Abstract

The Institution aims to construct a system that can hold and store LDS Record/Account
information for the members of the Church, for use
in their Web Accounts managed by The Church of
Jesus Christ of Latter-day Saints (hereby called the
Institution). In pursuant to the instructions by
Church Leaders to record the LDS Account of the
members, the proponent decided to create a
database that can easily cater to this need. This database will also cater for other uses, such as
Member’s Information, Records/History of Callings (Responsibility) among many applications.

Introduction and Current System

The current system of the database is mostly done on Pen and Paper in the past, followed by a
basic MS Excel Spread sheet type. Concerns such as Security (potential loss of the record),
Privacy (unauthorized viewing of the records), Constant Monitoring and Updating, and Loss of
Data Integrity are just a few of many concerns that have arisen as far as these database
managements are concerned. This project is conceived partly to provide a Satisfactory Answer to
these challenges, and to be able to provide the Institution such database for immediate future
application

Problem Areas

Having experience a lot of different methods of constructing and managing databases, the
following conclusions are observed, and adopted as concerns that needs solutions:

Security and Privacy Risks

The Security from unwanted access and the Privacy of the records is one of the concerns
confronted by the current system. Issues of hacking, being locked of the account and other
inappropriate use are rampant among the users of the Current System.

Redundancy and Duplication

This is another common problem to all databases: the redundancy and duplication of the
information. This concern affects the integrity of the database, as well as the actual performance

of the project as a whole. The current system does not have an available validation system, where
potential duplicates are checked first by the system before it can be recorded. Such a system
would be desired in the proposed system.

Inaccessibility and partial effectivity

The accessibility and effectivity of the database, especially the part where it can be accessed by
more and more clients and users are one of the shortcomings of the past database, where the
records are subject to loss or unavailability, due to unforeseen circumstances or human error.

Goals

Provide security and privacy of the member when the user (from the Administrator or from the
Client) decides to view the database.

Security will be one of the primary requirements of this database. Therefore, since the database
caters to potentially sensitive information, the privacy of the member and his/her account/record
must be assured, partnered with the competence of the Users and effective security.

Organize the member’s data and provide quick access for the member’s information as well as
assure data integrity.

The project aims for a database that can allow Administrators of the Database to quickly yet
efficiently add or edit the member’s information such as the LDS Account Username and
Password, among other things, and then, upon saving the information, allowing the said
administrator to access the record of the member when the need arises.

The duplication and redundancy of the information/records are to be eliminated gradually using
the proposed system. In this way, the proposed system can achieve the goal of being able to
provide a well-organized database.

Providing a multi-purpose database while accomplishing the main objective (which is for LDS
Accounts)

At the same time, as this database is being constructed, the opportunity is provided to construct
the same database and to add multi-tasking to the list of its benefits.

Critical Success Factors

Among many things, the success of the project will rely heavily on different success factors.
Among these are the critical ones as indicated below

Security of the Database

The proposed system aims to provide the Institution a Secure database, wherein the members’
accounts and record are protected by competent managers/administrators, as well as the
assurance of a Secure Database that can protect the records from Security threats such as
unwanted access and outside threats (viruses, etc.).

Reduction of Duplication

As records are being created, the reduction and eventual elimination of duplication will greatly
contribute to the success of the database. Duplication of records is a pressing concern among
every database, and therefore, this step will help a lot in the project. This will assure the
Institution of effective services and proper consolidation and use of the information stored in the
said database

Effective Administration and Application

As mentioned, competent users, as well as effective administration and application will also be
of great impact to the project. This database will greatly affect the administration of LDS
Accounts of the members, and

Quick Consolidation and Update

The efficiently of the updating of information, as well as the easy consolidation of the new
records into one database from different branches is another point of success that can contribute
to the over-all success of the project.
