding the complex concept;
 Team members will have a clear picture of when, how the project takes place;

g) In groups of three or four, discuss how the changes would affect your own organisations.

 Improve productivity;
 Increase profit margin;
 Gain a comparative advantage;
 Avoid potential threats;

h) Imagine that you are managing the project which you considered in QUESTION- g. What kind of
barriers might you encounter and how might you respond to them?

 Lack of knowledge – the starting point of the change plan should be clear and accurate;
 Time limitation issue – focus on speeding up gradually;
 Resistance to change – give a clear picture to the whole company from the beginning;

Activity 2

a) Choose three of the following possible interventions and actions which may occur on a project
plan. Thinking of the context of your own organisation, describe how you would ensure the
correct/appropriate implementation of these actions:

● Action research
● Career planning
● Job redesign

20 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18

● Sensitivity training
● Succession planning
● Surveys (with feedback)
● Team building
● Termination or redeployment
● Training
● Transition analysis.

Possible Interventions The description of how to ensure correct implementation

1. Sensitivity training This is a method of group training to support participants of a

team to develop a better understanding of their roles in the
group.

2. Training In order to adopt new technology, proper training about the

equipment should be taken.

3. Surveys (with feedback) Surveys/questionnaires should be taken during the

implementation process and give in time feedback.

b) Why is it important to activate strategies for embedding the change?

Reasons to Activate Strategies to Embed Change

In order to implement the change requirements/opportunities, there should be progressive strategic

steps needed:

 Create a vision for change;

 Communicate the vision;
 Reduce issues;
 Make short-term wins over company staffs;
 Build on the change;

21 Kent Institute Australia – BSBINN601 Lead and manage organisational change, Version 4.1 May,18

Unit Name: BSBINN601 Lead and manage organisational change
c) Imagine that you are managing a change programme to implement a series of complex new
procedures which are designed to reduce waste and improve quality and efficiency. Which
strategies might you use to embed the change?

Selecting Strategies to Embed Change

In order to reduce waste and improve quality and efficiency, our project team would use the
following strategies:

 Management coaching – coach managers to work more efficiently and effectively as well;

 Quality management system – it helps to manage or control over quality aspects of

manufacturing and operational processes;

 Supplier management improvement – if there is some hesitation around the supplier case,
we need work on improving supplier management;

d) Why is it important to evaluate and review progress during a change management

programme?

Importance of Evaluating and Reviewing Progress

It is always vital to assess and evaluate the change progress because once the engine starts, there is
no way to stop, so continuous improvements and updates are needed. Also, monitoring and
evaluation help with identifying the most proper way of using resources effective and efficient.

e) What methods can be used to evaluate and review the progress of a change programme?

Methods to Evaluate and Review Progress

In order to evaluate, a number of questions should be asked:

 Are benefits being realized?

 Has the company performance improved in the result of the change?
 Are there any unforeseen threats or opportunities consequences of the new progress?
 Have the expenses of implementing new change outweighed the benefits?
 What has the team learns from and what other things need to be improved?
The following are the some possible methods of evaluation:
 Testing – Pre and Post test; Test against control group;
 Participation – Attendance, completion, certificates, follow-on tracking etc.,
 Data collection – surveys, questionnaires, interviews, checklists, feedback forms;
 Financial reports – cost to budget. Cost per unit service, on time on budget;
 Performance – grade, job placement, permits, inspections, certifications;
 Subjective – journals, testimonials, observations, photographs etc.,
