Welcome to Kotak Mahindra.


We embarked on a journey in the financial services sector on
November 21, 1985. In this 30+ year’s journey, today, we have
emerged as a financial conglomerate – Kotak Mahindra group,
offering a wide range of financial services that encompass every
sphere of life. The group caters to the diverse financial needs of
individuals and the corporate sector. I have always believed that
the people power at Kotak can make the impossible, possible. The
Kotak spirit has enabled our group to scale greater heights and set
new benchmarks of excellence year after year.

As we set out into the next phase of our growth, it is time for us to take cognizance of the dynamics that
have fundamentally altered the world recently. To adapt to these changes we need to take the path of trans-
formation by following 2 mantras: ‘Excellence for Relevance’ and ‘Depth in addition to width’ to take us to
the next orbit.

These mantras will not only individually enrich us, but also harness our collective ability to reach much higher

Hello Friends,

A very warm welcome to you. This is a momentous phase in your


life. All your years of effort and hard toil, which held within it the
ultimate objective of economic self-sufficiency, has borne fruition.
As you transit from one life stage to another, you will be filled with
excitement, eager anticipation and at times even
anxiety. That’s natural. Enjoy the ride.

I congratulate you for choosing life insurance sector to begin your


career. Life Insurance is the most fundamental of businesses. As
long as there is the uncertainty of life and death, insurance will remain. Life Insurance is a business
of opportunity. Life insuarance penetration in India stands at about 6%. Underinsurance and
lack of insurance is commonplace.

Life Insurance is profession of nobility and responsibility. In our country where no defined social security
mechanisms exist, life insurance steps in to fill the gap. Over 12 million individuals draw their sustenance
from the sector which covers about 300 million lives. Life Insurance is also a key pillar in nation building. It is
among the biggest investors in the secondary markets and often when FIIs pull out based on global cues, it is
the Insurance sector that steps in to stabilize the market. The long term savings and protection nature of the
business has also made Insurance one of the biggest sources of long term funds, crucial to the country’s
development.

Kotak Life Insurance is among the pioneers in private life insurance space. We were also among the first few
to break even in the industry. What separates us from the rest is our Kotak culture of entrepreneurship and

As the Appointed Actuary at Kotak Mahindra Old Mutual Life


Insurance Limited, Sunil Sharma is responsible for ensuring the
solvency of KLI at all times. He also advises the management on risk
management, business mix, product features, pricing and reinsurance. Sunil
has more than 2 decades of experience in the Insurance sector. He has
worked in Life Insurance and Reinsurance practice areas in India, USA, UK
and South East Asia with companies such as Swiss Re, GE Financial
Assurance besides leading Indian life insurers. Sunil Sharma,
Appointed Actuary
Sunil is a qualified Actuary and a Fellow of Institute of Actuaries, UK (FIA) and
Institute of Actuaries of India (FIAI) He is Chairperson of Advisory group on Communication of
Institute of Actuaries of India (IAI) and member of Advisory Group on Peer, Stakeholder &
International Relations of IAI. He is also the editor of the Actuary India Magazine.

Sudhakar Shanbhag is responsible for managing the company's


investments within the overall framework laid down by the
investment committee and the IRDA along with developing and managing
investment structures, processes and practices to enable customers reap
benefits. This qualified Chartered Accountant has been part of the Kotak
Mahindra Group in varying capacities for close to 2 decades. Sudhakar, a
widely-quoted knowledge leader in the investment domain has over two

Suresh Agarwal is in charge of the company's individual and


group distribution channels. Strengthening and deepening these
channels to ensure seamless partner experience and customer delight is
his key priority. He is also responsible for the many strategic initiatives

enhance process, distribution and operations efficiencies. Suresh has close
to 2 decades of work experience, all of which has been with the Kotak
Suresh Agarwal,
Mahindra Group. Of this he has been with the Life Insurance business for Chief Distribution Officer
close to a decade. He is a qualified Chartered Accountant, Company
Secretary, and Cost and Works Accountant. Suresh joined the Kotak
group as Management trainee in 1995 and continues being part of it.

