Introduction
This white paper represents the findings from a cognitive usability test that compares Office 365
and Google doc. Both websites are free sharable word editors. The typical user would be familiar
with Microsoft word and would be using one of these websites to work with other people. Both
websites will be tested for how familiar they are to Microsoft word so that skills can most easily
transfer when working with others. The websites will also be tested on how easy it is to work
with others. The goal is to decide which website is easiest to use and the most effective to save
the user time in having to figure out a new website compared to the Microsoft word which they
are familiar with.
Methodology
Tasks
Ten tasks were created to test the usability of Office 365 and Google Docs. These tasks are listed
below.
Test Environment
The test was done inside of my room of my mother house using a PC Laptop with google chrome
as my internet browser.

Efficient: The task was completed and nothing else needs to be done before submission.
Effective: The task was completed in a reasonable amount of time if you compare how
long it would take to complete in Microsoft Word.
Engaging: Simple block like structure comparable to Microsoft Word
Error Tolerant: Many built in systems to help with an error that might occur.
Easy to Learn: The task was easy to learn. If you have knowledge in Microsoft Word,
then your knowledge will transfer.
Here is the Likert scale that I will be recording my evaluation of each task on.

The score will be presented in a bar graph for each task and the best website will be decided in
the conclusion.

Results
Office 365. Had many different styles of heading to choose from. The heading options were right
in front of you, you didn’t have to search around or try to change a preexisting format. The
different formats were presented in a clean drop-down window where everything could be seen.
To apply a heading, all that is needed was to highlight the text and selected the heading that you
wanted. To change the text size, it is the same process. Overall good, clean style for the
heading/text size.
Google Docs. Limited amount of styles for the heading compared to Office 365. This creates a
simplicity to choosing what style you are to use. You don’t have to spend much time trying to
make it look pretty or make up your mind on which style you want to use. This creates a fast and
simple heading. To change the text size is simple but require a couple more clicks then Office
365. Overall, quick effective style for the heading/text size.
Office 365. Had many different preset colors. This makes it easy to find a common color right
away. Easy to apply with a simple highlighting of the text and then choosing your color. What is
more important is the color customization. Had a clean window with an option to input the Hex
of a color or to choose from sliders for the color you are looking for. This makes color
customization easy to use. Overall, easy with good customization.

Office 365. Big let down on being able to insert a graph/chart. In officer 365 there is no option to add
bar, pie, or line graphs. If you try to insert it from other programs like excel, then it comes up as a
picture. This means that if you are working on an assignment and you need a graph, you will have to
make it into another program and hope you don’t have to change it. Overall, ineffective.
Google Docs. Extremely easy to insert a graph/chart. The data that you want to put inside of your graph
is put into a google excel sheet. This means that it can be changed and use a lot of other features. The
customization is not a clean and simple as it is in word. Overall, simple, and effective.
Officer 365. Quite easy to insert a picture into your document. Officer 365 has all the nice features in
word in which you can edit your picture. It is easy to crop, change the size, wrap text, and adjust the
photo. Overall, simple, and easy to use.
Google Docs. Quite easy to insert a picture into your document. Officer 365 has all the nice features in
word in which you can edit your picture. It is easy to crop, change the size, wrap text, and adjust the
photo. Not as clean and simple looking as Office 365. Overall, simple, and easy to use.
Office 365. Almost identical to Microsoft Word. As the same file save as or download as system as
Microsoft Word. Effective in the amount of time it takes you to find and download in Word or PDF
format. Also, easy to upload a file to Office 365. Overall, effective to upload/download a file.
Google Docs. Doesn’t look the same as Microsoft word, but acts very similar. To download a file, you
would go through the same steps as in Microsoft word, but no fancy menu pops up. A simple drop-down
box where you click download and can download your document to almost any type of text editor.

Uploading is two clicks plus how ever many it takes to find the file on your computer. Overall, effective
to upload/download.
Office 365. Office 365 has a limited number of symbol that you can insert. There is no real way to sort
through the symbols, and you really don’t need to with the limited number. Has a nice menu, but if you
were doing a math paper and you needed to insert integrals, you are out of luck. Overall, looks nice but
doesn’t have very many options.

