Notes on Basic Excel

Auto Sum
 Highlight the cell to be added
 Click / Double click Auto Sum function

Copy with Formula


a. If formula is relative
 Highlight the cell with formula
 Ctrl C then Ctrl V OR Drag the formula

b. If formula is absolute
 With the desired cell selected, enter the formula and then press the F4 key to change the most
recently typed cell reference from a relative cell reference to an absolute cell reference.
Flash Fill

 Type desired text (for example email address). Press the down arrow to select the next cell.
 Type the desired text again following the same pattern.
 Click Data Tab.
 Click Flash Fill to enter similarly formatted text.

What if Analysis
a. Scenario Manager
 Data Bar
 Click What-if Analysis
 Select Scenario Manager
 Click Add
 Scenario Name eg Current Net Pay
 Click Changing Cells field and highlight the range of cells to be changed
 Scenario Values. The scenario values contain the Current Hours Worked.
 Click OK.

 Click Add
 Scenario Name eg. Highest Possible Net Pay
 Click Changing Cells field and highlight the range of cells to be changed
 Click Ok
 Scenario Values. Since we are considering the highest possible net pay by changing the number
of hours worked, we add 10 hours for each scenario. Thus 74.50 should become 84.50.
 Click Ok

 Click Add
 Scenario Name eg. Lowest
Possible Net Pay
 Click Changing Cells field and
highlight the range of cells to be
changed
 Click Ok
 Scenario Values. Since we are
considering the lowest possible
net pay by changing the number of hours worked, we deduct 10 hours for each scenario. Thus
74.50 should become 64.50.
 Click Ok

 Click the desired scenario (Current Net Pay, Highest Possible Net Pay, Lowest Possible Net Pay)
 Click SHOW.

b. Goal Seek
 Click Data Tab
 Click What if Analysis
 Choose Goal Seek
 In the dialog box, go to Set Cell. Click the desired cell eg. Net Pay of Altore Bene.
 To value: Input desired Net Pay eg. 2500
 By Changing > Highlight hours worked
 Click Ok. This will show the number of hours needed to earn 2,500.

Conditional Formatting
 Highlight the desired range, eg. NET INCOME from January to December
 In the Home Tab, Click Conditional Formatting
 Select Highlight Cell Rules
 Choose BETWEEN
 In the Format Cells that are BETWEEN, type the following as shown below
 Click Ok

 Repeat the process. This time, the second condition has the following details

If Conditions
 This gives the value if one statement is true and another value if it is false.
 Write 0 (zero) if the value is not true to avoid getting “FALSE” as a return value.
Sparklines / Charts/ Columns

 Select Insert Tab


 Under Sparkline Tools , choose Lines
 Set Data Range and Location
 Click Ok

 Select Insert Tab


 Under Sparkline Tools, choose Columns
 Set Data Range and Location
 Click Ok

Alignment

 Select the desired cell. Eg February


 Right click
 Format Cell
 Choose Alignment
 Manipulate the text orientation eg. 45degrees
 Click Ok

Freeze Panes

 Highlight the desired column eg. Column B


 Go to View Tab
 Click Freeze Panes.
 Choose Freeze Panes to make the rows and columns visible while the worksheet scrolls.

 To Unfreeze
 Select column B
 View Tab
 Freeze Pane
 Unfreeze

Date and Time Stamp

 Click desired location for Date and Time Stamp


 =Now()
 Enter