J M Prasad is the Group Head HR for Insurance- overseeing the Life


and General Insurance group companies. He has more than 28
years of experience in driving various HR Initiatives in Talent Acquisition,
Employee Engagement, HR Strategy Alignment, Change Management -
Employee Branding & communication in diverse industries. His experience
spans over 17 years into several IT companies and 11 years with Banking
Sector (ING Vysya Bank Ltd).

Group Head HR
He completed his Post Graduation in Personnel Management & Industrial for Insurance
Relations: Xavier School of Management, Jamshedpur. He has also completed
his Post Graduation in Mass Communications: Xavier Institute of Communications, Mumbai

In his current capacity, Cedric Fernandes is responsible for financial


planning, Legal and overseeing matters related to financial
management including compliance and financial control. He has over two
decades of work experience, mostly with the Kotak Mahindra Group. He
joined Kotak Life Insurance in 2001 prior to which he headed the process
and audit control functions at Kotak Mahindra Finance Ltd. He has been Cedric Fernandes,
Head-Finance and Accounts of Kotak Life Insurance in his earlier assignment. Senior Executive
He is a qualified Chartered Accountant and Cost and Works Accountant. He Vice President and CFO
is also a Fellow of the Insurance Institute of India (FIII).

Hitesh Veera is responsible for ensuring high operational


efficiencies besides seamless customer experience at all interface
points, leading to stakeholder delight. He has played a seminal role in
ramping up the Operations Function to its present scale and form, and is
credited with establishing and managing a highly efficient operations
backbone for the company. Hitesh has over 15 years of work experience, Hitesh Veera,
all of which has been with the Kotak Mahindra Group, having been on the Executive Vice President
Life Insurance business since 2007. He is a qualified Chartered Accountant, and Head Operations,
Customer service,

Kirti Patil is the Head of Information Technology at Kotak Life


Insurance. She is responsible for ensuring that the company's
technology strategy is aligned with its current and future business needs.
She has been instrumental in ramping up the IT Support function to its
present scale and form and in creating a strong IT infrastructure backbone
for the company. She joined Kotak Life Insurance in 2003 and has over two
decades of distinguished experience spanning IT project management, Kirti Patil,
customization & implementation, IT infrastructure management and Executive Vice President
and Head Information
information security. Before joining Kotak Life Insurance, she worked in the technology
capacity of Head - IT Infrastructure at Bayer India where she was responsible
for IT Infrastructure and Service Delivery for 12 group companies in India.
She has earlier worked as Head - IT Infrastructure for International Rectifier
where she was responsible for IT Infrastructure and Service Delivery for
the Asia Pacific region. She holds a BE in Electrical Engineering and an MMS
degree, both from Mumbai University.

Jasneet Bachal heads the marketing function at Kotak Mahindra


Old Mutual Life Insurance Limited (KLI). She is responsible for
brand management, customer engagement, sales support, product develop-
ment, e-insurance business and corporate communication. Jasneet joined
Kotak Mahindra Bank in 2008. She set up the media investments vertical for
the Group. Jasneet drove the build-up of owned platforms in the digital
space and championed some key partnerships. Jasneet Bachal,

In a career spanning 17 years, Jasneet has been responsible for generating

FIG exist to bridge the gaps between the financial needs of our clients, their resources and the
uncertainties of life.This we do, by reaching out to them through meaningful socio economic
groups organised by our channel partners and serving them in an efficient and productive manner

How does the Channel work?

o It is a group insurance plan. The master policy contract is between the Financial Institutions (FI)
and KLI.
o All premiums are routed through the FI.
o KLI will accept the risk from the date of disbursement of the loan, provided all procedures have
been completed.
o Death Benefits are paid out to FI to the extent of its dues on the day of the death, subject to max-
imum amount in the cover schedule.
Any amount in excess of the above is refunded to the nominee of the borrower, nominated by
him/ her in the DOGH.

