ABSTRACT

This report is a presentation of the field attachment undertaken at Kazinga channel world offices
limited which is an It solution firm and it deals in software, hardware, maintenance among others.
The intern was assigned to the technical and infrastructure department. This report is a
requirement for an award of degree as it forms part of the study course units and it comprises of
five chapters.

Chapter one consists of the background of the field attachment, the objectives and the benefits of
the field attachment. The background of the organisation including its mission, vision, location,
services and its objective plus the core values and the structure of the organisation. Chapter two of
this report is a collection of the daily activities executed from the beginning of the training to the
end of the field attachment for example software installation, photocopying and printing, repair
and maintenance, hardware installation among others.

Chapter three shows the lessons learnt like installation of software, photocopying, documentation
and recording, experiences and skills like analytical skills, trouble shooting skills, communication
skills, and interpersonal skills among others. Chapter four comprises of challenges like lack of
transport, lack of machines to be used during the study, heavy traffic among others, it shows also
the enjoyments internship and disappointments faced during the internship. Chapter five is
comprised of the conclusions and recommendations to the university, organisation, the students
and policy makers. This chapter comprises of the background , objectives and the benefits of the
field attachment , the organisation background including the description, vision, mission,
objectives core values and the organisation structure and the department where the intern was
attached.

CHAPTER ONE
INTRODUCTION
1.0 Introduction
This chapter comprises of the background, objectives and benefits of the field attachment, the
organizational background including the description, vision, mission, objective, core values and
the organizational structure and the department where the intern was attached.

1.1 Background
In the context of Makerere University guidelines for field attachment, field attachment is a filed
based practical training experience that prepares the trainees for the tasks they are expected to
perform on completion of their training. Currently field attachment in Makerere university is
known by several names in different faculties or disciplines. The other names for it include
internship, school practice, community based education services and industrial training During
consultations with the various stakeholders, it was also noted that the terminology ‘internship’
which had earlier on been adopted might be confusing with respect to the conventionally and
internationally known post graduate training in some professions, especially human medicine.

It is therefore agreed and recommended that for avoidance of this confusion, the term ‘field
attachment’ should be adopted for all teaching units to mean any approved field based practical
work carried out by the staff and the students for the purpose of the teaching and research in places
outside the university control but where the university is responsible for the safety of its staff,
students and others exposed to their activities.

1.1.1 Objectives of the field attachment


The purpose of the field attachment at Mubs is to produce practically oriented graduates that meet
the required job related competences of their future employers. Additionally, it serves as a linkage
between the university and the various partners who consume services and products of the
university. The specific objectives of the field attachment program are as follows.
 To enable students to get hands on or real life experience they are expected to work in whey
they graduate.
 To provide an opportunity for the students and staff to interact with the stakeholders and
potential employers and thus appreciate field situations that will also generate information for
curricula review and improvement.

 To develop students understanding the works ethics, employment demands, responsibilities
and opportunities.
 To enhance and strengthen the linkages between Mubs and various stakeholders.

1.1.2 Benefits of the field attachment

 The university will get an opportunity to appreciate clients demands and the quality of the
quality of the graduates required to fulfil these demands
 As a result of the cooperation the potential for the research. mubs will be enhanced and
developed with the various partners
 Mubs will get an opportunity to access training facilities an d resources that are not
available at the university
 It helps one to acquire new knowledge and practical experiences hence improving their
confidence in the problem solving.
 It gives students an opportunity to relate to different categories of people likely to be met in
the real life situation.
 Field attachment enables a student get exposed to the demands and challenges of the work
places
 It helps students to get an opportunity to meet and work with potential employers and
hence have a chance of getting jobs in the future.
 Field attachment also helps students appreciate professionalism and therefore better work
ethics.

1.2 Company background


Kazinga Channel Office World Ltd is one of the leading companies for Office equipment and
IT solution & Services in Uganda for over 26 years. It began to view engagement with its
customers as a critical element of their execution infrastructure. it recognized the growing role
of IT as an operational component of its customer’s business. It helps its customers smartly
in terms of reduced costs, improve efficiency and impact business benefits. The company
noticed that without understanding this fundamental requirement’s it cannot effectively serve its
customers.
The company strengthened its IT infrastructure service offerings tied to a world class service
delivery frame work.

It improved its service delivery model by certifying there processes across the ISO 9002
standards delivery frame work.

