ZAKOS OIL SURVEY REPORT GENERATOR


Program for Windows

The OIL SURVEY REPORT GENERATOR is a fourth generation Integrated software package
for the Cargo calculation of a Tanker Ship. The package is a menu driven and does not require any previous
experience on the use of computers.

The OIL SURVEY REPORT GENERATOR has been designed and is ideally suited to assist
ship’s officers for the Cargo calculation of a Tanker Ship.

The examples that will be shown and described are hypothetical and do NOT correspont to the
ship’s tank Sound and Volumes from the Tank Ullage Tables.

The example bellow is refered to the Demo Vessel

START :
Each time you switch on your computer and when the WINDOWS are loaded .Follow the procedure described
below in order to execute the Oil Calculation program. From the Desktop find the icon shown bellow then,

1. Double click this icon

in the case NO icon displayed then follow the procedure described below

2. Click at the Start button where the Start Window Menu will be displayed.

2. Click the Programs where the following Window will appear

XpZakosSurveyorCalcs Surveyor Calcs

At the title XpZakosOilCalcSurvey move the mouse pointer until you see the title Oil Survey Calcs
then press the ENTER key or click with mouse in order to start the program.

GENERAL RULES AND INSTRUCTIONS:


Before proceeding to the instructions necessary to each screen the following basic functions are considered important
and should be memorised. The Cursor key movements and Function keys:

Up Arrow Moves One Line Up
Dn Arrow Moves One Line Down
Right Arrow Moves cursor to Right
Left Arrow Moves cursor to Left
PgUp Moves Screen Up
PgDn Moves Screen Down
Home Moves cursor to the Beginning of Line
End Moves cursor to the End of Line
Backspace Errases a character to the left of the cursor

CLICK :
Press and release the left mouse button. A click is used to select an item on the screen.

ENTRIES:
Input screens are designed so that the user is free to move the cursor to any position using the arrows
and make an entry.

Mistakes: Illegal entries are not accepted by your system rejection is followed by a characteristic beeper alarm.

SCREENS:
The user communicates with the system through a number of screens. According to the functions they perform
screen are divided in the following 3 categories:

A. Control Screen is:

Using the mouse the user may select the desired system function. Click the mouse to execute the
selected function.

 Tank Ullage / OBQ / ROB Reports
 Vessel Exp.Factor Calculation Report
 Wedge Calculation Report
 Tools για ASTM Tables

All the input screens have the following characteristics:

- They have a standard format.


- Arrows may be used to select required position (full screen editing).
- Each entry is validated and accepted or rejected accordingly.
- Guiding messages always appear at the screen's Message Window.

OIL CALCULATION ( MAIN MENU )

On the top of the screen appears the ( Main Menu ) with the five (4) horizontal selections and 13 icons as
shown in the following illustration:

To select a menu title or an icon move the mouse so the tip of the mouse pointer usually an arrow is on the
name of a Menu title or an icon you want to select. Quickly press and release the left mouse button.

WINDOW MENU SELECTION:


A Window Menu will display a list of selections as shown in the following illustration:

WARNING MESSAGES:
Those messages will appear in a window form displaying the message and will cover part of the screen and will be
removed by clicking the OK button. A such message is shown in the following illustration:

From then ( Main Menu ) point the mouse on the ( Exit icon) selection, and click the mouse the following message

FILE MENU :
From the ( Main Menu ) point the mouse on the ( File ) selection, and click the mouse the following Window will appear.
The File menu selections are :

Start a New Calculation

Save Calculation

Save Calculation with different name

Export a stored Calculation to Desktop

Delete an existing file calculation

Stored Calculations Table

End program and exit to Windows

Infos: Type various calc informations from the following selections :


Job Infos, Ship Data, Calc Infos, Cargo Gravity, Cargo Tank Infos

Remarks : You must type all the calc. informations required at ( Infos ) in order to proceed

Forms : Type Tank input informations from the following selections:


Ullage Table Input ,OBQ Input , ROB Input

When the above selection are completed the computer automatically will calculate the cargo
for each tank .