About TIED Channel

Traditionally, the life insurance business has been focusing on the TIED Agency channel as the most
important channel for reaching out to customers. This is the proprietary distribution channel which
has the unique advantage of being able to add to the feet on street in form of “Life Advisors” who
help us reach the customer directly. The TIED Agency channel has over 2200 employees and over
40000 life advisors who are committed to provide need based solutions to the customers. The vision
of the TEID channel is to be the “Best TIED ever” and the mission is “To be the most prefrerred chan-
nel by customers, create self dependent and profitable entrepreneurs”

The Various functions/departments that report into the corporate office are

Accounts, Finance, Investment Mid Office


Accounts, Treasury & Taxation department is responsible for financial accounting & control, taxation
and reporting. This function is also responsible for treasury management and control, for investment
operations accounting, and reporting to the insurance regulator in India, viz. IRDA. Other statutory
payments/ regulations regarding service tax, FEMA, Provident Fund, Professional Tax.

Actuarial
The actuarial team is responsible for development of new products, pricing of existing products,
establishing and
maintenance of reinsurance relationships, calculation of company reserves, and calculation of
company’s valuation.

BIG
The Business Impact Group acts as a partner to all channels managing their Training & Learning
Activities.

Central Processing Centre (CPC)


The Central Processing Centre works in tandem with Branches and Sales to provide the customer
with the complete service experience. It pools technology and manpower to ensure consistent and
efficient customer service across the country. CPC focuses on customers, both internal and external
and emphasizes on systems and processes. The sub functions in CPC are:

Claims
This department ensures that all genuine client claims are paid on time in accordance with the rules.

Compliance
Compliance department ensures that regulations that are set in place by the regulatory authority
IRDA are complied with.

FMG – Front office Management Group / Administration


The administration Department is responsible for the Facility Management, Property Leasing,
Procurement and Project Execution. They manage the smooth handling of facility management,
handling critical grievances from branches by internal customers and external service providers.

This function is responsible for time and cost management for projects, tender documentation for
construction works, consultancy services and work orders.

HR
The Human Resource Department acts as a partner in developing, communicating and implementing
the strategic direction of the company. Its day-to-day functions include Talent Acquisition, Talent
management, Performance management, HR Operations, HR Compliance, Learning & Development
etc.

IT
This function delivers IT services, IT Projects and ensures the organization has a technical advantage.
It provides and supports all business-related IT applications to Kotak Life Insurance. It provides the
ability to analyze the data and cater to the reporting needs of the organization. The Company has
embarked on a forward-looking technology strategy to evolve customer centric processes and to
support the distribution on efficiency, management information, and customer services. These
efforts are aimed at making front-end and customer services more effective and efficient.

Legal
The legal department provides advice on legal issues and handles litigation faced by the company.

Marketing
Marketing Department is responsible for Marketing Operations and Channel Based Marketing
Activities for all channels. They also plan, implement, review and give feedback on all Channel
Marketing Programs for a Region for both Tied and Alternate Channel and also plans for Investment
Marketing. It is also responsible for Corporate Communication, Internal Communication, Public

Kotak Performance Management:
When it comes to performance management, KLI prides itself on its clear, distinct and
well-defined systems in place for both performance management as well as competencies. The
Kotak Performance Management process begins with the goal setting process, the goals set at
the beginning of the year are to be reviewed on a Quarterly year and annual basis. The process
emphasizes regular reviews and on-going feedback.

Goal setting and Performance Planning:


To set performance goals for the year through KRA's against which the performance review
would be conducted through quarterly and annual appraisal process:
1. Performance measures will comprise of KRAs which may be quantitative or qualitative in nature
2. The list of KRAs will be a mix of three categories, those that are linked with organizational
measures, those linked with Departmental measures & those that are unique to the Job/ Role.
3. The KRAs, targets & weightages will be decided at the beginning of the year by the employee
and will be sent to the Reporting Manager & Reviewing Manager for validation.

Quarterly-Year & Year End Appraisals:


The purpose of conducting appraisals is to review achievement against the targets identified for
the goals at the beginning of the year (or revised at the time of Quarterly-Year) and display of
behavioral indicators against the Competencies. The performance review is done in a fair manner
where in all other factors like potential of the city, environmental factors etc. are considered
while assigning the ratings.

