Chapter 1

Introduction

Colleges and Universities in the City are held with high regards as places

for higher level of education and learning, preparation for a bright future. Most of

newly graduate students in High School from provinces flung to the city to pursue

their courses or chosen carriers. Others that may come from provinces to city are

identified into several categories like job seekers or workers, travelers, tourist

and more.

Staying in the city requires an immediate family member to stay with or

stay in boarding houses, hostels or hotels. Depending on which category the

person belongs, students will prefer to stay within the vicinity of the campus they

will study. Job seekers or workers may choose to stay in a place near their

workplace, while travelers and tourists alike may stay in hotels or hostels. These

days, there are several factors to be considered in looking for the place to stay

for years for students and workers, while short term for travelers and tourists.

Since every traveler has different needs when searching for a place to

stay, one will need to ask oneself what is important. Whether one is looking for a

great deal or a great location choosing the right place is always a trying task, and
with the enormous number of promotions, deals and programs offers out there, it

can be downright overwhelming.

Before searching, one can ask what type of accommodation to get that will

suit the budget. The most common determining factors in choosing a place to

stay, as well as tips for finding properties that suit each particular need is

sometimes concerned with price. Whether you’re intimidated by the high cost of

hotels or eager for a more social travel experience, the most often associated

with backpackers looking for inexpensive, temporary shelter an excellent choice

of accommodation is a hostel.

The Encyclopedia refers to ‘Hostel’ as the old name for an inn, later used

to describe a building providing lodging for students and other groups. The words

"hotel", "hostel" and "hostal" are etymologically the same, coming into the English

language from Old French hostel itself, from Late Latin hospitale, denoting a

place of rest. Later on “hostel” was used strictly for a place where the students

resided for the purpose of learning. Nowadays, however, hostel refers to a

building in which board and lodging is provided. (American Heritage, 2011)

A hostel is an establishment that provides paid lodging in a short term

basis which offers a budget-oriented and sociable accommodation where guest

may rent a bed or share a bathroom, lounge or kitchen at times. Rooms can be

mixed for male and female together or separately, although private rooms may

also be available. The provision of a basic accommodation, in the past consisting

of a room with a bed, a cupboard and small table has been replaced with a room

furnished with modern facilities like bathroom, air-conditioning and more.


Due to enormous increase in tourism worldwide, standards especially to

small establishments, have improved considerably. Tourist in various markets

depends on well-organized reservation system with ease in accessibility which

aids in ensuring a well-planned trip whether business or pleasure.

Project Overview

Project Background

Established on October 2014, Yuj Village Inn Corp. (Yuj Inn Hostel) was

created with a mind-set of business in Maginhawa Street, UP Village, Quezon

City. The hostel is owned and managed by Mr. Eugene N. Remata who currently

works at Globe Telecom. Mr. Remata started his business when their family

rented their house to his friend way back in his college years. After graduating in

college, some of his acquaintance asked him for some hotels near in UP

Campus, thus he decided to try this line of business. Yuj Village Inn Corp has

expanded its business by renting two buildings for room type accommodations

either for a short term or long term stay. The two buildings have a total of thirty-

six (36) rooms.

One of the hostel’s main goals is to provide a homelike ambiance and a

feeling of Filipino warmth and hospitality to their guests, and will continue to do

so under the management of the family. The billing and reservation system

currently used by the management in Yuj Inn Hostel is manually done. Tellers

staying in the reception are dependent on incoming calls or emails booking for a
room. Calls or emails are translated into written entries on their monthly calendar

for reservation.

To promote the hostel even more, Mr. Remata also made a contract with

Agoda Company, an Online Travel Agency (OTA) that offers accommodation

booking services through their website and mobile app in exchange for cheaper

rooms but comes with a percentage share from the total amount of booking rate.

Though Agoda Company provides most of Yuj Inn Hostel’s guests, various

weaknesses were identified with regards to their current system; (1) manual

reservation is a time consuming job and at the same time, (2) data are not

always reliable as it is written manually and prone to human errors, which

sometimes leads to (3) miscalculation of customer bills.

The current trends in this generation with respect to hotel management;

Yuj Inn Hostel maintains a Facebook page that provides information such as

contact numbers, emails and pictures about the types of rooms that guests can

choose from. It is the proponents’ goal to make a website for the Yuj Inn Hostel

management that can be used for their customers reservation and billing.