Google Docs. Has a symbol system that is better than Microsoft words system. On Google Docs it is
extremely easy to find and insert a symbol. The number of symbols that Google Docs has is impressive.
You can find almost anything from integrals to pie. There is a window to search for a symbol or to draw a
symbol. Overall, I think that Google Docs has a more efficient symbol system than Microsoft word.
lacking in the number of symbols that it had and the ability to find the symbol, that is why it
scored lower in efficient and error tolerant.
Office 365. The spell check is a good tool for common misspelled words. I found it hard to click
on a misspelled word to see the correction, and some of the time it would not tell me that a word
was misspelled, when I knew that it was. It can be very frustrating when you have missed a few
letters to a more complex word, and the spell check will give you words that are not even close
to what you are trying to spell. Overall, a basic tool to be used, but no relied upon.
Google Docs. The spell check is a good tool for common misspelled words. Some of the time it
will not tell you that a word that is misspelled is misspelled. It can be very frustrating when you
have missed a few letters to a more complex word, and the spell check will give you words that
are not even close to what you are trying to spell. Overall, a basic tool to be used, but no relied
upon.

Office 365. The header/footer was easy to insert, but hard to get to the final product. Instead of being
one base area for the header/footer, it was a 3-column table. This confused me at first and make it more
difficult to edit the header/footer. Overall, the header/footer for office 365 was confusing to use and it
felt like it didn’t complete the task.

Google Docs. There is nothing fancy about the Google Docs header/footer. There is no fancy menu it is
the simple basic requirement that you need for a header/footer. The basic options like page number and
different first page is just presented to you to work with. Overall, not fancy, but quick and effective.
Conclusion. In scoring the two websites, see figure 24. Office 365 scored lower in efficient,
effective, engaging, and easy to learn then Google Docs because Office 365 didn’t seem to
accomplish any of the task effectively. It was harder to use with less features that come in
Microsoft word.

Office 365. When working with others on a project, it is important to be able to see the changes. For
Office 365 it took me quite a while to find where the change history was located at. The website did
store an impressive amount of the changes, it was hard to locate. Once you found where the changes
were stored, everything that you would need to do was right there.
Google Docs. It was easy to find the edit history. I found that the edit history seemed to not record all
the changes that I had done. I had done the same amount of work on my Office 365 and my Google doc,
but the Google doc had less in the history. The edit history had everything that you needed. Overall,
easy to find with most of your history recorded.
Conclusion. In scoring the two websites, see figure 27. Both Office 365 and Google docs scored
lower in efficient because both edit histories felt clunky and were missing something. Office 365
scored lower on effective because the edit history was hard to find.

Office 365. I found office 365 comments to be easy to use. It is simple to find text or an area that you
want to leave a comment on and leave it. What I could not find out how to do was leave a suggestion.
This seems like an important factor to me, and it was something that in the amount of time that I spend
looking, I was not able to find. Overall, good commenting system, bad suggesting and edit system.
Google Docs. Comment system was a little difficult to find, but easy to use. The suggesting an edit, I
think is well done. You can suggest deleting words or any other grammar device. It was efficient but a
little confusing trying to get into the editing mode and getting out of it. Overall, effective commenting
and suggesting edit system.
Conclusion. In scoring the two websites, see figure 30. Office 365 scored lower in efficient,
effective, error tolerant, and easy to learn then Google docs because you could not suggest an
edit. In the time I spend on this task, I was not able to figure out a way to leave a suggestion.

Conclusion
According to figure 32, Google Docs scored 35 more points then Office 365. To any new user, I would
recommend using Google Docs. While Office 365 is more relatable to Microsoft Word, Google docs is
equal or outperforms Office 365 in almost every category.
There are some key features that make Google Docs better then Office 365. The first is the ability to
create graphs. Graphs are absolutely critical to our current society. Without the ability to create graphs,
you would not be able to get some assignments done. The second is the number of symbols that Google
Docs has. In a stem field it is important to be able to insert symbols into your paper. Without the ability
to insert some complex symbols into your work, you cannot complete the task. With these key features
plus the fact that it was almost even on every other task, Google Docs is the best website to use.