Process:
1. Self Appraisal by employee on goals set at the beginning of the year and display of
competencies.

2. Appraisal of the employee by the manager on achievement of goals set at the beginning of the
year and display of competencies.

3. Overall Performance Rating is computed basis the ratings on KRA achieved

4. The Kotak Competencies would be assessed and rated purely from a developmental
perspective and will not form part of the overall performance rating this year.

1. Leave Policy

a. Privilege Leave

Ÿ Employees are eligible for 28 PLs in a financial year. They are calculated on a pro-rata basis for
those who join during the year
Ÿ No encashment of leaves can happen during active assignment
Ÿ In case of separation from the company PLs are en-cashable on the basic salary equivalent for the
balance PL days subject to maximum of 42 days and current year's leave is applied on pro-rata basis
Ÿ PLs can be carried forward to the next year. You can carry forward a maximum of 7 leaves to the
next year

b. Sick Leave

Ÿ Sick Leave is meant for illness or hospitalization that may prevent an individual from carrying out
his/ her work
Ÿ The SL maximum entitlement is 12 days calculated on pro-rata basis
Ÿ SL applied for more than 2 consecutive days will have to be supported by a medical certificate
from a certified medical practitioner.
Ÿ Sick Leave cannot be carried forward

c. Maternity Leave

Ÿ Under the provisions of Maternity Benefit Act, female employees can avail of Maternity leave
provided they have worked for a period of not less than 80 days in the 12 months immediately
preceding the date of her expected delivery
Ÿ MLs are allowed for a period of 182 days before/ after the date of confinement as per the
convenience of the employee
Ÿ Privilege Leave balance can be combined with the Maternity Leave balance
Ÿ Prior notice of atleast 8 weeks supported by a certificate from a medical practitioner must be
given.

d. Paternity Leave

Ÿ All confirmed employees are eligible to avail maximum of 7 days of Paternity Leave
Ÿ They must be availed for consecutive days within a fortnight of the child's birth

Process of applying for a leave:
Leaves have to be applied through HRMS only. The notification will automatically go the manager
who has to approve your leaves.

Some general rules governing leaves:


Ÿ Non-working Saturdays, Sundays or Holidays that fall within the leave period shall be counted as
a part of leave
Ÿ Leave will not be granted for half day
Ÿ Leave will be sanctioned by the immediate Reporting Manager depending on the exigencies of
work and can also be revoked, refused or curtailed. Such leave refused will not be debited to the
individual's leave account.

2. Employee Referral Policy

Eligibility: Employees from Grade L1 to L4 are covered after confirmation of services.. L5 and above
employees are covered from Date of Joining and . Management Trainees are eligible for medi-claim
after completion of 6 months
Coverage: Coverage amount is 4 Lacs.. However, it is important to note that in all claims, 30% of the
bill amount has to be borne by the employee and the remaining 70% is borne reimbursed by the
company (as the case may be)

4. Whistleblower Policy

This policy is formulated to provide employees with access in good faith, to the Whistle blower
Committee in case the employee observes unethical or improper practices or any other alleged
wrongful conduct within Kotak Life Insurance. This policy by default protects the employee from
consequential management action such as discharge, retaliation or discrimination. In case any
employee observes any unethical/ improper practices or wrongful conduct, s/he can communicate
such instances directly to the Whistle Blower Committee members or through Kotak Group's
whistle blowing portal, www.cwiportal.com. The website enables anonymous reporting and the
independent body managing it ensures complete confidentiality.

Procedure of reporting a wrongdoing through the portal?

