DETAILED LESSON PLAN

I. OBJECTIVES
At the end of the lesson the student should be able to:
 Identify commands used to create mail merge;
 Exhibit skills in creating mail merge; and
 Create a mail merge using MS Word

A. Motivation
The students will be given a sample letter for them to edit and format
using MS Word. They will be provided a list of recipients for the letter.
They will be asked to print/preview the letter with the name of the
recipients.

remain grateful to you. Amen.

Before you sit down, please pick up the

Okay please be seated.
Ms. Jonah is there anyone absent today? There is none ma’am.
I’m glad to hear that thank you.

Before we will start our lesson for today, Ma’am last meeting we identified the

Okay, thank you. So again, last meeting, you


identified the components of the MS Word
window and you are able to create a sample
document and format it using commands in
the home tab such as changing the font
style, font size, and also alignment of the
paragraph.

Now, for our next topic, I have here a sample (Students actively participate)
letter for you to encode and format it as
shown.

So now, I will give you a list of recipients and Ms Jane: Ma’am, I will just simply change the

your time and effort. With the command that
I will be introducing to you this morning, you
can already print each name of recipients in
just one letter at once. And this command is
what we called Mail Merge.

The Mail Merge feature in MS Word allows


you to type one letter and individualize it for
a number of people (recipients). The mail All Students: Yes Ma’am!
merge feature can be found in the Mailings
tab on your ribbon. As we go on with hour
lesson, I want you to observe and follow the
steps on how to create mail merge in
Microsoft word. See to it that you’re opening
the letter that you’ve created a while ago so
that you can follow. Are you ready?

Okay, so let’s start. First thing that we need


to do is to create a list of recipients for our
letter. To do that, go to mailings tab on your
ribbon, click on Select Recipients, and
choose Type a New List. Then I want you to
type the list of recipients provided to you.
Make sure to type the information in each
appropriate field. If you are done typing the
list of recipients, click okay and save your
recipient’s list in your folder with the file
name recipients_list. Now, since we already
have the list of recipients, the next thing that
we will do is to start our mail merge. Since
we already have the sample letter, what we
wanted to do is to add the Address Block
and a Greeting Line in our letter. To do this, I
want you to press enter key 2 times after the
date. Then click on the Address Block found
in your ribbon. You are opted with a dialogue
box in which you can choose the format of
the address block that you are going to add.
Select the default format and click ok. So,
you now have the AddressBlock code in your
letter. Next, let’s add the Greeting Line. The
same process will do but this time, instead of
the address block, click on the Greeting Line.
Make sure you press enter key again 2 times
after the AddressBlock code. Once you click
on the Greeting Line command, a dialogue
box will appear. Again, there will be options
as to how you are going to write your
greetings to the recipients of your letter. Let’s
just choose the default format and click ok.
So you now have the GreetingLine code in
your letter. We can now, preview our letter
and check whether it works or not. To do so,
click on Preview Results in your ribbon and
navigate the previewed result to check
whether all the recipients are listed. Now, we
can finalize our letter and finish it. Click on
Finish & Merge. There will be option to print
the letter or to edit the letter individually.
Since we don’t have the printer yet, let’s just
choose Edit Individual Letter and choose all.
So you now have the individualized letter for All Students: Yes ma’am!

Okay very good. You can now save your


work and get ready for the activity.

For your activity, you are going to create a


letter inviting all your friends to a special
event like birthday celebration or any event
will do. The first thing you will have to do to
make each letter personalized is to create a
data file that holds the names and addresses
of the people who you are going to send the
letter to. Insert Address Block and Greeting
Line in your letter applying the mail merge
command. Finalized your letter by editing
individual documents. Save your work as
MailMerge_Activity in your folder. Any All Students: No Ma’am!