1.8 Structure of administration in Kazinga Channel Office World Limited

Managing director
This is one the heads of the company, he is in charge of the company but does not directly
participate in the daily activities of the company he is in charge of signing big contracts with the
major customers of the company and he also decides who to sale goods on credit on not.

General Manager
The general manager or the operational manager is in charge of the organisation directly and
monitors all the day to day activities undertaken by the workers of the company. He signs
contracts that are then approved the md of the company and he is also responsible for the
attendance of the workers since he opens and closes the work premises.

The business development


This is responsible for the development of the organisation in terms of sales among others. This
department has four sales personnel are that help to do the sales of machines like laptops among
others to different other organisation. It is responsible for marketing the company as well also
getting market for the products available

Workshop manager
This one is in charge of all the technical, workshop, and infrastructure activities of the company.
The manager assigns tasks to different works and also is responsible for the results from the tasks
done.

Human resource department


This is in charge of allocating, budgeting and also recruiting of new staff in the organisation. This
office has one person in it and operates all the functions of the human resource.

Accounts
This has the main account and the accounts. These people are responsible for all the entry
transactions of the business. They do handle all the finances of the business and calculate the
profits losses of the company.

Logistics
This department is necessary for the transporting and offloading of the equipments that enter the
company. For example the company imports the machines from outside and it’s the logistics
department necessary to handle those activities.

The Samsung sector


The company also has a sector that sells, repair Samsung phones. This sector has only one person
in charge of it though it is monitored and maintained by the general manager

Technical, infrastructure and workshop department
This is headed by the workshop manager and it was the internes department of attachment was she
used to carry out her activities from. This department carried out the installation, repair and
maintenance, networking, servicing machines among others. This department has the company
engineers who are responsible for all the above activities and also the field part.
Benefits
The intern gained a lot of benefits from this department which include the skills both personal and
work related, she learnt more customer care services, and she was able to particular documents in
the right way. This department was so beneficial in the way that it used to conduct field works
were the intern was able to relate with the outside work.

CHAPTER 2: ACTIVITIES, TASKS AND ASSIGNMENTS

2.0 Introduction
During the internship training in Kazinga Channel Office World Ltd the intern worked with
infrastructure and workshop department mostly were in the infrastructure department they
were doing structured cabling in networking, power projects and hardware, software
maintenance of UPS (uninterrupted power supply), computers, servers, printers on the workshop
side but under the supervision and guidance of the field supervisors.

2.1Activities undertaken
2.1.1 Orientation
On the interns first day of reporting to Kazinga she was oriented by her field supervisor who
asked the intern some questions like what she expects from the company, what she interested in
the most and also what she would wish to be in the future. The supervisor also told the intern
about how the organization works and the different departments the intern will be performing
tasks from plus the arrangement of the organization as a whole. The intern was told about the
arrival and departure time and what is really asked from her if she was to be in the organization.

2.1.2 Attending to customers

This is not as easy as it seems because customers have different behaviors and ways for example
some are hostile or unfriendly whereas others are welcoming and friendly. The intern had to
adhere to all kinds of situation and work on each customer in his/her category. The intern would
greet the customers, smile at them and asking them if they need help in a calm way possible
The intern had to attend to those different customers that were coming to the company. She helped
to give directions to the clients that didn’t know the right people to approach concerning their
different issues.

2.1.3 Writing quotations


The intern involved herself in writing quotations for different companies were they had worked
from. The intern and her supervisor worked in different organizations were they had to diagnose
the machines and write the results of the diagnoisation done. Therefore the intern would write
down the problems identified while analyzing the machines and also write the possible solutions
and the required parts to be replaced on the machine. The intern also made copies of these
quotations whereby one was left at the client’s premises and the other taken back to the company.

So it was upon the client to make a request for the components required for their machine to
function as required.

2.1.4 Software Installation


Software installation is a process of putting the different required software’s onto the computer in
order to help it function as required. In the interns first week after orientation Kazinga Channel
had a project which was to be started at pride micro finance bank bukoto.
Pride was implementing their new windows server 2016 and Data Recovery (DR) for their
banking system. The intern took part in installing the windows server 2016 together with her
supervisor who was doing the cabling and connections of different cables. She had to do the
installation process using the cd drive that had the software and also partition. By partitioning, it
requires allocating space/volumes to different disks i.e. local disk D, E etc. And was to see the
different servers on the different ranks that were arranged well.