Ÿ To report a wrongdoing, log on to the website and click on “Lodge Report”


Ÿ Enter organizational code as “mykotakcell” and enter the verification code.
Ÿ Create a password before submission and save your report number to track progress of your

5. Prevention of Sexual Harassment at Work Place

Sexual harassment is defined as any unwanted physical, verbal or visual sexual advances, demand or
requests. Sexual harassment is a form of misconduct that undermines the integrity of the
employment relationship which is offensive or objectionable to the recipient, including, but not
limited to: epithets, derogatory or suggestive comments, slurs or gestures and offensive posters,
cartoons, pictures, or drawings, email messages or SMS/ MMS, etc. Unwelcome sexual advances
(either verbal or physical), requests for favors and other verbal or physical conduct of a sexual
nature constitute sexual harassment when:

Ÿ Submission to such conduct is either an explicit or implicit term or condition of employment (e.g.
Promotion, training, timekeeping or overtime assignments)

Ÿ Submission to or rejection of the conduct is used as a basis for making employment decisions
(hiring, promotion, termination)

Ÿ The conduct has the purpose or effect of interfering with an individual's work performance or
creating an intimidating, hostile, or offensive work environment.

Ÿ An unwelcome remark with sexual connotations, like sexually explicit compliments/ making
sexist remarks, etc. is made

Ÿ Engages in any other unwelcome conduct of a sexual nature, which could be verbal or even
continuous staring to make the other person uncomfortable, making offensive gestures, kissing
sounds, etc.

Ÿ It is also a sexual harassment to inquire into the private lives of employees or persistently ask
them about it.

Procedure to lodge a complaint:


KLI has an Internal Committee to investigate and take decisions into the complaints relating to
Sexual Harassment. If you feel that you have been the victim of sexual harassment, report it
immediately in writing to any member of the organization who is your senior i.e. your reporting
manager, reviewing manager, HR, HR Compliance team ([email protected]) or any of the
committee members directly.

1. Oracle HRMS:

The HRMS is an application which you can access from the Favourites tab of your web browser. It is a
comprehensive application which manages all aspects of Employee Self Service and Manager Self

same as that of Windows.

You can use Oracle HRMS to:


1. Update any info
2. Regularize attendance- Mark leave, new joinee attendance
3. Upload documents- Post Joining documents

In case you have a team, apart from above options, you can use the Manager Self-Service to
manage actions related to your team.

Uploading Appointment Letter


You will receive and email from Oracle ID for accessing your appointment letter. Your appointment
letter can be accessed by going into Employee Self Service->Document Upload-> Download the
appointment letter. The letter needs to signed on all pages, scanned and re-uploaded on the page.
Please make sure you do this as soon as you get your desktop, failing which your salary will go on
hold. You will receive reminders for the same, so please act upon them.

Marking new joinee attendance


You will be able to mark your attendance on eATS only after you receive your desktop. There might
be some days, starting your date of joining for which you were unable to mark attendance. The
same can be marked in HRMS by going to: Employee Self Service->Attendance Regularization-
>Create Absence. You can mark attendance as “New Joinee Attendance” and define the time
period. Your manager needs to approve this on Oracle. Follow the same process to upload other post
joining document

Marking leaves
You will be able to mark your leaves on HRMS by going to: Employee Self Service->Attendance
Regularization->Create Absence. You can mark your leave for a particular category and mark the
number of days for your leave. Your manager needs to approve this on Oracle. You need to ensure
all leaves are approved by 12th of next month, failing which they will be treated as Loss of Pay.

Marking “Outdoor Duty”


In case you forget to mark your attendance, and more than 6 days have lapsed, then you can mark it
as “Outdoor Duty” on Oracle HRMS. You can mark “Outdoor Duty” also in case you were travelling
for some official work. This needs to be approved from your reporting manager.

If you are a manager, you can also apply for leave, mark new joinee attendance on behalf of your
employee through Manager Self Service to avoid loss of pay of your reportee.

If you are a manager and your reportee resigns, you need to inform your HR immediately and
update their resignation on HRMS

2. Attendance Management

Once you receive your desktop, and it is configured, you need to mark your attendance daily on
eATS. The link for which is: http://kats/klieats/App/DashBoard.ASPX
You can access it from the Favourites tab of your web browser. In case you forget to mark your
attendance on a particular day, you have the option of marking back dated attendance on eATS.