Tourists in various markets depends on well-organized reservation system that is

easily accessible that helps in ensuring a well-planned trip whether business or

pleasure.

The researchers intend to propose an Online Reservation and Billing

System for Yuj Inn Hostel. The proposed system aims to help minimize the long

process of manual computation and recording of transaction and to help the

company grow or expand their business by attracting new customers with the
use of internet. Even though they are new in business, Mr. Remata is persuaded

to provide convenience to their guests as well as in streamlining their operations.

Hotel Information with Online Reservation and Billing System is a

transaction processing system that would help speed up the operation of Yuj Inn

Hostel. The proponents intend to develop a system that will contribute to the

company’s growth, thereby may result in a profitable increase for the corporation.

The project will, at the same time, help boost the skills of the proponents with the

goal of receiving the approval of the client, evaluator and thesis adviser.

Objectives of the Project

General Objective

The general objective of the project is to develop Hotel Information with

Online Reservation and Billing System for Yuj Village Inn Corp. that will help

manage the transactions of the hostel through modern techniques and methods.

Specific Objectives

• To design a prototype that will allow customers to browse their information

and make reservation via the Internet in order to improve their transaction

and services.

• To develop a system that will generate reports and compute total bills of

customers and to create backup files of successful transactions.

• To improve the security of their transaction processes.


• To test and evaluate the acceptability of the system in terms of availability,

functionality and reliability by gathering feedback from prospective users

and experts.

Statement of Work

• Scope of Project

This project intends to develop Hotel Information with Online

Reservation and Billing System for Yuj Village Inn Corp. The proposed

system would help provide their guests an easy access for room

reservation and a billing system that would provide the management

convenience in computing guests’ bills. The billing system shall include the

amount of the room rental and other services of Yuj Inn Hostels. Refunding

of payment is not covered by the system. Every transaction is automatically

saved in a database which can only be accessed by the

management/admin with the use of password for security purposes. The

guests rescheduling, rebooking and cancellation of reservation shall also

be covered by the system. Future additional services are to be discussed

with Yuj Inn Hostel’s management.

• Limitation

The proposed system also has its limitation. The system only

displays other services offered by the company but is not included in the

reservation form. Clients may only reserve room and packages displayed in

the website. If the user is not a registered member, no possible


transactions may be done other than viewing the whole website. In terms of

client inquiry, the administrator may only reply to any inquiry or message

sent by the client at a given time.

List of Deliverables

Online System Reservation - a technology that supports operation of the

company, gateway between the client and the company.

User Manual - a booklet that provides all the instruction to the employee for using

the system.

Progress Report – for the company and to the adviser. To let them know what

the progress of the development of the system is.

Deployment Plan - how the proponents plan to deploy the system.

Training Plan – the step by step procedure on how to operate the system by end

users.

Maintenance Plan – this documentation contained the maintenance of the

system’s security and backup files.


Chapter 2

Analysis of Existing and Related System

In this chapter the proponents will discuss the existing system of the

company and the overall process of it. The current reservation system of Yuj Inn

Hostel still uses the Manual Reservation of paper and pen and a spreadsheet

program for record purposes. This allows presenting the problems they

encounter in their existing system in detail.

Review of Existing System

At present, Yuj Inn Hostel does their booking manually. Walk-in guests will

have to inquire personally for their reservation and will fill-up the form regarding

the necessary information. The guest shall pay the amount of the room that

he/she reserved. Afterwards, the teller will confirm to the guest his/her request.

Another way to have booking is through the Agoda website

(www.agoda.com). It is one of the fastest-growing online hotel platforms

worldwide. The website provides a listing of hotels that provides services in 38

different languages. Part of the process in Agoda is to ask for information such

as check-in and check-out date, name, contact information and the necessary

payment method for your reservation. Even though Agoda provides cheaper

room rates for guests opposed to the original rates of Yuj Inn, the site tends to

deduct a percent on the rate. After the online reservation via Agoda, a copy of
voucher will be sent to the e-mail address that the guest provided in their contact

information. An I.D. Number will be sent to Yuj Inn via email and will be verified

upon the arrival of guests.