2.1.5 Attending workshop


Workshops are done within and outside the organisations whereby the engineers and the intern
had to attend in order to acquire new knowledge about the technologies that have come up and
also the new softwares on the market. Those workshops were organized mostly by companies
from abroad and they would come along with experts who used to pass over knowledge to people.
Those workshops were very useful since the intern got to interact with different inspiring experts
and got to acquire new knowledge and also she was able to ask questions in the aspects she
wanted to know.

TASKS
2.1.6 HP software installation
This installation process was done on two hp laptops and the intern had to install windows pro 10
and other software like MS office and vcl media plus also the necessary drivers under my trainer’s
direction since she didn’t have the knowledge about installation. The intern used a flash disk and
then pressed the f9 keys in order to get the option for the disk that contained the software and also
to continue with the rest of the installation process which she accomplished as required.

2.1.7 Reviewing cleared documents

During the field work training, the intern was required to go through or review the different
documents of the company with the purpose of learning how to use their different documents and
familiarising herself on how the documents are arranged. The intern had to go through all the
documents that were given to her on a daily basis and then report to her supervisor what she had
understood from the documents.

2.1.8 Delivering documents and machines

During the intern’s stay at kazinga, the intern was assigned duties of delivering different machines
and documents like invoices, quotations laptops hard disks and many other computer components
to different organisations and shops. She was given laptops to be delivered to different banks i.e.
pride micro finance, dfcu and insurance companies. The intern was required to deliver them and
also sign on behalf of the organisation and also she had to return the receipts of delivery to the
company showing the signature of the person she was tasked to deliver the items to.

2.1.9 Data entry

Data entry requires one to enter the given documents into a medium of storage, it can be a
computer, database among others. The intern while at kazinga got involved the data entry process
whereby she was required to type the different information required to be used and accessed by
the top managers and other employees into the system. This involved the quotations, the research
carried out by the engineers and all the required information which she was able to accomplish.

2.1.10 Hardware Installation.


The hardwares are the intangible components of the computer that allow the user to connect to
the computer and they include keyboards, cables, and servers among others. The hardwares to
be installed included; Servers, Rack Unit, Storage box, file server, Switches and the
management of the network and power cables in the racks. Th e intern had to unpack the rack
Unit first because it was where the servers are mounted and it comes in pieces which require it
to be assembled. The intern got the installation Manuel from the packs and observed how it
should be assembled, she assembled the rack and pushed it in the data center where it was
placed. The intern unpacked the servers from their boxes and installed the server rail kit in
the racks where she mounted the servers in the rack. The intern plugged the power cords to the
servers and powered them on. All the servers powered up normally then mounted the Sun and

HP switches in the rack to and powered them on also. The intern patched the Patch cord
(network cable) from the Switches to the servers and patched the fiber patch cord from the
servers to the sun switches.

2.1.11 computer preventative and maintenance


Preventive maintenance is an act of ensuring the safety of machine i.e. cleaning of the machine
from dust, ensuring its proper working. The maintenance is done on the monitor, systems
unit, UPS, scanner, printer, laptop, etc. this keeps the machines clean from dust at all times to
avoid prior damage. This is done with special spray that is friendly to electronic machine. The
intern had to check when preventive maintenance was last done on the equipment then check the
systems logs to see if there are some error logs. Then shut down the system and give it time to
cool a proximately 5- 10 minutes and then also unplugged the power cords of the system. The
intern opened the system and blow dust out of the system, she closed the system and used
surface cleaner in form of spray & towel to clean the surface of the system. She powered up the
system to observe if it will come on normally then write the details of the system like the serial
number, model number and date when that maintenance was done. The intern did preventive
maintenance at different machines like computers, printers, Servers and UPS for different clients
of Kazinga Channel like bank of Baroda, jubilee insurance, PWC to mention a few.

2.1.12 UPS maintenance and data collection


For the UPS it measures the voltage and current and can be used to help the computer function
in case the of power loss. The intern checked the cable terminal to ensure the cables are still
firm in the UPS. Then get data about those ups and the computers, the data collected from the
machines are produced back to office for date storage and future reference. The data is entered
into their Equipment Management system form which is helpful in updating and keeping record
off all the machines that were worked on. The information includes name of computer user, CPU
mode, monitor mode, serial numbers, OS, date of service, person who has done the service
among others which is picked from the computers at clients place.