Type various input informations from the following selections:


Vessel Experience Factor Calc, Wedge Formula Calc, Slop

Type various input informations from the following selections:


COW, Pumping, Inert Gas Forms

Tools: Various calculation Tools from the following selections

MAIN SCREEN:
The following screen will appear when the program starts.

PROGRAM EXECUTION PROCEDURE:
The following procedure should be kept for the correct program execution:

A: from INFOS :
Type various calc informations

This is the most important part of the Oil Calculation

Β: from FORMS :
Type Tank input informations from the following selections:

ULLAGE Input
OBQ/ROB Input

When the above procedures (A) and (B) are completed the computer automatically will calculate
the cargo for each tank

The folowing example will help to understand he correct program execution.

1. YOHO C.O. Api @ 60F 39.93


2. BONNY C.O. Api @ 60F 32.90

Remarks :
For your first calculation you must check and type the correct names for Surveyor / Form’s Titles
in table SET TITLE NAMES. see page 60

The examples that will be shown and described are hypothetical and do NOT correspont to the
ship’s tank ullage and tank ullage volumes from the Tank Ullage Tables.

OIL SURVEY MENU :
From the ( TOOLBAR ) then point the mouse on the icon below

then click the mouse and the following Window will appear.

The above Table contains all the Forms and Reports of the Oil Calculation.To select the the Report which
you intend to type or view then move the mouse pointer at the title button then click to make the selection.
When exit from the selection you had made then you will return to this screen.
click at the ( Close ) button to return to MAIN SCREEN
When the ( Calc Infos ) Table completed follow the below program execution.

Note :
When calculation completed you will be able to save current calculation as an Excel report.

1. from Toolbar OR from OIL MAIN MENU

Use this button to type various calc informations. If these calc informations NOT completed
correctly then you will not be able to continue and the following window message will appear.
JOB INFO NOT Completed !! Therefore Reports are Locked.

2. Use this button to type Ship’s Cargo Oil Tanks data

3. Use this button to select Astm Table and type various Calc informations

For the Astm Table selection and typying the various Calc informations
The folowing example will help to understand he correct program execution.

1. OIL JOB INFO :

from the TOOLBAR OR from OIL MAIN MENU Table


then click the mouse and the following Window will appear.

2. EDIT SHIP INFOS :
From the ( OIL MAIN MENU ) then point the mouse on the icon below

then click the mouse and the following window will appear.

Tank Data Input Procedure:


Entering this table for first time all input column fields will be empty. For each Cargo Tank enter at the
appropriate column the folowing inputs which have been obtained from Ullage / Sounding TankTables.
Only columns with the Very Light Blue color can be typed.

Type Cargo Tank name e.g. 1P ( 1 to 6 characters allowed )

Type for each Cargo Tank dimentions ( for Wedge Formula calculation )
e.g. Length= 30.240, Breadth= 7.580, Depth= 19.157, Ulg.Dist from Aft Bulkhead= 9.260

By typying those Cargo Tank Data you will avoid to retype the tank data in case you will work
With the same vessel. Just you have to load the ship’s data as described in page 33

The procedure described above will be carried out so many times as the number of the calculating tanks.

When all entries have been completed then return to OIL MAIN MENU then continue to the next page

3. EDIT CALC INFOS :
From the ( OIL MAIN MENU ) then point the mouse on the icon below

then click the mouse and the following window will appear.

Click to UnLock Message Window Click to return to Oil Main Menu

To open and select the Cargo Tank Infos Table click on the button or hold down the left Alt key and
press the underline letter e.g. ( T ). This procedure will be carried out for the 2 buttons for the Calc. Infos.

Calc Info Input Procedure:


Entering this table for first time all input column fields will be empty. Type or select the appropriate fields
The appropriate fields with the Very Light Blue color can be typed.

GENERAL CALC INFOS :
Type the required field information with Very Light Blue color

At the column Cargo Calc. Grades ( 1 - 5 ) you must select the number of cargoes to calculate
In order to proceed. In this example we typed 2

If the following message appear

To Unlock do as follows.

