The following documents are required to be submitted while applying for allocation of GS1 Company prefix number:

Checklist
 GS1 India registration form duly filled and signed

 Request letter from Applicant Company on their letterhead for allocation of GS1 company prefix number.

 Attach a copy of your balance sheet (relevant page in support of your sales turnover) as on 31st March,
2017 (Not required for New Company)

 GST Certificate.

 PAN card copy of Proprietor - in case of Proprietorship firm or PAN card copy of the applicant company in
other cases.

 Proof of status of Applicant Company– VAT certificate / Bank statement / Partnership deed / ROC-COI.

 Cancelled cheque copy of the company.

 For Pharma Companies- Drug Manufacturing License & Import Export License copy.

Note:-

 Fees paid to GS1 India are non-refundable except for interest-free refundable Security Deposit after cancellation/
termination of subscription by GS1 India.

 Before applying for GS1 India barcode subscription, please carefully consider your both current and future
requirements for barcode numbers. This is because when any change occurs to your product (in net content,
ingredients, pack size, etc.) or new one gets introduced (promotional variants/new products), you would require
to change the barcode number on the same. This must be taken into account while deciding for the barcode
number capacity since it’s not possible to go beyond a selected capacity after registration. In such cases, you
would need to apply afresh by paying the applicable registration and annual fee.

 The registration process requires seven-eight working days at GS1 India’s end, if all necessary documents /
requisite fees are found to be in order. The GS1 Company prefix number allocated to you (your company) shall
be communicated via email to your registered email id.

Broad guidelines for generation of GS1 product codes

Every product variant / type / SKU that has to be identified uniquely by a manufacturer/retailer requires a unique
GS1 product code. For example:

a) New product
b) New product variant
c) Change of name
d) Major product description change
e) Declared contents change
f) New packaging type
g) Declared changed weight or volume
h) Free gift attached

Like different pack sizes (e.g. 1kg, 500g or 200g), each such pack size represents a different product variant / SKU /
product type. If two items are combined to create a promotional pack, the new pack represents a new product variant
/ type / SKU and hence requires a new GS1 product code for its unique identification. Products with different colors,
sizes / pack sizes, styles, quality etc are required to be considered as different product variant / SKUs).

It is suggested that product numbering capacity applied for should consider future product development requirements
(new product variants) in perspective.

 Fee structure for GS1 Company Prefix (GCP) number allocation
A) Registration fee: This is dependent on product numbering capacity desired. While doing so, take into
consideration the total number of SKUs/product variants/product types that you currently have, and
also what you are likely to add in the next few years.

B) Subscription fee: Subscribers are expected to remit the subscription renewal fee on or before the
expiry of the subscription validity period as specified at the time of initial registration or at the time of
subsequent renewal of the same.

C) Security deposit: Interest-free, refundable security deposit payable once on registration which shall
be refunded after cancellation/ termination of subscription by GS1 India.

D) Subscription validity: While registering you have the option of paying your Annual fee for 1, 2, 3 or
10 years. Please refer to the below grid for the applicable fee.
