Project Controls Report
• The project controls report is a tool used to explain to the
key stakeholders (e.g. project board) how the goals and
objectives of the project will be met. How important items
or deliverables will be captured and managed.
• This report is vital communication tool that is used as the
basis for anticipating and averting problems through the
proper corrective actions.
• Controls are established and then activated either by an
event occurring or a timeframe being met.
• Outputs are generated as a consequence that then
become controllable items managed by the project team.

• Project controls report contains the following

Controllable Categories
• Deliverables (or Products)
– An input or an output, tangible or intangible, can
be described in advance, created and tested
• Status Reports
– Reports on the status of deliverables or products
• Logs
– Daily log, Lessons log, etc.
– Risk register, Issue register, quality register, etc.

Event-Driven and Time-Driven Controls
• PRINCE2 provides two types of progress control
throughout the life of a project:
– Event-Driven Controls
– Time-Driven Controls

• Monitoring and reporting requires a time-based


approach, whereas
• Control (decision making) is an event-based activity.
Event-Driven Controls
• Event-driven controls are control mechanisms that are assigned
to control items as a consequence of events that occur within a
project.
• Event-driven control takes place when a specific event occurs.
This could be, for example:
– the milestone report
– the end of a stage report,
– the completion of the Project Initiation Documentation, or
– the creation of an exception report.
– It could also include organizational events that may affect the project,
such as the end of the financial year.
• The management of the events are governed by taking Inputs,
applying Tools and Techniques and generating or updating
Outputs (PMBoK).

Time-Driven Controls
• Time-driven controls are control mechanisms that are
assigned to control items at set times that occur within a
project.
• Time-driven control takes place at predefined periodic
intervals. This could be, for example:
– Monthly highlight reports for the Project Board
– Weekly checkpoint reports showing the progress of a Work
Packages.
– Daily logs
• The management of the events are governed by taking
Inputs, applying Tools and Techniques and generating or
updating Outputs (PMBoK).

completed in context of the case study (tender
document) provided within Assessments section
in Moodle.

• Also have a look at the additional briefing notes


provided in the controls report template within
Week 5 section on Moodle.
Tutorial Exercises & Questions
• Attempt the tutorial questions in the class if
time permits.
• Complete any outstanding questions in your
own time / out of class.
• Answers to the tutorial questions are provided
the week after in the Moodle so that you can
track how you went with your answers.
