1. Introduction
This document will describe how to make corrections of images that do not appear on the system
(VistA Imaging) due to information missed during the process of saving the images.

1.1 Prerequisites and Dependencies


The user should be applicable with the radiology images and has a knowledge to determine between
the images from different modalities, the user should has the Images Correction Menu (Correct RAD-
DICOM File Entries [MAGD FIX DICOM FILE]) as a secondary menu and an access to the
(IMAGE_IN) folder for the Gateways on the windows user account.

2. How to Make the Image Correction


When images are “acquired”, a number of checks are made to make certain that the information that is
stored in the database can be linked to the correct patient and medical procedures.
On occasion, VistA Imaging DICOM Gateway software may be unable to match one of the following
items from a DICOM image header with an existing entry in the VistA Hospital Information System:
• Patient name
• Patient ID (National ID)
• Accession Number (Radiology case number)

When this happens, the VistA Imaging DICOM Gateway will store information in the DICOM Failed
Images File. Manual intervention may be used to correct any of the data items that are in error, after
which another attempt may be made to add the information about the image(s) to the VistA database.
Note: You can find the Image In folder at the windows account for the authorized users to make
correction.

The program that performs these corrections is available in the main VistA Hospital Information
System through the Correct-DICOM File Entries [MAGD FIX DICOM FILE] menu option. This
menu option should be assigned to responsible supervisory staff members, who should use it on a
daily basis to correct all failed images as soon as possible.
In order to select an image to be fixed, three options are available:
• Select by patient (Patient).
• Loop through the list of failed images (Loop thru file) (The Most Common option used).
• Scan the list of failed images date-range (Specify a date range).
When a failed image has been selected, the user can identify the correct patient and case-number for
the image. This causes the correct patient and study to be assigned to the image. After this, the
DICOM Image Gateway will be able to process the image correctly. Images that cannot be
identified can be deleted.
To enter the correction menu, the user should sign on to the system be entering the Access and Verify
Codes:

The user menu will appears, then follow the following steps:
1- Enter the Correction option by Typing the first three letters from ‘CORRECTION’, the
system will ask you to choose from three options, type (L) to choose “Loop thru file” option
as described below:

2- After choosing “Loop thru file” option, the system will start reviewing the images that need
to be corrected due to information missed through the process of sending the images as
appears below.

3- In order to start the correction process, when the image information appeared check the
image number and the Gateway number which are appeared in the image information as
appeared below:

4- Go to the (IMAGE_IN) folder on the desktop for the selected Gateway, double click the icon

Lists of the images to be corrected are appeared as shown in the figure below:

5- Choose the number of the image and double click it to open the image, after viewing the
image, returns back to the correction process.
6- The system asks you to choose if you want to correct the image or delete it or bypass -If you
want to correct the image answer with (Y), to delete the image answer with (D) and to bypass
without any action done answer with (N) and hit the ENTER button-.
7- If you want to make the correction process enter the patient’s NID which appeared in the SSN
field, when you hit the ENTER button the patients procedures will appear in a list as appeared
in the figure below, choose the number of the exam that you want to link the image with, in
order to be appeared on the VistA Imaging.

8- After that, the system will ask you to review the process, answer with “Yes” If all Information
is correct, and otherwise answer with “No” to correct any Information or “D” to delete the
Image.

9- If you answer with “Yes”, the system will ask you again to confirm the Process, answer with
“Yes” If all Information is correct, otherwise answer with “No” to cancel the process.

10- The process of deletion the selected image, answer with (D) on the following prompt:

The following message will be appeared; you have to enter a reason for deletion and press Enter.

 Different Correction Scenarios:


1- The Patient’s ID is Known but the Case Number is missed:
In this case you can correct the patient file as previously mentioned
2- The Patient’s Case Number is Known but the Patient’s ID is Missed:
You can either correct the patient file by entering the long case number in the “ Enter patient
or case number” or you can get the Patient ID from the option “View Exam by Case No.”
then you can process as usual.
3- The Patient’s ID and Case Number is founded:
In this case you need to check the following:
- Patient’s Name contains Error, for example an Arabic Words or the English name
format is not correct, or there is space after Comma). In this case you need to correct
the name before correcting the Images, you can correct the English name from ‘Register
Patient for Exam’ option
- Wrong Patient selected when you querying the modality worklist. In this case you can
delete the Images or you can correct the Images if you know the correct patient, by
entering the correct NID, and then link the image to the correct radiology exam.
- Cancelled exam Status. In this case, if there is another correct exam you can link the
Images to it, otherwise you can delete these Images.
4- Only the patient’s Name is founded:
In this case, the patient is manually entered to the system; you need to check if this patient has
an electronic file by using the option “Daily Log Report” Or “Exam Status Display” and
correct the Images as usual, otherwise if the patient doesn’t have an Electronic File you need
to delete these Images as previously mentioned.
