Management Information System

Management Information System, often referred to simply as MIS, is a planned system of


collecting, storing and disseminating data in the form of information needed to carry
out the functions of management or Business.
MIS is the use of information technology, people, and business processes to record, store
and process data to produce information that decision makers can use to make day to day
decisions. The full form of MIS is Management Information Systems. The purpose of MIS
is to extract data from varied sources and derive insights that drive business growth.
As you notice, it’s composed from three terms: Management, Information and System.

A Management Information System, or MIS, collects data from many different sources and
then processes and organizes that data to help businesses make decisions. These days,
technology and data collection are so prevalent that businesses large and small are using
Management Information Systems to improve their outcomes. A good MIS can give your
business a competitive advantage because it turns thousands of data points into helpful,
usable information that can be used to tweak your strategy and increase profits.
1. Management:
Management covers the planning, control, and administration of the operations of a
concern.
2. Information:
Information means the processed data that helps the management in planning, controlling
and operations.
3. System:
A system is made up of inputs, processing, output and feedback or control .

Thus Management Information System means a system for processing data in order to give
proper information to the management for performing its functions.

The main goals of an MIS are to help executives of an organization make decisions that
advance the organization’s strategy and to implement the organizational structure and
dynamics of the enterprise for the purpose of managing the organization in a better way for
a competitive advantage.
These are some goals or objectives of MIS :
1. Capturing Data : From various internal and external sources of organization will
contribute decision making

2. Processing Data: the captured data is processed into information needed for
planning controlling and operating functionalities at different level of management.
Processing data means: making calculation with the data sorting data classifying data
summarizing data

3. Information Storage: Information or process data need to be stored for future use

4. Information Retrieval: The system should be able to retrieve this information from
the storage and when required by various users

5. Information Propagation: Information on the finished product of the MIS should be


circulated to the users periodically using the organizational network

1. MIS is very useful for efficient and effective planning and control functions of the
management. Management is the art of getting things done through others. MIS will be
instrumental in getting the things done by providing quick and timely information to the
management.

2. Reports give an idea about the performance of men, materials, machinery, money
and management reports through light on the utilization of resources employed in the
organization.

3. MIS is helpful in controlling caused by giving information about ideal time labor
turnover of wastage and losses and surplus capacity.

4. By making comparison of actual performance with the standard and budgeted


performance variants are brought to the notice of the management by MIS which
can be corrected by taking remedial steps.

5. MIS bring to the notice of the management strength (i.e. strong points) of the
organization to take advantage of opportunities available.

6. MIS reports on production statistics regarding rejection defective and spoilage


and their effective on cost and quality of the products.

Role and Importance for Various Levels of Management:


Precise data and information are required by managers on all tiers of an organization to
make the right decisions and drive organizational performance. However, the needs at each
level may differ. The information needs differ between the upper and the lower levels of
management. The frontline manager would mostly need clear, precise, quantifiable and
internal information whereas at the top level the managers would need mostly external
information that is summarized and future-oriented. This is mainly since the type of
decisions managers make can differ. However, MIS plays a vital role at each level and
sometimes different Information Systems have to be integrated into one to serve the
information needs of the entire organization.
Clerical people/operational managers:
MIS helps the operational level user with transaction processing, management control,
operations control, etc.

Junior Management:
MIS provides operational data and information that the junior level managers can use for
efficient operational decision making. It also helps at planning, scheduling and controlling
at the operational level. Apart from that, it aids in decision analysis at the operational level
that can be used to bring an out of control situation under control.

Middle Management:
MIS provides the middle management with the data and information required for short
term planning, setting targets as well as for managing the business.

Top-level management:
The top-level management requires the MIS for having precise and targeted information
that helps it with goal setting, strategic planning and other things that the top managers are
required to do.

Development of MIS

In order to develop a system successfully, it is managed by breaking the total development process into
smaller basic activities or phases. Any system development process, in general, is understood to have the
following phases 

  i) Systems Planning
ii) Systems Analysis
iii) Systems Design
iv) Systems Implementation
v) Systems Operation and Support