2.1.13 PABX servicing and connection


Kazinga was given a contract by pride micro finance and it was a maintenance contract. In that we
were tasked to move around all the pride branches.

The intern and colleagues under the supervision of one of the employees’ mr.anthony had to do
the maintenance starting from the main branch its self. The intern had to clean the Panasonic
phones used in those banks using sprays, Water etc. Disconnecting and reconnecting them in the
shortest time possible. The intern moved in different branches doing the same branches include;
natete, nakawa, nansana, nankulabye, Mukono, Katwe and upcountry

Maintenance at our lady of good council school


The intern and the fellow internees were tasked to go to our lady of good council school in gayaza
to do maintenance together with Mr.Rajab on of the employees.
The intern had to clean the motherboards by blowing them, cleaning the keyboards, plus also
cleaning the monitors themselves since they were to be used for examinations the following week
she personally was tasked to write done all the serial numbers and the machine models. And also
helping in reconnecting the machines that had been cleaned
The intern d the colleagues did the servicing for two days since they were very many computers
and most of them were not in good condition. The intern also had to do prepare for these
computers since some had stopped working and others were in poor shape whereby we had to
recommend the change of some device parts among others.

2.1.13 Filling and storing records


The intern had to get the different files and put in the necessary documents in the particular file
according to the work being done that day. While filling the intern had to get these papers that
contained the information, punch them well and then place them gently in their respective file
boxes in which they were kept firm. After doing the filing the intern had to place them back into a
locked that contained all the files. She had to make sure there was no missing file in any of the
box file and had to make sure that all the records for the day are punched ,filed and stored.

2.1.14 scanning of job sheets


The intern had to help our workshop manager with the scanning of the job sheet since the main
machine was up stair. so she had to go to the machine then place the job sheet and allocate the
name of the person who had assigned the task to the intern, in that case it was the manager that
was in charge. So the intern accomplished such tasks on a daily basis

2.1.15 Photocopying documents

Photocopying involves making copies out of the required document. The intern was given
documents to be photocopied most times. The intern had to use the different available copiers and
photocopy the needed copies.

2.1.16 writing schedules


The intern used to draft schedules for the activity to be done in the field. This was done by the use
of MS excel and word among others. In the schedules the intern had to write the duration of the
given activities to be carried out, where and how those activities were to be executed. The intern
had to attach the clients organization were the work was to be done from and also the payment
method including the charge for the service to be rendered to the client.

2.1.17 Organizing files


The intern had to organize the files accordingly for example she would organize the files
alphabetically that is to say from A-Z. After organizing the files the intern had to put them in their
respective box files and store them in the box store.

ASSIGNMENTS
2.1.18 networking research
The intern was also required to make a research and also write done short notes about networking
tools and components plus also the processes that were followed while doing networking. The
intern had to use different methods in order to get the information and these included use of
computers to search and also asking other engineers and fellow colleagues for help. The intern
was able to get the information which she presented to the engineer for questioning.

CHAPTER THREE

LESSONS, SKILLS AND EXPERIENCES

3.0 Introduction
This explains the skills and experiences the intern acquired from the internship.

3.1 Lessons

Decision making
From the internship, the intern learnt how to make decisions practically where by in times when
the manager gave her a lot of tasks to perform, she was in position to decide which activity to do
fast and which one to do later on. That is to say the intern would first deliver the documents then
install later .this helped her to accomplish her tasks as fast as possible.

Proper customer service


The intern learnt how to handle customer reactions and behaviors since the company would
receive different kinds of customers. the intern learnt the importance of being calm and
welcoming since she was required to behave in the best way possible while attending to the
customers hence increasing customer satisfaction. This made the intern happy since some of the
clients came to her always for help and also appreciating her.

Time management
According to Stella Cottrell (2013), time management is the process of planning and
conscious control of time spent on specific activities, especially to increase effectiveness,
efficiency or productivity. The starting time for work is 8: 00 am for all workers in Kazinga
channel, although most of them arrive earlier to review some of the work that had been done the
previous day and also complete the unfinished tasks. The intern learnt perfect time management as
she always reported at work before 8am and left at 5pm.

Team work
The intern learnt the benefits of working in teams. She was able to learn that effective
performance of the assigned tasks and duties can be achieved through working as a team. This
helped the intern to appreciate team work since complex tasks were accomplished quickly.

