Work Instruction

CJ20N Change Project using Project Builder

Purpose

Use this procedure to make changes or updates to the project data, either to the project definition or to
any of the WBS elements, including changing the system statuses.

Trigger

Perform this procedure when a correction or change is needed on a project.

Prerequisites

 The project exists in Project Systems.

Menu Path

Use the following menu path to begin this transaction:

Procedure
1. Start the transaction using the menu path or transaction code.

3. As required, complete/review the following fields:

Project Definition R
Framework of data that is binding to the entire project.

8. Select desired field from Pool section .


9. Click left arrow to move selected field to the Selection criteria section.
10. Click Continue (Enter) .

11. Click Person Responsible / New value field.


Remember to use the matchcode to view and select data inputs.

12. As required, complete/review the following fields:

14. Click Back .


Notice the executed changes are listed in the Mass change: Display log screen.

In this example, the Message Text displays, "Person Responsible xxxx has been replaced
with yyyy".

15. As required, complete/review the following fields:

master data, internal order, cost center, etc.

Budget CIP System R
City bureaus are categorized into service areas based on
the nature of their programs and services. Each service
area section of the budget document begins with a
description of the service area and budget highlights for
bureaus in that service area.

18. Click Budget Zone/Area field .


19. As required, complete/review the following fields:

Bureaus are required to indicate which objective best
describes their capital project.

Budget Program R
Each bureau establishes capital programs to achieve goals
set by City Council.

Citywide Asset Type R


Assets have been grouped by type within OMF and Parks.
Example:
CAT014

Citywide CAFR Funding R


This is the major funding source for the project as indicated
in the CAFR.
Example:
CAF018

Citywide CGIS Number R


There is an unique GIS code for each project enabling the
use of Portland Maps.
Example:

Citywide Funding R
These codes group funding sources for projects by external

major funding source.

This field allows bureaus to group projects. Currently, the
field is planned for use by BES and Parks.

This field tracks each park separately.

This field further breaks out Parks assets by asset type.

REL - released status displays to confirm the WBS elements are released to accept
accounting functions.
Use the scroll bar or scroll arrows to view the User Status column.

24. The system displays the message, "Project xxxx is being created
created" .
