Introduction
Management information systems (MIS) are complex decision support systems used by
companies to enhance and improve their business operations. Historically, an MIS was a
management tool to help company management make informed decisions for their business
based on information gathered from all business departments. Technology has greatly
improved the effectiveness of the MIS.
MIS in Education Sector
 Unlike other organisational MIS, in education sector MIS plays a vital role for smooth
and coordinated management as it allows for evaluation of the performance of
employees, teaching quality, even money (investment)and its management. This
allows the institution to make decisions about the future.
 Helps in cost control by pointing out student dropout , idle times, wastage of
resources etc.
 Compares budgets and plans to actual performances and figures. So MIS can pinpoint
variances and help the management in taking appropriate actions to correct the
situation.
 MIS also identifies the strengths of the institution, allowing the management to take
the opportunity to exploit it more
 Takes away the uncertainty and risks involved with managerial decision making
 Allows for data to flow smoothly along all the various levels of the institution with
minimal effort, and allows for more effective communication as well

 And finally, as far as accounting is concerned, MIS is the source for information
regarding the institution financial health and current financial situation.
University Resource Planning
 University resource planning (URP) software is a form of MIS that is installed in all
departments and locations of the university to enhance the availability of institution
information.

 With the globalization of the education sector, education institutions have sought
ways to improve their ability to improve their curriculum and management for
effective operations.

 URPs fill this void by allowing their employees to use one computer system to
coordinate with the defined curriculum.

Benefits
 Another trend in MIS is the ability for institution to network with other institutions for
improvement purposes.

 Manufacturing firms can shorten their supply chain using electronic data interchange
(EDI) to transfer the necessary information for ordering more products.

 Networking also allows companies to transfer money through several bank accounts,
creating a quicker process for paying bills and purchasing materials.

 An MIS ensures that management has all the pertinent information for these business
operations, allowing them to review the effectiveness of their operations.

Accounting Information System (AIS) in Universities


Like MIS, Accounting Information System (AIS) is also a computer-based system, which an
institution uses to take important financial decisions. An AIS will collect, process, analyze
and store financial data of a company. And when called upon it will retrieve and report such
data to its users, namely accountants, consultants, financial officers CFO, auditors,
government tax authorities etc.
Objectives of Accounting Information System
There are three basic objectives of an AIS, which are

 It helps an institution fulfill its statutory obligations of preparing and publishing


certain accounting statements and information.

 It analyses financial data and provides reliable and accurate financial information to
the users of the AIS.

 Protects accounting data from breach or theft (which can be a significant problem).

Components of Accounting Information System


An AIS, like most computer systems, consists of six basic components:

 People: These are the users of the AIS. Internal users include accountants and other
financial officers o the company. Then there are also users outside the institution, that
can be given access to the AIS. Some such external users are auditors, consultants, tax
authorities etc.

 Procedures: These are the procedures the system follows to collect and process data.
The database for such a process can be internal (like employee names, sales figures)
or external databases (like customer orders, tax slabs etc). The feeding of the data can
be both manual as well as automated.

 Data: An AIS mainly deals with all kinds of financial and commercial data. Any data
that is pertinent to the accounting of the firm will be input data for an AIS. Care must
be taken that the data entered is accurate and complete. Examples of such data include
invoices, orders, payroll, bills etc.

 Software: AIS software performs all the functions of storing, processing, analysing,
retrieving financial data of a company. The software can be generalized software that
is available in the market (Tally, Oracle etc) or can be specialized software created
specifically for a particular company and it’s accounting needs. Some of this software
has an inbuilt internal control and audit options. They even help in tax management.

 Hardware: Like any other information system, AIS will also require some hardware
components. these can include computers, laptops, servers, printers, scanners,
secondary storage hardware etc.

Possible Innovations in MIS of a University


University MIS can be evolved via putting up new teaching standards of:
 Flip methodology or classroom
This technique, to put simply, the responsibility of learning towards the students and
make them active participants of the learning process. Here, teachers relegate to the
role of resource or material providers via research and study material given by the
them which will help the students to work on a particular area of the topic, where
students take the centre stage of gathering concepts, constructing knowledge, and
drawing inferences.

 Knowledge-based studying
It has been a very debateable topic as our education system is only based on
memorising capacity of a student. So, using such approach with the help of MIS
might bring a lot change in the students thinking regarding their
subjects.

Feasibility & Implementation of the Idea


 This can be implemented by providing the students new topics with every succeeding
class.

 Where they have to present the topic to the teacher and here they do not have to
prepare a traditional file which would be assessed, they just can create a soft copy file
which can be sent to the teacher via email, etc.
 Topics given are to be only communicated through student-teacher portal which most
of the institutions have as a part of MIS.

 Students can be evaluated on the basis of their knowledge and preparation with the
assigned topic to them which will bring the seriousness in them to prepare the topic
thoroughly.

 Also teachers have to make sure that students gain more knowledge on-the-field
rather than just surfing on the internet for the relevant material, for example, dividing
the students in group and then assigning them research a particular field, sector or
industry, etc, which will make them more fond of the world outside their classrooms.

 For the theory classes, the topics can be sent a day before the class which students
have to just get a thorough idea about the upcoming topic, also assignments can be
regarding the topic which will give them a chance to learn about the topic themselves.