Since many of their competitors are already using web based reservation

systems, it will be to their advantage to use a similar system, so that they will not

be left behind and lose some potential client.

With the use of the proposed system, their clients can find them at the

internet, book online their reservation, and pay without the need for clients to

leave their office or home. This improved process for booking will help them gain

loyalty from their guests. They might also find additional clients since people can

already connect with them through the internet.

System Description

Yuj Inn Hostel uses a manual system of paper and pen to detail all the

reservation information of their guests. After listing all the necessary information

of the guest and the type of room they are going to accommodate, the hotel

receptionist will arrange the desired itinerary after payment. The guest can

choose from paying down payment or full payment.

The diagram shows an overview of the current system. It shows the flow

of data that goes in and out of the system. The client will fill up the form then

choose a room; the receptionist will check the availability of the room then

confirm it to the guest after that the receptionist will compute the total bill of the

client. The guest will decide to pay in full payment or down payment. When the

receptionist acquires the full payment, they will issue the receipt to the client. All

the information will be reported in the owner.

SWOT Analysis for Yuj Inn Hostel

Strength

Price is one thing that must be considered before staying in a hotel, as Yuj

Inn Hostel offers cheaper rooms it is considered as strength in the company. Yuj

Inn has a total of thirty-six (36) room capacities that are sufficient and available

for guests to stay in. Accepting walk-inn customer is also an advantage to them

regardless of not having a reservation if there are still available rooms.

Weaknesses

Using paper and pen through their reservation can be considered a

weakness for Yuj Inn Hostel for it can cause a mismatch for their records in their

spreadsheet program and their logbook. Having few amenities is also one of their

weaknesses because some near competitors around them may have more

amenities that can offer to guest which may lead to guest preferring others

between Yuj Inn Hostel.

Opportunities

Every owner must be willing to accept a change for a better of the

company. Thus we listed the opportunities of Yuj Inn Hostel; (1) customers are

enticed to go to a hostel, sometimes to acquire their price or location for better

decision for future purposes. (2) Because of lower price against competitors,

thrifty customers are willing to stay on their hostel to save money and time
because the hostel is located in nearby establishments that are known in the

area.

Threats

There are things that must be considered to avoid risk in the company. A

loss of data is a great threat due to misplacement or deleting files especially if

you don’t have any copy of records apart from the original records. Miscalculation

of bills is also another threat factor because it can lead to mistrust of customers

and unbalance between records and receipt.


Application of the TOWS Matrix to Yuj Inn Hostel

Strength and Opportunities

Having cheaper room rates against competitors is an advantage for Yuj

Inn Hostel, thus we propose to them an Online Reservation system for better

advertisement against competitors. In the Online Reservation System, viewers

will be informed about their cheaper room rates and having already an SMS

technology is also a benefit.

Strength and Threats

Loss of data and miscalculation of bills is one of the threats that Yuj In

Hostel may experience with lack of system thus we propose a computerized

billing system and an additional Email notification for them for security purposes

after reservation.

Weaknesses and Opportunities

Having no online reservation system is a weakness of Yuj Inn Hostel as

they are willing to have a system as one of their opportunities, thus we propose

to them to have an Online Reservation and Billing System.

Weaknesses and Threats

While Yuj Inn Hostel is operating they are vulnerable to threats like loss of

data. We will propose a database for them to save their files and we will

distribute user manual for them as for the employees that will handle the

proposed system

Online hotel reservation systems are increasing in importance and

greatly facilitate cross border consumer activity. The Internet has enabled hotels

to contract directly with a huge number of potential customers. It has also

revitalized the role of agents and lead to a new type of agent, the web agent or

travel gate, selling a far wider range of accommodation on behalf of a far wider

range of hotels. However, while online booking has increased the range of offers

available, there are also some emerging worries due to examples of unfair

commercial practices and lack of transparency related to such reservations.

According to Alleweldt, et al (2009) when a consumer starts an

online booking procedure, the website is obliged to display in a prominent and

conspicuous manner the number of bedrooms remaining at the specified price,

display the final price of a hotel room both before and during any booking

procedure.

This study proposes to improve the legal protection of customers

with regard to online hotel bookings. The proponents considered to provide a


consistent and updated information about the number of rooms that are available

for reservation. Also, a contract terms and conditions about cancellations will be

provided for customers.

