INTRODUCTION

The purpose of this document is to provide the reader the information regarding the assigned
personnel to this project and what the projects deliverables are and what needs to be done in
order to achieve these deliverables

The deliverable expected of this project will be to provide the design, testing and construction of
a solar powered farm to cater for the electricity needs of the occupants of Castaway Island. This
will include the approval of the project sponsor along with relevant stakeholders on this project .
SCOPE MANAGEMENT APPROACH

The project manager will assume overall responsibility for this management plan. The scope of
the project was distinct from the:

 Scope Statement
 Work breakdown structure (WBS)
 WBS Dictionary
 Requirements Documentation

During the lifecycle of the project, the WBS dictionary along with the activities list shall be
worked towards to ensure the deliverable are completed in a timely manner.

To reflect the project deliverables such that it remains a relevant reference document to the
project stakeholders, if ever the project manager or relevant stakeholders wish to change
or add to the scope baseline shall be subject to change control processes following its
approval by the project sponsor

ROLES AND RESPONSIBILITIES

The people listed below will assume the following responsibilities regarding requirements:

SCOPE DEFINITION

The development of the project scope will be defined by the;

 Requirements Management Plan


 Stakeholder registry
 Project Charter

Brainstorming and interview techniques along with questionnaires and surveys conducted on
Castaway Island and feedback from the villagers provided us the necessary information to create
the requirements management plan.

From the Requirements management plan and the requirements documentation we could define
the scope, which is to:

 Implement and construct a solar powered farm 100 meters away from a village on
Castaway Island. The solar farm should be built where it is clear and no shade from the
sun would directly affect the solar panels
 cater for the current electricity needs of the villagers of Castaway Island and have room
for 20% additional growth for future development
 reduce the carbon footprint on Castaway Island
PROJECT SCOPE STATEMENT

The following is given to provide the project manager, project team & design team guidance as
to the level of input as a minimum expected of them in providing their services subject to this
project;

 Implement and construct a solar powered farm 100 meters away from a village on
Castaway Island. The solar farm should be clear of any tress that would shade the solar
panels directly. This solar farm should cater the current electricity needs of the villagers
and have room for 20% additional growth for the future

The deliverables of this project will only be acceptable once;


 Testing has been carried out by delegated local authorities
 Design meets Electricity Act 2017 of Fiji and approval and final stamp off on design
certificates by delegated local authorities
 The solar farm has met the current electricity needs of the village with allocated 20%
room for growth

The following are exclusions in regards to the project scope:


 security installations in and around solar power farm
 Providing workshops for villagers on how to maintain solar power farm
 Site boundary mapping of Castaway Island
 Building a new road up to the village site

The project manager will determine the feasibility of the project during the development of the
cost management plan. The cost management plan will include an assessment of the financial
feasibility of the project and develop a project budget for the endorsement of the Project
Sponsor. Presently Caring for Others has nominated a total budget of $1 million for the project
with a project life span of 1 year. Transportation to the island would be an issue considering the
limitations of the availability of sea ferries. This would obviously affect time to complete this
project within the given timeframe and thus finances would go over budget.

Assumptions for this project are that:


 Training will be provided to the villagers on maintaining the solar farm
 Villagers would have to pay money back to the Caring for Others Organization for the
solar farm
 Availability of sea transport will be inclusive of the project
WORK BREAKDOWN STRUCTURE

A work breakdown structure will be developed for this project to ensure that the requirements
and needs set out by the sponsor and relevant stakeholders are managed effectively and
efficiently. To do this a good rule of thumb would be to use the 8/80 rule whereas the given task
to be completed on the given day / timeframe is no less than 8 hours or more than 80 hours in the
WBS. The purpose of the Work Breakdown Structure (WBS) is to:

 ensure that the scope accurately reflects the given timelines set out to complete the project
 to provide a realistic and achievable timeline that reflects the project sponsors requirements

SCOPE CONTROL

During the course of the work carried out provided in the Work Breakdown Structure the Project
Manager along with his team shall work towards the completion of this project using methods of
reporting and laid out change control procedures.

Use of the documents listed below shall manage and control the scope of this project:
 the WBS Dictionary
 the Work Breakdown Structure

The project team shall report to the project manager;


 of any grievances or requests made by any relevant party regarding the scope or WBS &
WBS Dictionary.
 at monthly intervals to ensure that deliverables set out in the WBS and WBS dictionary
are on track until completion of the project.

Any change request by any party regarding the scope shall:


 be taken up to the project manager for review
 Deemed major or minor according to priority.
 follow the correct procedures regarding change control requests to the project sponsor

All change control requests shall be made in the form of a document from the project manager to
the project sponsor for review and approval. Any change in the scope that has been approved by
the project sponsor during the lifecycle of the project shall be distributed to all parties and this
document shall be reviewed & updated subject to change control processes.
SCOPE VERIFICATION

During the course of the project the project manager shall have sit-downs / meetings with the
project sponsor, designated vendor and relevant stakeholders to ensure that deliverables are being
completed on time and are being met in accordance with the WBS and WBS Dictionary.

Upon completion of the project the project manager shall visit Castaway Island to authenticate
that the deliverable has met the specified requirements laid out in the beginning of the project
and to an acceptable standard.

During this meeting tests shall be made by delegated authority representatives to prove that the
solar farm has met local standards & regulations. Once signed documents have been obtained
from local authorizes the project manager shall set a date with the project sponsor to visit
Castaway Island to make final inspections and approvals.

If deemed fit and acceptable by the project sponsor all relevant documents regarding payments
and approval shall be signed and handed over to the vendor and the villagers.
