Abstract

The purpose of employee management system is to


automate the existing manual system by the help
of computerized equipment and full-fledged
computer software. Fulfilling their
requirements, so that valuable data/information
can be stored for a longer period with easy
accessing and manipulation of the same. The
required software and hardware are easily
available and easy to work with.
Employee Management system, as described above,
can lead to error free, secure, reliable and
fast management system. It can assist the user
to concentrate on their other activities rather
to concentrate on the record keeping. Thus, it
will help organization in better utilization of
resources. The organization can maintain
computerized records without redundant entries.
That means that one need not be distracted by
information that is not relevant, while being
able to reach the information.
Problem Statement

The existing system of managing employee


records at UCU is insecure, not flexible, and
unreliable and consumes working space that is
occupied by box files. A staff data management
system will help to create working space in
offices as documents will be held in electronic
form. It also provides timely reviews, updates
providing centralized access and storage of
documents that are vital to management of the
university’s human resource capital.
Introduction

Simply recording information or having records is not


the same as managing records. There have been major
inventions that have had a significant impact on
records management, for example writing, paper,
typewriter, microfilming, and computer. Today the
computer is performing all the traditional functions
of records management and managing records in ways that
were not feasible before the computer age.
Most institutions like academic, governmental, and
commercial institutions need some system to address
questions related to tracking and storing of data about
their employees. Electronic Staff Data Management
System commonly provides solution for the access,
review, upload and download of the electronic documents
about employees.
Objective

The main objective is to design a reliable electronic


employee records management system that will replace
the slow, unreliable, insecure box file system of
managing employee records.

• To find out the strengths and weaknesses of the


current staff data management system at UCU and
establish requirements of the new system.

• To establish the system design models required to


create a properly functioning system.

• To implement the system design and test its


functionality to satisfy the user defined and
system functionalities.

• To save the time of employee.

• To simplify the task of maintaining records because


of its user-friendly nature.

• To provide a comprehensive approach towards the


management of employee information.
Working Modules

• Login Module: Used for managing the login


details.
• User Module: Used for managing the users of the
system.

• Workdays: The Admin has the authority to add the


no of workdays of a company per month.

• Salary Calculation: Here salary is calculated for


each employee based on their attendance. As soon
as the salary is paid to an employee, a salary
slip will be generated.

• Leave Module: Used for managing the leaves


details.

• Attendance Module: Used for managing the seats


blocks of the attendance

• Registration: As soon as the employee joins the


company, the admin provides unique username and
password to him.

• Display: A user can view information regarding


employees working in that company, attendance,
salary cycle etc. It’s like a dashboard.

• Logout: This module allows the user to Logout the


application.

• Provides the searching facilities based on


various factors. Such as employee, leaves,
attendance, registration.

• Employee Management System also manage the skills


details online for attendance details,
registration details, employee details.

• It tracks all the information of salary, skills,


attendance, etc.

• Manage the information of salary.

• Shows the information and description of the


employee, leaves.

• To increase efficiency of managing employee


records.

• It deals with monitoring the information and


transaction of attendance.
Advantages

• Provide computerized system for maintaining


records.

• More efficient and reliable.

• Less time consuming and easy to use.

• Huge data storage with less computer memory.

• Avoid human errors and efforts for maintain daily


data.

• Avoid data manipulations.

• Also avoids data inconsistency and redundancy.

Disadvantages

• There is a cost for a license to implement a new


system.

• There is the risk that hackers will access


information and use it for nefarious purposes.

• For a limited number of employees, the


installation process is quite short. However, if
the number is huge, there’s probably the cost of
hiring an IT specialist to manage the system.
Future Scope

In a nutshell, it can be summarized that the future


scope of the project circles around maintaining
information regarding:

• We can add printer in future.

• We can give more advance software for Employee


Management System including more facilities.

• We will host the platform on online servers to


make it accessible worldwide.

• Integrate multiple load balancers to distribute


the loads of the system.

• Create the master and slave database structure to


reduce the overload of the database queries.

• Implement the backup mechanism for taking backup


codebase and database on regular basis on
different servers.

Disk Space 200MB or more.

Operating System Windows 10.

Database management MySQL.

Conclusion

There were so many challenges faced in the existing system that


needed to be addressed and these have given rise to
development of this system. The challenges helped determine
what the developed system addresses. In case of new challenges
sighted with use of the new system, this calls for system upgrade or
addition or more features to mitigate such problems.

Conclusively, proper utilization of this system will help optimize


resources at the organization and increase the effective flow of
business since human resource management lies at the fore front
of organizational growth and this is well achieved by having an
efficient mechanism of managing their records.