DEFINE Cargo Gravity:

Type Cargo Name ckick to select ASTM Table type Cargo Gravity for
when clicked the following API 60F / R.D 60F / DENS 15C

Ckick Operation MODE to select Loading / Discharge / Lightering Calculation

select MODE from the table

Click at box for selection of C / F then ckick to select Cargo Temperature taken.

Click at box for selection of VCF CALC MODE TABLE / INTERPOLATION

VCF CALC. MODE where the program will calculate the VCF factor.

TABLE :
e.g. for API = 30.12 Temp = 73.2 F
the program will calculate the VCF factor as follows : API = 30.0 Temp = 73.0 F

INTERPOLATION :
e.g. for API = 30.12 Temp = 73.2 F
the program will calculate the VCF factor as follows : API = 30.1 Temp = 73.2 F

ckick to select ASTM Table for SLOP’s Calculation as described in page 17

Type the above required informations


For the Date type the date e.g. 30/04/2009 as follows ( 30042009 ) 8 numbers

The Surveyor’s name can be changed as described in page 60.

CARGO TANK INFOS :
To open the Tab selection Cargo Tank Infos click on the button where the following screen will appear.

PROCEDURE:
In case you have typed one (1) Cargo Grade the program automatically will assign the first grade (1)
for each tank.In case you have typed more than one Cargo Grades you must type in the column with
the Very Light Blue color for each tank the No. Cargo Grade which you intend to calculate.
If Cargo Grade NOT typed a message will appear.

Remarks :
If the following message appear

You will NOT be able to type. All cells will be locked.


To Unlock do as follows

Click at this button


Click at this button to return to OIL MAIN MENU

Click at this button to Initialize all fields

Remarks :

The following messages will appear in the ( Infos ) table

In case you select new Cargo Grade e.g. Calc. Grades : 1 then the following message will appear.

Selecting the button ( Yes ) all the calculations for Ullage/Obq/Rob Reports will be initialized and you
have to repeat the procedure.

In case you have NOT typed the Cargo Gravity value(s) then the following message will appear.

Refer to page 17 and repeat the procedure DEFINE Cargo Gravity by typying the Cargo Gravity value(s)

If all informations have been completed correctly then move to the next step selecting the ( Forms ) icon
from the Main Menu.

From the ( TOOLBAR ) then point the mouse on the icon below

then click the mouse and the following window will appear.

The above Table contains all the Forms and Reports of the Oil Calculation.To select the Report which you

ULLAGE INPUT :
From the ( OIL MAIN MENU ) move the mouse pointer at the ( Ullage Input ) selection then click where the
following Window Screen will appear.

Click to select Calc Grade No. Message Window Click for Calculator Click for Vol.Interpolation Click to return OIL MAIN MENU

Tank Data Input Procedure:


Entering the table for first time for new inputs all columns will display zero values. For each Cargo Tank enter
at the appropriate column the folowing inputs which have been obtained during tank meassurament. The
columns with the Very Light Blue color can be typed.

Procedure:
In case you have typed one (1) Cargo Grade the program automatically will deactivate the selection Grade No.

In case you have selected more than one Cargo Grades the program automatically will display the first cargo
which you will calculate.

For each cargo ( Grade No ) you intend to calculate click the appropriate button No. e.g. 1 before you start
You must type first the Drafts / Heel before typying Tank Data Input.

If NO Drafts typed then a message will be displayed in the Message Window.


