Creating a Gantt Chart is an activity performed during project Planning and is a key
output of this phase. Gantt charts are used to plan, implement and monitor project
activities. Often Project Managers use specialized tools such as MS Project to create
Gantt charts, although this can also be done using MS Excel.

How to create a Gantt Chart 1


To create a Gantt chart, complete the steps as outlined below:

1 Activity list
Make a list of the activities and tasks that are
related to the project. Estimate the duration of
each activity and place the list in the left-hand
column whichever program you have chosen
to use.

2 Timeframe
Put the timeframe for completion of the activities across the top of the chart.
Depending on the expected length of the project, the timeframe could be in
units of weeks or days.

3 Schedule activities on the timeline


For each task, indicate on the timeline when the task/activity will be completed.
Make sure to recognize any dependencies existing between activities so that
you do not plan for one activity to begin before it can possibly do so. Under the
relevant days/weeks you should create a block that covers the whole of the
period for which the activity is planned.

4 Review and update


During the project, revisit the Gantt chart to check the status of all deliverables.
Update the Gantt chart if necessary. Keep the original plan as a baseline, and
make changes to reflect the actual progress of the project in comparison with
that baseline.