This option is possible for 6 back dated days. In case you mark back dated attendance, it will be
considered as “Present”, only if your manager approves it. So in such a scenario, you need to
intimate and ensure your manager approves your back dated attendance.

If you forget to mark your attendance, and more than 6 days have lapsed, then you can mark it as
“Outdoor Duty” on Oracle HRMS and get it approved from your reporting manager. Manager
should approve this with adequate discretion.

All attendance should be regularized for a particular month, by the 12th date of the next month
(10th/11th if 12th is a non-working day). Failing which, your salary for those days will be considered
as Loss of Pay.

The HR team sends 2 reminders (to you and your manager) to regularize your attendance, so please
make sure, you pay heed to these automated reminders.

3. Payroll

Salary payout generally happens on the 2nd last working day of the month. The below grid will
indicate when a new joinee will get salary after joining.

Date of e-code creation Salary status - On or before 16th of month - Employee will be included in
same month salary processing.

After 16th - Employee will get the salary along with next month’s salary.

Salary can be held for non-submission of Post joining documents, Bank account number not

4. TSR Darashaw

TSR is a payroll self-service website. Post your first salary is credited; you will receive a mail from this
website with your login credentials. It can be access through https://ess.tsrdarashaw.com/
It has the following features:

b. Investment declaration option
c. PF Details
d. Cumulative payslip
e. LTA Outstanding

The time period for declaration of investments is generally in May of each year. Please ensure to
declare for calculating your tax liability. The site for the same is open every month from 5th to 15th.
In January a window will be opened for submission of your investment declaration proofs.

5. Bank Account Opening Process

For opening your bank account with Kotak Bank, the below procedure needs to be

1. Your manager will receive a mail (Bank Account Opening). Take a print out of that mail and keep
with you.

2. Within a week from your Employee Code creation, you will receive a mail with a link. Click on that
link, to generate a pre-filled bank account opening form. The link expires post 48 hrs. You may also
download the same from HRMS.

3. Your bank account is now in debit freeze mode, which means it has been created, but you cannot
withdraw or deposit any money.

4. With the pre-filled form, the mail received from manager, carry your KYC documents, and submit
them on the 3rd floor at the extension counter of Kotak bank in Kotak Tower/Nearest branch
(for branch employees). This needs to be done to remove your bank account from debit freeze mode.
The Kotak Bank SPOC is available there from 1pm - 4pm.

5. Post submission of all documents, a salary account and a reimbursement account will be created
for you. The TAT for Kotak Bank to do this is generally 10-15 working days. All your bank related
documents (cheque book, debit card, brochures - basically the entire kit) will be delivered to your
address which you have mentioned as the one for correspondence.

In case you do not receive the mail for Bank account opening, with the link, or the link has expired
then follow the below process. Post which you can follow the above steps and get your account out
of debit freeze mode.

7. Other Logistics

Access Card: (for HO office only)

Ÿ The access card is a point of entry for you into the office premises and for your vehicle (in case you
plan to travel by your personal vehicle and need parking)
Ÿ After your Employee code is generated, and your manager receives the Intimation letter email,
take a print of that.
Ÿ Fill up the access card form, get is signed by your Department Head (L8 and above), attach the
email and submit it to I card cell (UG floor in parking area).
Ÿ The access card takes generally 10 days to be made.
Ÿ This access card needs to be on your person at all times in office premises.

Your manager needs to get in touch with Admin (SPOC: Jitendra Dudhwakar) to get a workstation
allocated to you. The admin team will allocate the same, and will handover drawer keys to you.

Desktop Management:

Your manager is supposed to log a call in tech-assist for your desktop allocation along with the IT
requisition form. Within 2 days of your E Code creation, your manager will receive an email with
your Windows login credentials. The IT team usually takes 2 days for desktop allocation and
Windows configuration. Once done, you will be able to access all mails and permitted websites. For

Tax exemption on LTA can only be claimed if you avail minimum consecutive five days

taxable component.

