Introduction

Payroll Management is a fundamental business requirement demanding compliant


and accurate financial controls in a timely manner. Calculation of gross salaries and
deductible amounts is a tedious task which involves risk. Some of the organizations
use the traditional manual method of payroll processing and some go for the
advanced payroll processing software.

A rules-based payroll management system will assist in controlling the workforce


costs; ensure the entire workforce is being paid on time and according to the
compensation rules. It allows you to maintain full control of the data by accurately
handling a wide range of compensation challenges including multi-location
distributed workforces, multiple shifts, flexible pay cycles, multiple payroll runs etc.

Purpose

The Software is for the automation of Payroll Management.


It maintains two levels of users:-
 Administrator Level
 Employee Level

Leave Details
Tax Details
Pay Slip Generation
New Employee addition

1.2) Scope
It can be used in any type of working place for pay slip generation and salary record
keeping. The Payroll Management System assists the employees of Company in
each and every aspect . The Payroll Management System is customized software
and developed according to the needs of Any Type Company.

This project will be a desktop application to be developed in VB 6.0 having Ms
Access as backend.

Overview
This Project is related to Payroll Management System.

This project maintains two levels of users:-


 Administrator Level - Accountant
 User Level - Employee

Main facilities available in this project are:-

 Maintaining records of employee salary.


 Easy and speedy pay bill preparation

 Employees who are unaware of what is happening on their claims submitted


will be notified

 Most of the salary, Income Tax and GPF related details are online.

 This will reduce the distance between head office and remote offices to a
mouse click.

 The administration will be benefited since 90% of the activities are carried out
through the system

 Result in transparency and smart administration

Overall Description

Goals of proposed system

 Accuracy: - this system will work with a higher accracy. All operation would
be done correctly and it ensures that whatever information is coming from the
center is accurate.

 Reliability: - The reliability of the proposed system will be high due to proper
storage of information.
 No Redundancy: - In the proposed system special care would be taken so
that no information is repeated anywhere, in storage or otherwise. This would
assure economic use of storage space and consistency in the data stored.

 Immediate retrieval of information: - This system provide for a quick and


efficient retrieval of information. Any type
of information would be available whenever the user requires.

 Immediate storage of information: - In manual system there are many


problems to store the largest amount of information.Here we can immediately
store bulk of information at the same time.

 Provides planned and organized approach: - The working in the


organization will be well planned and organized. The data will be stored
properly in data stores,which will help in retrieval of information as well as its
storage.

 User Friendly system: - The system should be easy to operate and should
be such that it can be developed within a short period of time and fit in the
limited budget of the user.

 Easy generation of audit reports – the proposed system produces timely


and accurate management reports of employee, department, and pay-rate
class for all pay periods

Improves data security-Databases are more secure with the proposed


system as it provides different access to the system using different
passwords.

Background

Payroll system has developed itself into automated software that performs every
action needed by the payroll process. It helps in calculating the payable amounts
and deductions very easily. It also helps in generating the pay slips in lesser time.
Automated calculations result in no errors. Data is validated automatically by the
software.It needs professionals to make use of the software for its efficient working

To assist and ease the works of the Retail Outlet of Any Type of Companies, in
particular, Payroll Management System is being developed. This would comprise
the features that can be operated easily. Payroll Management System would take
care of the day to day Attendance of All Employee. It covers activities from
keeping the details of day to day In and Out time etc.

2.6) Definitions of problems


Problems with conventional system

 Inaccuracy-The room for error is high, because all payroll tasks are done
manually and manual calculations are error prone .This includes calculating
time sheets, wages, taxes, issuing checks, verifying the payroll and recording
payroll transactions.

Effective for small organization- A manual payroll system may be effective


if you have only a few employees as it is difficult to calculate the salary of a
large number of employees manually.

 Creates distance between employee and administration-Employees are


unaware of what is happening on their claims until they get the payslip

 Time Consuming: - and take a lot of time this may result in incorrect
information. For example calculation of patient’s bill based on various
treatments.

Alternative Solutions
1. Improved Manual System:-
One of the alternative solutions is the improvement of the manual system.

Manual payroll system is the traditional payroll system which involves pen and ink,
adding machine, spreadsheet, etc instead of computers, software and other
computerized aids.Anything, which can be done by using automated methods, can
be done manually. But the question arises how to perform thing manually in a sound
manner.

Following are some suggestions, which can be useful in the manual system.
 more sophisticate register maintenance for various employee Information
 a good system for writing bill amount
 Salary Details can be maintained at central place.
 Adequate staff may be maintained so that updations are made at the very
moment
 Proper person for proper work should be made responsible so
 that a better efficiency could be achieved.

2. Online System:-
This system provides online storage/ updations and retrieval facility. This system
promises very less or no paper work. In this system everything is stored
electronically so very less amount of paper
work is required and information can be retrieved very easily without searching here
and there into registers. This system is been discussed here as automated Payroll
Management System(proposed system)