Also, those Drafts / Heel will be displayed in the Ullage Report

In this Example :
FWD : type 11.50
AFT : type 12.50
HEEL : type 0 for ( Heel to port use the minus sign e.g. -0.5 )

Tank Data Input Procedure:
For each Cargo Tank enter at the appropriate column the folowing inputs which have been obtained during
tank meassurament. The columns with the Very Light Blue color can be typed and message will be displayed
in the Message Window

Obs. Ullage
Type the Observed Ullage which have been obtained during tank meassurament OR you may type
a max. of 10 characters e.g. Not Loaded. In this example the ullage found to be 235 cm for Tank 1P

Type : 235

Note : Ships which have Ullage in Cms should be typed as are refered to Ullage Tables
The Formtat will be ( M.cms = 0.000 ) for ( cms = 0.0 ) for ( Ft.inch = 0.000 ) for ( Inch = 0.0 )

For Ullage Input in Ft.inch e.g. 5’ 05.5’’ must type as 5.055 and for Inch e.g. 1.8’’ must type as 0.018
The program will check for the correct input in Ft.inch ( if inches are more than 11’’ e.g. 5’ 12.5’’ )
If not then warning message will appear.

If No ( Total Corr’n ) typed then the program automaticaly will display the same ullage value in the
Column ( Corr’d ) e.g. 235.0

In case you type Obs.Ullage=0 the system automatically will initialize the following columns
TOV, Dip, FW Volume, Obs.Temp

Total Corr’n
Type the Total Corr’n which have been obtained from the Ullage Table ( for Trim and Heel corrections )
If No correction found then type 0. In this example 0 correction for Tank 1P.

Total Corr’n, Corr’d Ullage


0.0 235.0

T.O.V. m3 / Bbls :
Type the ( T.O.V. ) which have been obtained from the Ullage Table
In this example the ullage found to be 6,123.300 m3. for Tank 1P

Type 6123.3

FW Dip :
Type the FW Dip ( in Cm ) which have been obtained during tank meassurament OR you may type
a max. of 4 characters e.g. Traces ή NIL ή N/A OR click at the Tank Dip column then right click
the mouse where the folowing Dip Menu List will appear where you make the selection.
In this example NIL selected for Tank 1P.

Click and make selection or move the


Coursor along the table then hit the
ENTER button

Note :
In order to display the above window the coursor must be set in the column field ( Dip )
where you want to make the entry then right click the mouse.

FW Volume m3 / Bbls :
Type the (FW Vol. ) which have been obtained from the Ullage Table
In this example the NO Dip found for Tank 1P

Obs.Temp (°C)
Type the Observed Cargo Temperature which have been obtained during tank meassurament
In this example the Temperature obtained in °F

The system automatically will calculate the temperature conversion according the selected ASTM-IP Table.

for Tables 6A, 6B, T24A, T24B


where temperatures taken in Celsius (C) during tank meassurament will be converted to Fahrenheit (F).

for Tables T54A, T54B, 54D


where temperatures taken in Fahrenheit (F) during tank meassurament will be converted to Celsius (C)

Av.Temp :
Must type Temperatures for each tank for the following columns
Upper Temp / Middle Temp / Lower Temp

Typying Temperatures for each tank the program will automaticaly calculate the Average Temp and will
display it in at the appropriate column

The procedure described above will be carried out so many times as the number of the calculating tanks.

When all entries have been completed and return to OIL MAIN MENU the system automatically will calculate
the cargo quantity in every tank.

The following Screen will be displayed when entries completed.

Note :

1. Click this button


To return to OIL CALCULATION MENU.

2. Must type all informations for each tank.

3. Incomplete entries will cause an error message to be displayed on a Window.στο Message

4. To correct an entry value do as follows :


Using the button arrows (Up/Dn/Left/Right) move the cursor to that field and type the new value.

click on the button < Initialize > to initialize all data in the table

click this button to displa the Volume Interpolation Table. See example in page 63

If you have selected to calculate more than one Grade then click at the button e.g. 2 in order to select
the second Cargo Grade where you will repeat the same procedure as described in our first example.
as from page 22 to page 24.

The following Screen will be displayed when entries of the second Grade is completed.

Now, to continue the program execution return to OIL MAIN MENU


Then select ( Ullage Report ) to view or print the Report.

ULLAGE REPORT :
From the ( OIL MAIN MENU ) move the mouse pointer at the ( Ullage Report ) selection then click where the
following Window Screen will appear.