Smartness
The intern learnt that it is so important to be smart. The intern admired the official dressing styles
of the staff and in a short time she copied in order to match with them. This improved on the
smartness of the intern.

Patience
The intern learnt to be patient when performing her work instance, during installation the intern
was assigned the same task over and over again but she did not complain she was patient enough
and knew that it was helping her not the company.

Proper handling of machines


The intern learnt the best ways of handling machines without destroying them or even destroying
the surrounding environment. This was through the guidance she got from the different employees
that would tell her when she was in wrong and showed her the right ways of handling machines in
order to prevent harm.

Relating theory to practical


Since most of the things in class are taught in theory the intern had an opportunity of relating the
theory bit into practical whereby she did the hands on tasks. For example the installation part was
in theory but she was able to relate it in the practice world hence making her work easy and
effective.

Interaction
The intern learnt how to interact with different people within and outside the organization. She
was able to make new friends and also learn a lot of things and also get counseling from them
since all of them were older than her. Interaction is key since it can help one to create or open
opportunities for him/herself.

Commitment to work

The intern was able to attain love for her work and also get commitment to what she is doing .this
has help her to be effective and efficient at her work and to also get a picture of what she will have
to do after her degree.

3.2 Experiences
Interaction with new people
The intern gained experience in interacting with new people. For instance the intern was
introduced to Kazinga channel members and other members and she would professionally
communicate with them.

Use of different devices


The intern got exposed to different office devices such as printers, scanners and copiers which
were used in the company on a daily basis. This was a new experience since she was not familiar
with how those machines operate.

Team work
From the internship, the intern was to work hand in hand with other interns and also the
organization members since some work was allocated in groups and others were done along with
the employees. The intern got to know the importance of team work since it is very important as it
saves time and it’s effective.

Repair and maintenance


The intern got exposed to the devices that were used during the repair and maintenance for
example blowers, spanners, sprays. Etc. During repair they would open the different machines i.e.
motherboards, laptops among others this was a very good experience to the intern.

Flow of information
The intern experienced the flow of information in the organization. Through this, she got to know
the hierarchy of reporting i.e. who to report to before information was delivered to the top
management for example in case of any problem or challenge, the intern had to her field
supervisor.

Decision making

The intern participated in the decision making like deciding the different software to use on
various laptops and if they run well on those computers. This is what helped the intern to gain
decision making experience which is relevant in the efficient and effective running of
organizations in the present-day competitive world.

Customer service delivery


The intern handled the clients with different attitudes and as they made inquiries or complaints,
the intern handled each of the customer’s complaints to ensure that they get satisfied. This
experience enabled the intern to execute the task of customer care.

Time management
The intern got experience in time management during her internship. She used to arrive at work at
exactly 9am and leave after 5pm since it was the company’s policy. In that she feel not at peace
whenever she would arrive late at the workplace.

Filing documents
The intern experienced need in filing documents such as payment vouchers and receipts which
would be used for future reference.

Relating theory to practice


During the field attachment, the intern learnt how to relate the theory to practice by applying the
learnt things she learnt class into practice e.g. she was able to relate the installation processes and
troubleshooting methods to the operations that were handled by the company

Proper records management


The intern learnt the need for proper record management since records management greatly
affects decision making in administration as the records act as a reference. Records management
makes information readily available to whoever needs to access it and thus making managers
work easy during evaluation performance and decision making

Performing data entry


The intern learnt to make entries using the computers since she used to capture most data that was
needed for use by the managers she helped her to be very good at entering data given to her.

Being kin about details

Since the intern used to capture the models and serial numbers of the machines being worked on
in the field, she learnt how to be more kin while recording details and entering them so as to avoid
errors.

3.3 Skills Acquired


Communication skills
Communication is the flow of information from one person to another and involves a feedback.
Communication should be in such a way that the sender gives out the right or intended
information to the party receiving. The intern interacted with everyone at the organization
regardless of their hierarchy and status to create good relations. This enabled the intern to ask and
know more in the department she was attached to during that period and follow instructions
according to the work given to her to carry out by her supervisor. The intern interacted with
various people at the different levels of authority from my supervisor to fellow colleagues each
with their own level of respect to be accorded. She managed to apply the principles of courtesy,
completeness, conciseness, clarity, concreteness, correctness and consideration in her daily
communication at the workplace. Reporting to my supervisor every day about finished activities
helped me gain more confidence of socializing with other people in the entire organization.