Hotels can also compete by offering what third-party services offer

(ease of access through the Internet) but doing it better and more effectively

themselves. Large numbers of travelers are now booking their rooms through

hotel websites, many of which offer three-dimensional views of rooms, public

areas, spas and other amenities, giving clients the ability to see what they are

booking even more clearly than they would by calling the hotel's reservation

desk. (Glincher, 2008)

According to Glincher (2008), Setting up an online reservation

system like this brings with it a whole set of unique legal and management

issues. For example, how do you manage security on the site? Do you have a

privacy policy posted on your website? What guarantees does it offer to

concerned users? There is no legal requirement for what a privacy policy says,

but whatever it says, you have to live up to it. If you say that no information about

customers is ever given to third parties, you have to abide by that without

exception. If you say that you will do everything possible to train employees and

employ security measures to prevent hacking, you have to abide by that as well.

A number of companies have faced legal sanctions recently because of a failure

to live up to the promises made in policies they post on their websites. (Develop

them carefully and review them frequently to ensure ongoing compliance is

essential).
This article discusses about the security of the system. This can

help the proponents in constructing an effective and efficient privacy policy that

can protect the costumer’s rights.

In the competitive online hotel reservation industry, user interface

design and usability is a key differentiator between websites offering similar

products. A user who enters a website must be able to understand the design

immediately. There are no opportunities for training or user manuals. If users

can’t immediately understand how to use a website, they will either transfer to

another means of communicating (such as telephone or email) or click to a

competitor. The key difference between usability research and market research

is that market research tells you whether a group of people will use a website

while usability research tells you whether they can use it. (Bainbridge, 2003)

He also stated that “Price / rate data are some of the most

important pieces of information that users look for on a website. Price is often the

primary factor in a customer's choice between competing hotels and websites”.

As a conclusion, the proponents will design a system that can

compete in terms of design and at the same keep a user friendly environment

that the user can easily use and understand.


Local Literature

The Web Based Information System with Online Booking and

Online payment is designed to help Nippon Travel and Tours improve their

manual system thru internet website. The system will be created for booking

clients reservation and receiving their payment thru internet. The information

needed shall include the client’s desired date, destination, preferred airline and

the total amount due and payable to Nippon Travel Agency. The system will be

protected by data access control which will restrict the unauthorized users having

access to the database by limiting their access to certain management or

confidential information. The system features backups and restores databases. It

retrieves data information for further use. (Cruz, et al, 2011)

According to Aguirre, et al, (2010) online business has been the

means of advertising products and establishments through electronic commerce,

which is why they decided to accomplish a system that would contribute as an

immense help in managing and improving St. Vincent Cottages Resorts (SVCR)

reservation system. The system that they implemented was an online reservation

with billing system. The system was designed to serve and to provide the guests

with a room reservation via online. The system that they developed contains all

the compulsory information about the resort itself, the room reservation, room

types, room rates, services and facilities. And by means of internet connectivity,

the guest would have an easy way in accessing the system for them to have their

reservations booked conveniently, efficiently and effectively.


As a conclusion, the system designed for Nippon Travel and Tours

and SVCR is almost similar to the proposed system of the proponents which also

has backup features, restore, databases and information about the rooms of the

hotel that the costumers can reserve. This article helped the proponents

understand more about web based information systems.

Online Hotel Reservation System (OHRS) is efficient and brilliant

software, yet it is easy and uncomplicated to use. OHRS grants complete

authority and power on hotel or motel room booking over the internet. This entails

that one can accumulate all guest payments; enter own room descriptions,

facilities, rates and allocations into the Reservation System. OHRS also allows to

confirm accommodation in real-time at hotel’s web site and close the sale without

more ado. There are several benefits of OHRS. It makes the reservation process

computerized and thus helps one to undertake a large amount of transactions at

a low cost. It enables one to check available inventory and complete an online

booking form making the reservation process more efficient and less time

consuming. OHRS assists hotel’s guests and agents with different payment

options such as credit/debit cards. The system can track hotel’s performance on

a regular basis as all information concerning payments is updated online and

sent to the reservation manager by means of e-mail. (Delizo, et al, 2013)

As a conclusion, the proponents are planning to include the e-mail

confirmation, where the system will generate a confirmation code that will be sent

to the customers email address for the completion of their reservation process.

