What is communication?

Communication is a two way process of reaching mutual


understanding, in which participants not only exchange
information, news, ideas and feelings but also create
and share meaning. In business, it is a key function of
management - an organization cannot operate without
communication between levels, departments and
employees

How many types of communication are there? Explain.


There are 3 types of communication
A) Verbal Communication
B) Non-Verbal Communication
C) Written Communication

Verbal Communication - The sharing of information


between individuals by using speech is known as verbal
communication. Individuals working within a business
need to effectively use verbal communication that
employs readily understood spoken word, as well as
ensuring that the pronunciation, stress and tone of voice
with which the words are expressed is appropriate.

Importance of Verbal
1) Keeping each other informed - we can use verbal
communication to share useful and important
information.
2) Asking for help and support - communicating verbally
about the problem is the first step to solving them.
3) Sharing emotions - we can share emotions as well as
factual information with our communication skills
4) Expressing ourselves creatively - Verbal
communication can be the means for expressing our
imagination.

Types Of Verbal
1) Speaking face - to - face - Words are combined with
our gestures, facial expressions and tone of voice to give
a full communication package.
2) Speaking on the phone - Communicating verbally on
the phone is an excellent way to reach people far away.
3) Giving a lecture - This is a key example of the utility of
verbal communication in an academic context.
4) Voice mail - We can record our verbal communication
for our friends, family and colleagues to pick up later.

Non-verbal Communication - The non-verbal


communication is the process of conveying meaning
without the use of words either written or spoken. In
other words, any communication made between two or
more person through the use of facial expressions, hand
movement, body languages, postures and gestures is
call Non-Verbal Communication.

Types of Non-Verbal
1)The face and it’s expressions - smiling,nodding, raising
eyebrows and so on have long been very important
ways of communicating. Without saying a word, we can
speak volumes with glance at our interlocutor.
2)Movement of Hands - The hands can express so many
different things, from prayers to commands - all without
the need for words.
3)Dancing - We can express so many different emotions
through dance. For passion to religious devotion,
dancing either alone, with another person as part of a
couple or in a Synchronized group, can communicate so
much.
4)Silence - Sometimes, staying silent can communicate
much more then words can. Silent can be happy, sad,
powerful or it can simply communicate to others that
we do not want to engage with them.

Written Communication - THe process of conveying a


message through the written symbol is known as written
communication. ANy message exchanged between two
or more persons that make use of written word is called
written communication.

Advantage of written
i) It is more precise and explicit.
ii) Provide ready records and reference.
iii) Legal defence can depend upon written
communication as it provides valid records.
iv) It is a permanent means of communication, thus it is
useful where record maintenance is required

Disadvantage of written
i) Too much paper work and e-mail burden is involved.
ii) It is time consuming as the feedback is not
immediate. THe encoding and sending of message takes
time.
iii) Requires great skills and competencies in language
and vocabulary use.
iv) Poor writing skills and quality have a negative impact
on organization’s reputation.

What are the barriers of communication?


1. Physical barriers - Physical barriers are easy to spot.
People need their own personal areas in the workplace,
setting up an office to remove physical barriers is the
first step towards opening communication. Each
individuals has their own dedicated workspace, there
are no visible barriers to prevent collaboration with
their co-workers.

2. Perceptual barriers - If you go into situation thinking


that the person you are talking to isn’t going to
understand or be interested in what you have to say ,
you may end up subconsciously sabotaging your effort
to make your point.

3. Emotional Barriers - Emotional barriers can be tough


to overcome but are important to put aside to engage in
conversations. We are often taught to fear the words
coming out of our own mouths. Overcoming the fear is
difficult but necessary.

4. Cultural Barriers - Cultural barriers are the result of


living in an ever-shrinking world. Different cultures,
whether they be a societal culture of a race or simply
the work culture of a company, can hinder developed
communication if two different cultures clash.
Identifying a problem and coming up with a high
efficient way to solve it can quickly topple any cultural
or institutional barriers.

5. Language Barriers - Language Barriers seem pretty


self-inherent, but there are often hidden languages
barriers that we aren’t always aware of. A clear, direct
narrative is preferable to an incomprehensible slew of
specialty terms.

6. Gender Barriers - It have become less of an issue in


recent years, but there is still the possibility for a man to
misconstrue the words of a women or vice versa. Men
and women tend to form their thoughts differently, and
this must be taken into account when communicating.
Men are better at spatial visualization and abstract
concepts such as math, while women excel at language -
based thinking and emotional identification.

8.Interpersonal Barriers - Interpersonal barriers are


what ultimately keep us from reaching out to each other
and opening ourselves up, not just to be heard, but to
hear others. Some people spend their entire lives
attempting to overcome a poor self-image or a series of
deeply rooted prejudice about their place in the world.
The cure of this is more communication. This allows us
to put forth our ideas in a clear, straightforward
manner.