3. Does the company provide any loan to employees for emergencies? I have joined last
month. Can I avail the same?
Yes, the company provides emergency loan to employees. Following is the policy –
- Only employees who have completed one year in the Company and is a confirmed employee
are eligible to avail to an employee loan.
- Loan is granted upto a maximum of 6 times the employee's monthly basic salary
- Interest on emergency loan is computed at commercial rates.
- It has to be repaid in 20 Equated Monthly Installments (EMIs)
- The eligibility (amount, tenure, criteria etc) of the loan would be at the discretion of the
Management, it may decide to withdraw this facility or reject an application without being
required to assign any reason for the same.

- Employee Depositary Linked Insurance ( EDLI- death benefit- only for employee )- All employees
who are contributing for provident fund will be eligible for Kotak’s EDLI benefit from date of
joining. Flat sum insured of 6 Lakhs across all employees.
- Group Accident Insurance Policy: covers employees against the risk of death/ disability/
injury sustained due to an accident caused by violent, visible & external means. Sum insured
is equal to CTC or `3 Lakhs whichever is higher.

Employee’s Eligibility
All employees will be eligible for Kotak’s group term life insurance from date of
joining company.
Agency Partners in Kotak Agency Channel deputed at Grade L1 will not be
covered in group term life insurance.
Agency Associate, Chief Agency Associate & Senior Agency Associate in Tied
channel deputed at Grade L1 will not be covered in group term life insurance.
Employees who are at grade of sales associate (from any department or channel)
will not be covered in group term life insurance.

5. Are there any reimbursements given on medical bills?


Yes, medical reimbursement is one of the components of your CTC; you may check your
appointment letter for your eligibility. This amount is paid to you along with your monthly
salary. At the end of the year (December), you would be asked to submit original bills for the
same if any. Bills can be in the name of self, spouse, children and parents, provided they have
been declared as your dependents in the HRMS. Under the current Income Tax rules, there
will be no tax up to `15,000, if bills are submitted for the said amount.

6. What kind of reimbursements can I get?


Employees are eligible for different types of reimbursements. The information on the same
can be obtained from “Reimbursement of expenses to employee” document on KLI Central
website. The reimbursement can be applied from Allsec portal, link for which is

7. What are the retirement benefits that I can expect?
The following are the retirement benefits provided by the company:

Provident Fund
- Provident Fund Account is with the office of the Regional Provident Fund Commissioner,
Maharashtra
- Under this scheme, you will contribute 12% of your basic salary, with the Company
contributing an equivalent amount
- Nomination form to be filled up by you at the time of joining
- If you were a member of the fund with your previous employer, your provident fund
accumulations may need to be transferred to our account. Please fill up the relevant forms
and send it to Payroll department at Mumbai

Gratuity
If you are in continuous service with the Group for not less than five years, Gratuity is
payable as per the provisions of The Gratuity Act, 1972
Nomination form to be filled up by you. You may distribute the eligible amount, when due,
amongst more than one nominees
- Currently, the norm for computation of Gratuity is 15 days basic for each completed year of
service

ESIC:
Employee state insurance cover is Government initiated Social insurance scheme for an
employee drawing gross salary upto 21,000/month. The various benefits can be availed only
at ESIC hospitals and dispensaries. To avail ESIC, employee contributes at 1.75% and employer
contributes 4.75% of wages

ESIC Number/ TIC card - Temporary Identity card ( TIC ) will be generated and issued to the
employee only after remittance of his/her 1st month contribution period to the authority.

For the process of your E Code generation, we need you to submit the offer letter (signed on all
pages) and Joining Form. Once correctly submitted, the HR team will send this information to the
Backend team and your E Code will be generated in 1 day. Your manager will receive a mail in the
evening (Intimation Letter) stating your E Code.

You will also need to submit the below set of documents required as a part of post joining activities
(if not submitted earlier):

Ÿ Original certificates of all Educational and Professional Qualification (The document copies will
be true copied by your HR manager after reviewing all original documents)
Ÿ Experience Certificate from current / recent employer.
Ÿ Salary certificate from current / recent employer.