Computer skills
These refer to the hands on computer skills that the intern got during the internship period. The
intern got many skills in typing and operating computers where she got skills in troubleshooting.
The intern got skills in micro soft packages that is to say micro soft excel, access, database, word
among others since these were used mostly while recording and documenting data. The intern
acquired software installation skills whereby she was able to install different windows soft wares
on the laptops and how to tackle the different keys in order to install the computers on different
computer versions.

Repair and maintenance skills


From the internship, the intern acquired skills on how to repair computers and how to keep them
in good function i.e. fixing the motherboards and the computers themselves by opening them and
identifying the problems on it. She acquired the maintenance skills by blowing the machines,
cleaning laptop screens among others.

Software installation skills

The intern acquired knowledge of software installing for example windows 10, kasperskery
among others since she installed software on many computers on a daily basis. And so she got
well conversant with the steps and procedures of software installation hence she cannot fail to
operate any installation process. On addition to software installation, she also gained competence
in installing various operating systems namely; All windows distributions e.g. XP, Vista, 2002,
and two Linux, Ubuntu and opens USE.

Hardware installation skills


The intern was able to install or wire different cables and connect devices. These also included the
network cables were by she had to connect different cables to different racks of servers that were
installed hence acquired skills on how to handle the cabling and connection of devices. Both on
the sever system and the computers.

Photocopying printing and scanning skills


The intern acquired more knowledge on how to operate printers, scanners and copiers that were
used in the organization. she can confidently say that she can handle and operate with all
photocopies and scanners since she was able to do those tasks on a daily basis.

Documentation and record skills


This required writing the daily activities that were being carried out in the organization. The intern
acquired skills in quotation writing and how to record information/ results from the activities done
on a daily basis and then reproduce them to the organization for storage and future use.

Interpersonal skills
The intern acquired skills on how people should conduct themselves while at work or any other
place since the intern had to travel to different locations where they would conduct their activities
from for example schools and other companies. The intern got skills on how to dress
professionally while at the work premises.

Time management skills


Time management is the process of planning and exercising conscious control of time spent on
specific activities, especially to increase effectiveness, efficiency or productivity. The intern
gained time management skills through understanding the difference between urgent and

important tasks. For instance during the audit, issuing of petty cash certificate was urgent and the
intern was able to issue them with the aid of her field supervisor.

Organizational skills
The intern acquired skills in organizing documents and financial information that could influence
the decisions of stakeholders and also enable the top managers to relate to the filed documents
which helped them in decision making.

Analytical skills
The intern acquired analytical skills where by the intern had to analyses how different wires were
connected and also ask relevant questions on how that the different devices are connected and
wired. The intern was involved in the evaluation activities which equipped her with skills in
evaluation and also build her confidence.

Troubleshooting skills
The intern due to the much interaction with the different engineers, the intern acquired more
troubleshooting skills. Troubleshooting. Refers to identifying a problem and also come up with
the possible solution to the problem. The intern through analyzing and practical work and
interaction got to know more about the different computer challenges and how they can be
overcome.

Networking skills
The intern was able to acquired networking skills since she had a good interaction with her fellow
internees, administrators, and the workers. This therefore helped her to make new friends who
indeed helped her to get knowledge and information on things she didn’t know.

Listening skills
During the field attachment, the intern was able to acquire listening skills since it was so
important to listen to instructions given in order to successfully perform tasks. the intern used to
listen to whatever was instructed and guidance that was given to her by the staff members and the
she followed them critically.

Typing and data entry skills

The intern acquired skills in typing and data entry since she was tasked to type the documents and
enter data for storage. This is so helpful to the intern since she can use her skills in other places
like while doing her assignments.

Research skills
The interns research skills have also improved greatly due to the constant research she has
been undertaking in order to learn certain things. She met quite a number of challenges where
she had to carry out some kind of research in order to solve the challenges. This in the long run
helped improve her research skills

CHAPTER FOUR

CHALLENGES, LIMITATIONS, ENJOYMENTS AND DISAPPOINTMENTS

4.0 Introduction
This chapter covers the challenges and achievements, enjoyments and disappointments the intern
faced during the field attachment training at Kazinga channel

4.1 Challenges

PERSONAL CHALLENGES

Language barrier
The intern faced a challenge of language barrier since most company clients were foreigners like
most of them were Indians and that intern could not understand the language hence limited
interactions however, the intern involved other employees that were familiar with the language
hence easing interaction with the clients.