Click to select Calculation Grade No. Click to Print Report Click to Exit OIL MAIN MENU

Procedure:
For each calculated cargo ( Grade No ) you intend to print click with the mouse the button No. e.g. 1 then,
You have to type the value(s) in the following columns for :

O.B.Q. / R.O.B. , Slops , Adjusted for V.E.F. , Bill of Loading

Where, when you move the cursor to each column mentioned above the column will be shown with
Very Light Blue color then type each value in that column.

ckick to Print the select Grade No. Ullage Report

click to return to OIL MAIN MENU.

Click to resize the spreadsheet

To enlarge the Form use the mouse while holding the left button and move to direction up/down/Left/Right

For OBQ/ROB you have to type informations in the OBQ/ROB Input Table ( see example in page 30 )

Now, we will describe the procedure of the O.B.Q. program execution.

OBQ / ROB INPUT TABLE :
From the ( OIL MAIN MENU ) move the mouse pointer at the ( OBQ Input ) OR ( ROB Input ) selection then
click where the following Window Screen will appear.

Click to select Calculation Grade No. Message Window Click for Calculator Click to return OIL MAIN MENU

OBQ Tank Data Input Procedure:


Entering the table for first time for new inputs all columns will display zero values. For each Cargo Tank enter
at the appropriate column the folowing inputs which have been obtained during tank meassurament. The
columns with the Very Light Blue color can be typed.

OBQ/ROB Tank Data Input Procedure:


Entering the table for first time for new inputs all columns will display zero values. For each Cargo Tank enter
at the appropriate column the folowing inputs which have been obtained during tank meassurament. The
columns with the Very Light Blue color can be typed.

DIP
Assumed Observed Liquid Dip = 1 cm has been obtained during tank meassurament for 3P

Type 1.0

OR you may type a max. of 8 characters e.g. Traces ή NIL ή N/A OR click at the Dip column then
right click the mouse where the folowing Dip Menu List will appear where you make the selection
for ( FILL NIL / TRACES / EMPTY / N/A ). In this example NIL selected for Tank 3P.

The procedure described above will be carried out for Non-Liquid / Free Water / Liquid Oil so many times
as the number of the calculating tanks.

VOLUME
Type the Volume which have been obtained from the Ullage Table. In this example the ullage found
to be 2.800 m3. for Tank 3P

Type : 2.8

The procedure described above will be carried out so many times as the number of the calculating
Cargo Grades which described above.

The same procedure will be executed and for the ( ROB Input )

The following Screen will be displayed when entries of the second Grade is completed.

Remarks :

1. click on the button < Back to Menu > to return OIL MAIN MENU.

2. click on the button < Initialize > to initialize all data in the table

3. Incomplete entries will cause an error message to be displayed on a Window.

4. Entries values less or greater than those displayed in the Message Window for each column

Start typying the Unit value in the column METERS Input .


Moving the cursor at that cell column METERS Input with a Very Light Blue color and start typying the
Unit value. Then, move the cursor to another cell in order the Results will be displayed.

SAVE CALCULATION FILE :
The system automaticaly saves the current calculation after typying any new or changing data.
This will occur when we create a new calculation and when the procedure JOB Infos see page 9
is completed and exit the following Window Screen will appear:

type the file name you wish to save then ( Click the button Save )

Remarks :
DO NOT Type the following characters when typying the File Name ( . / \ ) or space
If for any reason a File with the same name exists e.g. ( OJOB-2009-0001 ) type (OJOB-2009-0001A )
DO NOT Change the ( OJOB-xxxx – xxxx ) as
OJOB = Oil Calculation Job
xxxx = Job Year
xxxx = Job Number

Pay attention that the program assigns automatically the Extension of the File (*.Osv ).
Therefore DO NOT type this File Extension otherwise you will NOT be able to Load this File.

If for any reason you wish to abort the operation then, just click the Cancel button.

B. To display your Company’s Logo again click ( O No, I will keep the Logo default titles )

Click to send the Excel file to Desktop then click the OK button
