SAP PM – CORRECTIVE MAINTENANCE

Introduction:
The corrective maintenance scenario contains all the fundamental process steps followed whenever maintenance is
performed. The corrective maintenance process demonstrates how and when:
 A SAP user logs a notification to request maintenance to repair defective equipment
 A planner creates, plans, and schedules a maintenance work order
 The materials management process issues stocked spares and procures non-stock items
 An artisan performs the maintenance work having received the work order, and captures the feedback
 An authorized person approves and completes the work
 The maintenance costs are reflected on the order and settled to the relevant cost center
 Corrective maintenance contains all the process steps involved in preventive maintenance and regular
maintenance process.

Creating a Notification:
A notification is a way to notify the business line that there is a problem on a equipment or functional location and is
also a request to fix the problem. Notifications can be created manually. This means the concerned user, or operator
reports a malfunction or breakdown. Notifications will also be created automatically by the system in the case of
preventive and scheduled maintenance.

Procedural Steps

Purpose: Creating notification.

Transaction Code:

Menu Path SAP Easy Access → SAP Menu → Logistics → Plant Maintenance → Maintenance
Processing → Notification →Create(General)
Transaction IW21 – Create
Code IW22 – Change
IW23 – Display
IW28 – List Editing
IW29 – List Display

Procedure: Enter the Transaction code IW21 in the command field or go as per the navigation shown below.

Press <Enter> or double click on IW21 – Create (General), the following screen will appear

Notification Type: General Maintenance (CM)


Corrective maintenance notification type describes abnormality into an object, which restricts the performance of that
object in some way. A user can use a corrective notification type to inform the maintenance department that a system
is not functioning correctly, is not working at all. This notification type is intended to prompt the maintenance
department to carry out a maintenance task to restore the target condition of the object.

In above screen, system by default copied Notification Type CM – General Maintenance or also we can select
Notification Type from drop down list.

Select and double click on the Notification Type “CM" from drop down list as shown above.

After populated Notification Type then Press <Enter> or Click on the Notification icon.

B) Enter the top Functional Location of plant & click the button at the right side of the Functional location field.

The structure list of the top functional location will appear, expand the list and reach to our required equipment, on
which the breakdown to be reported, as shown below.

Select the equipment and double click it.

The exact functional location and equipment will appear in the Reference Object fields of Notification header as shown
below.

C) Similarly select Main work center by work center category 0005-Plant Maintenance.
D) Enter the Reported by (Production Person Name) and
E) Also System copies the present date, a different date and time also can be entered, as required in Malfunction start

System will return back to the following screen.

System will give a message in the message bar that our Notification saved as shown above.

NOTE: After notification saved automatically system will triggered mails to the responsible person.

Create Breakdown Maintenance Order for notification:


The Maintenance work order is the document that gives the “go-ahead’ for maintenance work to proceed. It contains
the plan of where, when, how, and by whom the work will be done and where the cost will be taken care for the
materials and services used against the order.

Procedural Steps

Purpose: Creating Breakdown maintenance order for notification.

Transaction Code:
Menu Path SAP Easy Access → SAP Menu → Logistics → Plant Maintenance → Maintenance
Processing → Order →Create(Special) → IW34 - Order for Notification
Transaction IW34 – Create
Code IW32 – Change
IW33 – Display
IW38 – List Editing
IW39 – List Display

Procedure: Enter the Transaction code IW34 in the command field or go as per the navigation shown below.

Press <Enter> or double click on the IW34 – Order for Notification, to get the following screen
Key-in the Notification number in the Notification field (refer screen below).

Select Order type by click on the drop down button of Order type,

Click once on the line“ZM01 – Breakdown Maintenance Order” and click on check mark button to get the value
populated in the Order Type field.

Press <Enter> OR click on the Header button as shown below.

Create Corrective Maintenance order: Central header screen will open. Data will get copied from the Notification E.g.
Order short text, Planner Group, Maint work center, Reference object etc. If any changes are required it can be done.

Go to Operations tab,
 If the operations are more than one operation, use the operation tab strip, and enter as many operations as
required
 The first operation in the operations screen gets copied from the order header description as default by the
system. It can be replaced with some other operation text as required.
 The work centers for different operations can be different (If required).
 Control Key PM01 Denotes – Work done by internal team.

After entering the Operation text, enter the no. of manpower in Number field and enter the proposed time taken in the
work field, based on these entries system will calculate the duration of the activity.

If some material is required for any of the operations, then go to the component tab.

Enter the material code no. if known or select the material from the drop-down help, and enter the required quantity as
per the requirement. If more than one operations are used then system will ask you, in which operation we want to assign
this material.

Select component (material) and go to General Data tab as shown below.

Check Reservation no. for Goods Issue from Store, Note down this reservation no. and Go back.

After entered all required entries click on <Release> icon, to Release order.

System will give a message in the message bar that Order released as shown below.

Now click on <Save> icon in the bottom of the right corner and then system return back to the following screen.

System will give a message in the message bar that our Order saved as shown above.

Note down this Order number to, which will be used while drawing the materials from the stores.

against this reservation no. /order no.

 The store person will post the goods movement transaction (MIGO) in MM module.

Comparison with other process:

1. Corrective Maintenance & Preventive Maintenance


 In Preventive Maintenance, routine checks are performed according to the company’s maintenance strategy to
ensure that machines are running as per the required parameters. In SAP PM, using routine maintenance plans
you can create a preventive work order.

 In Corrective Maintenance, you correct a malfunction or a machine failure by raising a notification in the system.
The work order is received by the technician who enters the information. An authorized person in the PM
system approves and completes the work as per the work order.

 In certain scenarios, a corrective work order is created as a result of preventive work order. When a routine
checkup is performed, the technician finds a failure or a malfunction in the operating machine and a corrective
work order is created to clear the fault.

2. Corrective Maintenance & Breakdown Maintenance


 You perform Corrective Maintenance to improve the working condition of the machine. It is performed when a
malfunction is detected and the machine is not operating properly as per the designated function.

 Breakdown Maintenance is carried out when your equipment has a breakdown and is not working. In
Breakdown maintenance, production is affected. In SAP system
