First of all to define each software for better understanding of their uses we have :
- AVCS = Admiralty Vector Chart Service : this software is used to update your charts via internet every
week without having to wait for the base dvd from supplier
- ADC = Admiralty Digital catalogue : this software is used to order your missing enc cells (enc cells are the
charts used on ecdis) or to request permits renewal for your existing ones

AVCS
This software if used properly can keep your ecdis updated in a very easy way since we have internet onboard
on all ST vessels. In order to succed in updating your ecdis you have to follow a few steps :

1. To avoid any missed update or partial updates done before you must use the last base dvd received on
board (doesn’t matter if it’s a few weeks old) and insert it in ecdis even if your ecdis will say “newer files
already in use”, this operation is done just to make sure that there are no missed updates until WK of the
dvds. Then you have to do the same operation for the AVCS, in order to have the same start point for
updates in both ECDIS and AVCS (manually selecting the WK from which to start in AVCS can lead to
errors IF one of the weeks was skipped, there’s no way to check that).

2. Click on “Change the date that the Exchange set will be based on” , insert cd in the dvd rom and select it in
the “ECDIS ENC update Status” tab that popped on screen;
3. Now the AVCS will update your cells from the last base dvd (which we know for sure it’s a complete
update) until present day, this way you won’t miss any update 100%
4. In order to let the AVCS know your licensed ENC cells you have to upload your latest permit file which
contains all installed cells on your ECDIS (if you don’t have it complete onboard, master can request
boegerd to send it since they have a file for each vessel containing all the licensed cells requested until
present day); Click on “Update the Application from and ENC Permit File” (this is a file looking like a
normal text document named permit.txt).

5. In order to update directly via internet click “Settings” and select the desired option. Since all ST vessels
got internet onboard you can use “Directly via Internet”, in case of issues with that you can always use the
“By email on another computer” option (same as CHARTTRACK update) where AVCS will create a file
that master can send directly to UKHO (email address will be stated by the program when you will create
the file);
6. Now AVCS is set to update from WK of the latest base DVD until present day directly via internet and u
can tick the “only show cells that are licensed” in order to see the cells from your uploaded permit.
7. Now you can start by updating the ENC Catalogue (this will make the AVCS know the status of all cells on
the present day and which updates are missing from your system)
8. When ENC catalogue is finished click on “Only show cells that need updating”.
9. Now you have to create your update request list by clicking “New request” (you can use present day date as
name for your request just to easily keep track of your updates)
10. Now all your cells that need updating are shown on the left list and the request list is empty on the right
side of the screen. Select all cells that need updating (CTRL – A) and drag-and-drop them to update list
(hold left click, move mouse over the request tab, release left click)
11. Click on “Send Request” and AVCS will start downloading your updates. Wait until finish (progress is
visible in the lower right corner)
12. When download is finished, click on “Create ENC Update Cd based on” , this will request to be saved in a
EMPTY folder .
13. After the ENC Update CD creating is done you can close AVCS, go in the newly created folder and copy
everything on a USB key. Insert USB key in your ecdis and update it using the correct procedure for your
ECDIS (AVCS procedure is the same for all types of ECDIS).

NOTE: Using email on another computer will add two more steps where you must import and email
attachment after updating the catalogue and then after updating your cells.

ADC
This is basically the same as NP131 is for paper charts , ADC is for electronic charts.
Permit renewal or missing charts ordering are done using the same procedure so you can follow the same steps
for your need.
Before doing any operation on ADC, the catalogue must be updated by clicking File > Catalogue > Online
Update of Catalogue.

1. First of all you must select Admiralty Vector Chart Service on the bottom bar
2. You must select ENC Units (don’t use Folios because boegerd will refuse your order)
3. Now we presume that you don’t have charts on board and you must start ordering, there are 2 ways of
doing it , you can either create a route on ADC by clicking “Route” on top bar or if you know already the
zones which will be passed you can just rightclick on charts and add them to basket.
4. When finished click “Open Basket” , save it to your computer , send it to master and he will pass it to
boegerd. Usually the permits will be received in a matter of minutes and you can copy them to USB key
and insert on ECDIS using the correct procedure for your type of ECDIS.

1. Now considering that all vessels got their inventories and permits etc. in order to continue and have an
identical inventory ECDIS – ADC you can upload the last basket or the latest permit file then transfer them
to inventory.
2. Now you got your inventory outlined in yellow on the catalogue chart and you can easily reorder permits or
see what you are missing in case of new trading route.

NOTE : Catalogue must be updated as stated above to avoid any mistake like ordering an already cancelled chart.
Usually the inventory in this catalogue is not wall maintained on vessels so the easiest way to do that is to
use last baskets that were sent for permits renewal (in outlook history they can be found 99% of times) or by request
to boegerd for full available permit on the present date.
With your inventories on both systems being identical it is very easy to spot some missing charts or to
request permits renewals using old baskets (check them by uploading in ADC).
