1. Write four effective messages of no more than 140 characters each (short
enough to work as tweets, in other words) to persuade other college students to
take the business communication course. Think of the first message as the
“headline” of an advertisement that makes a bold promise (value proposition)
regarding the benefits this course offers every aspiring business professional.
The next three messages should be support points that provide evidence to back
up the promise made in the first message.

problems, making decisions & removes any controversies created at workplace
due to lack of good communication skills.

Business Communication Course will accelerate your current carrier, gives


motivation, job satisfaction and helps you maintain cooperation and
coordination both professionally and personally.

After the completion of course, you will have a strong command over verbal,
written & technical communications skills which would reflect on your overall
personality and would recommend you all to take up this course and get its
benefits.
2. In less than a page, explain why you believe each of the following is or is not
ethical, from a business communication perspective:

a. Keeping quiet about a possible environmental hazard you’ve just discovered


in your company’s processing plant

Answer 3) a: -

In many organizations as of now today more importance and stressed given to the safety and
environmental hazards. It is unethical to be quiet about a possible environmental hazard seen.
Hazards should be reported in time to the concerned authorities and get them rectified as soon
as possible. Hazards can be dangerous for the safety of employees working in the organization.
If I have discovered a possible environmental hazard I will report to the health, safety and
environment Manager. Environmental hazards are dangerous and can be fatal.

Once I discovered an environmental hazard in our processing plant. The water draining out
from our plant was getting mixed into nearby lake, generating large number of toxic gases and
chemicals, making the lake water unfit for consuming. It is very dangerous for the people living
nearby as the polluted water is acidic and cause health risks.

It is very important for us to raise the issue with the HSE team of our company and get it
rectified. While conducting business we should take care of ourselves, our customers,
colleagues and our society. We should suggest alternative ways of decomposing the processing
plant water and chemicals instead of dumping into nearby pond where lot of people residing
gets affected.
If we don’t raise our voice, then in future it will be dangerous and harmful for the society. It is
not in ethics to pollute the environment for our business sake. It is our professional duty to
protect our environment from getting polluted so that we can work in a healthy environment.

b. Overselling the benefits of instant messaging to your company’s managers;


they never seem to understand the benefits of technology, so you believe it’s
the only way to convince them to make the right choice

Answer 3) b: -

Todays technology world is fast and changing, to keep up the pace with technology there are
now more fast and innovative communication medias available for us, one of the
communicating ways is instant messaging apps. Instant messaging apps are the latest business
communications tools which are being widely accepted due to its benefits. I believe in use of
instant messaging apps in business is very beneficial and would request my seniors and
colleagues also to encourage use of these instant messaging apps in office works.

There are lots of benefits of using instant messaging apps than the traditional way of business
communication medias such as emails, letters and phone calls. Now the instant messaging apps
are the trend setters for a new effective and fast business models as these are highly
acceptable, very fast way of communicating to your team and colleagues. The major benefit of
these apps is the fast delivery of your message with wide range of attachments such as
pictures, excel, word, pdf documents instantly within your team. These apps are highly reliable
to use, and less time consuming to spread or communicate your message within the team or
individuals as compared to sending emails and letters.

With the additional benefits of instant messaging apps integrating well with the payment
business models is an icing on the cake. Now we have the option to make our payments to our
customers, vendors and record each transaction detail with ease. It is a matter of time to
integrate the instant messaging apps and their benefits to your working traditional models.
Once these new methods and technology are integrated it gives a boost to our speed of doing a
business transaction whether we are communicating a message or making any payment or
receiving any payment. With only one condition of a reliable and fast internet we can transform
our model of communicating to a greater and higher level widely accepted by our vendors,
customers.

These messaging apps are highly scalable and handles large volumes of data between the
sender and receiver instantly and keep their records in store. As these apps are supported on
our mobiles gives them the added advantage of their usage in terms of getting a feedback of
your message instantly. A person at a remote location with a normal internet connection can
respond to your message instantly over mobile phones using these apps rather than checking
his emails over laptop and synching them.

In this era of digital revolution, we are on the verge of doing our business much faster, more
reliable, secured than our previous generation of doing business. It is a boom for the sender
and receiver in terms of satisfaction of your message getting delivered, message easily
transmitted and read, received and getting its response and feedback instantly.
I once again assert my opinion to you all in using instant messaging in our work culture and get
the benefits of it in terms of business communication as these apps aptly integrates very well all
the pillars of business communication i.e. Purpose, Audience, Resources, Ethics, Collaboration
and Security.

c. Telling an associate and close friend that she needs to pay more attention to
her work responsibilities, or the management will fire her

Answer 3) c: -

Hi Geeta, how are you? hope everything fine. Would like to discuss with you regarding your
work areas assigned to you, I have good news and bad news for you. Good news is that it is
more likely that we will getting a big contract this year and there would be lot of work to be
done. The contract is a prestigious contract for our customer and for us as well. Coming to the
bad news is that management is not satisfied with the outcome of your work responsibilities. I
am aware you are good performer and a key resource for the company, but due to some
difficulties you are not performing up to the mark. Management is stating that your attention
towards your work is very low. Whatever may be the reason due to which you are lagging you
will have to stand strong to maintain your professional position in front of the management. I
know and completely understand it is very difficult to manage personal life and professional life
altogether, but at same time it is very important to give your best when at work. Please be
more attentive and confident in whatever work you have been assigned and try to complete
that within stipulated time.

I know it would be difficult for you to take my words and adjust the situation but being my close
friend, I would advise you to focus and give the needful time for your professional
responsibilities and work. If you are stucking up somewhere I am here to help you. If things
don’t change fast, then I am afraid the management might leave you with the pink slip. I hope
you can understand the seriousness of the matter and would start working on it as soon as
possible.
As your colleague I always wish for your good and well being and would be there to support
you to the best of my capabilities whenever required. I hope to see you getting involved in the
new contract soon and working hard. You should be able to win the confidence back from the
top management soon and convince them to change their mind regarding your poor
performance into a good performer.

d. Recommending the purchase of equipment that your department doesn’t


really need in order to use up your allocated funds before the end of the
fiscal year so that your budget won’t be cut next year—when you might have
a real need for the money.
Answer 3) d: -

To Whom it May Concern

I recapitulated funds allocation register and had observed that some of the funds still left to be
used. As a result, we need to utilize the allocated funds now on an urgent basis. If the allocated
funds are not used completely then we will be short of funds next year. In my view we have
only black and white printer in our office which is heavily loaded to take prints, if we have a
color printer then we would be able to utilize the funds as well as would be beneficial for taking
color prints for our office. The load of work on black n white printer can be reduced if we have
2 printers in our office. So, I am considering looking for vendors from whom we can purchase
the equipment.

I had gone through the technical specifications of various company’s color printer. Although all
seemed to be good color printers with zero breakdown and less maintenance cost but in my
view, HP is the best. It prints very fast and requires less maintenance and is very compact.

I know as far as prints are concerned we can work with the current black n white printer, but it
requires lots of maintenance and has large operational downtime. Most of the time this printer
is not in good working condition and requires lots of maintenance.

Also, I don’t want to have less budget allocation next year for the purchase of office equipment
as we require to purchase more additional equipments in future. I strongly recommend to
expediting the buying of color printer from the allocated funds reserved for the buying of office
equipment this fiscal year.
Hopefully you would be able to understand my opinion towards buying of color printer, taking a
wise decision professionally keeping in mind the budget and the requirement for the company.
I hope my suggestions are convincing enough to take decision on purchasing of color printer for
the office. I have enclosed the technical specifications of major brands of color printers for your
reference.