Foreign Studies

Hotel CRS stands for hotel central reservation system and is

commonly used in resort and hotel industry. CRS is a computerized system that

revolves around storage and distribution of information concerning resorts, hotels

and host of lodging facilities. CRS as a tool is used to reach the global

distribution system or GDS along with internet distribution system from a single

point system. Hotel managers use this tool to manage their online sales and

marketing avenues. Information includes room types, room rates, conditions,

inventories, plan rate architecture, reservation information, graphical information

in the form of video, pictures and detailed hotel information like address, phone

and fax numbers and geographical code information. (Mathew, 2013)

This article discusses about the items needed to create a

reservation system. This helped the proponents understand and learn about the

information’s that can be used to develop a system which is more attractive,

efficient and dynamic.

Essawy (2005), focuses on website usability and shows that severe

usability problems with interface quality, information quality, and service quality

affect negatively the purchase and revisit intentions of website users. The author

identifies some of the practical activities/tools for increasing users’ perceived

satisfaction, purchase intention, and potential relationship building. Some of


these practical activities are exchanging links with local points of interest, shorter

and simpler pathways to leisure breaks, greater depth of information for room

facilities and pricing, providing proactive interactions, and avoiding third-party

reservation systems.

Ass a conclusion, the proponents will provide all the information

that can help customers decide on what type of rooms they are going to reserve.

Flight Reservation System makes the life of passengers very easy

as they don't need to stand in queues for getting their seats reserved and they

can easily make reservations on any airline just from a single system. On the

other hand, it also removed an extra burden from the Airline Department as most

of the passengers and travel agencies use this service instead of making

reservations from the counters. With the help of the system, customers can view

all the different flight's availability with different timings for a particular date and it

also allows them to reserve a seat, cancel a reservation or modify it. The only

problem with the system is that it doesn't allow the passengers to change the

particular part of his or her reservation. The data is updated immediately to the

server because at the same time many users will be reserving the seats from

different places. So each request will be send to the central server by the

software and the server will check the request. If the request can be granted, the

server will give a positive response to the user or else it will indicate an error

message that will be sent back to the user. (Bhargava, 2013)


This article is almost similar to the proposed system of the

proponents, the only difference is the system used in the article is for an aviation

company while the proposed system of the proponents is intended for a hotel.

The proponents shall develop a system that update every time a new reservation

has been made.

Local Studies

The website of The Theodore Hotel gets an upgrade with the recent

addition of a direct reservation system to its online services, allowing guests to

book accommodations within minutes. Guests of the hotel can now enjoy a quick,

easy reservation process, thanks to the recent launch of a booking engine on the

Tagaytay hotel's website. Visitors can access www.thetheodorehotel.com to view

and compare available room types, rates, and features before indicating their

room choice and length of stay. A 10% deposit through credit card secures the

transaction and automatically sends confirmation of bookings via email. This

innovative way of reserving accommodations saves time and energy that guests

would normally spend using more traditional means of booking rooms at the

hotel. (Pelayo, 2014)

As a conclusion, the Theodore Hotel equipped itself with an online

reservation system that can help them promote their services, and at the same

time help their customers lessen the time they spend booking rooms at their

hotel. The proponents will design a system that can help Yuj Inn Hostel promote

their offered services.


According to Camino, et al, (2010) hotels should plan for strategic

significance for the convenience of the employees and for faster transactions. It

must also reduce time consumption and therefore cut off the hassle for the

personnel in charge and also for the guests. By this, they were able to find some

alternative ways to solve the company’s problems. By making a centralized

billing system, room management, and online reservation system, implementing

online payments for the online reservation, creating data archiving of reservation

and other transaction and to generate reports. This solution will assist the

personnel in charge in the front desk in terms of fast transaction, secured data

archiving, and generating fast sales report.

The article also includes programs that can help the personnel in

charge in the front desk on how to use their proposed system. Thus, the

proponents considered providing user’s manual and tranings for Yuj Inn Hostels

employees. The user’s manual and trainings can help the employees understand

the processes of the proposed system of the proponents.
