Project Monitoring, Evaluation and Control Management

Control Resources:
 This process ensures that the;
 Planned and assigned physical resources are available.
 Monitoring them against the plan.
 And taking corrective actions when required.
 Key benefits of this process are;
 Making sure that the right resources are available to the project at the right time and place.
 And released when no longer required.
 Maximum utilization of resources to optimize the cost. Usage of resources is tracked along with their
expenditures, shortages, surpluses, their use, and release. Factors influencing their utilization and
change management are also addressed. This is achieved using a variety of techniques like;
 Cost-benefit analysis, performance reviews, alternatives, trend analysis, problem-solving,
negotiation, and influencing.
Example:
Considering the example of one of my organization’s ongoing project for the Supply, Installation,
Testing and Commissioning of Fire Alarm System and Fire Suppression System. All necessary
documentations for control resource process, which are mentioned below has been completed before
starting a project that can impact or influence resources.
1) Resources are assigned by using physical resource assignments in order to know whether to
procure the material internally or from outside and also from the information available from previous
projects which are similar in nature.
2) A detailed project schedule by using Microsoft Project is prepared, in order to manage resources
in terms of the type and amount of resources and to manage the schedule of when they will be
utilized on the project and when they will be released for another projects and when no longer
needed in the current project.
3) Resource break down structure is prepared which provide decomposition of assigned resources to
the project this will provide information regarding the resources needed at different levels of the
project.
4) Agreements are also established as some of the material which is not available from stock such as
customized Fire Alarm Panels and Fire Suppression System Containers filled with specified
suppressing agent, has to be procured from OEM.
5) Risk register is also created to cater any potential risks related to resource availability, supply, stock
availability or shortage, resource usage etc.
6) As the project involves customized Fire Alarm and Fire Suppression equipment that are to be
procured from the OEM, alternative analysis are used in order to avoid LD charges against late
delivery or on pro-rata basis.
7) Status of project is checked up by making use of trend analysis, whether the project is on track or
is getting away from the track, and forecasting the needs of resources for the upcoming stages of
project.
8) Resources and their performances are evaluated during the entire course of the project. So, that
project get completed within the stipulated time period.
9) Training programs are carried out to increase the interpersonal skills and technical skills of the
project teams.
10) Resource and cost spreadsheets are also prepared to have the idea of how much cost have been
spend till each level of the project. So, that project remains within budget.