Unfavourable weather conditions


This greatly affected the intern during the training especially during the rainy period where the
intern at one pointy reached at work late because of rain and this was a sign of e her feel so
unserious and laziness since she found most workers at work already. This made her feel
embarrassed .the intern also faced a problem of too much sunshine. However, The intern had to
buy an umbrella to cater for both the rainy and sunny weather conditions hence solving that
challenge.

Delayed provision of some facilities
The intern took long to get her log book since they were not available at the faculty and she was
told to come some other day when she came to pick it. This made her waste a lot of money and
time since she was bounced back and she also had to first write on sheets of papers all the
activities done. Therefore intern had to write in a note book whatever task she had done in the day.

The transport costs


This was the fact that the intern had to transport myself to and from home to work place. This
was very strenuous for me and made internship rather a bit difficult since I used to run short of
money at times. The intern however used part of her saving to cater for transport and also wake
up so early in the morning in order to get cheap transport means. She also got support from her
relatives and friends.

Fear for damage of machines

The fact that working on a client equipment’s which are in live environment’s is too scarcely
(fear) as she had this big question in my mind what will happen when the machine fails for when
the client loses his data. The intern however used to ask the engineers on whatever she is not sure
of when performing a task in that way she got the necessary assistance and avoided damage.

Harsh clients
Some clients were hard on us trainee as they felt we cannot do anything of value to them. This
client’s attitude discourages the interns. Therefore the intern used to keep a jolly face and always
talked to the customers in the best way possible in order to please them.

Lack of personal equipment’s


As trainee we didn’t have our own personal tools which were another challenge to us as
most. For example laptops, hard disks, flash among others. However the intern used to use her
Field supervisor’s laptop in order to perform tasks or even get from her friends.

Organizational challenges

Inadequate tools to be used in the field

Engineers were not willing to release their tools to trainee because of critical system they support
and the fear that they will be destroyed by the interns. Therefore the intern saved some money
and bought her own equipment’s for study purposes and help in use for the future.

Slow computers
The other challenge the intern found was the fact that some computers were too slow that
installing operating systems, other software, troubleshooting problems and even configuring
various computer setting was too nagging. However, the started the activities early enough and
also asked for help from the experts. The intern also used to borrow machines that were faster
from some of the staff with the fastest machines.

Long working hours


Working till late in the nights since most system cannot be shut down during the working period.
This was a challenge since the intern reached home late and was questioned a lot by her parents.
However the intern asked the person in charge to inform the parents and also ask for permission to
leave if it was so late for her.

Lack of activities
Sometimes there was nothing much to do at office and this was a big challenge since the intern’s
expectations and morale was lowered. And it also increased bored boredom and inactiveness of
the intern. However, the intern engaged in other activities that were not being focused on like
organizing the workplace and also asking the employees whether they needed help.

4.2 Limitations
Limited knowledge
The intern had limited knowledge about the organization practices and activities in that it
hindered her so much from doing certain tasks since they would not allow her perform certain
activities due to the less knowledge she had on the job. And so the other engineers had to perform
the tasks instead of the intern

Limited office equipments


The company did not have enough equipment’s for the interns for example computers among
others. This required the intern to get her own equipment which was so risky due to the increased

number of thieves in Kampala. This hindered the intern in doing her required tasks since most of
them required machines in order to get the tasks done.

Limited experience
The intern did not have the required experience to perform given tasks, this hindered her
performance since in most of the big companies they could not allow someone with no experience
to work on their machines. Therefore she was left reluctant with nothing to do.

4.3 disappointments
Too much work load.
The intern was assigned too much work especially during filing employee records which were
many and she had to input all of them in the different files this made her delay at the work place
and also delayed arrival at home.

Inadequate computers

The intern was disappointed by the failure by the organization because it didn’t have enough
computers for the students to be used during the training. This forced us to sometimes bring
personal laptops to be able to perform tasks.

Disrespect by some customers


Some of the customers around were unwilling to provide information especially when asking
them what service they needed. This made me too disappointed with their conduct and this
affected me.

High levels of labor turn over


The fact that Kazinga is a good company to work, However the rate at which employees leave the
company is too high hence depicting a backward rate of return especially on the production and
affects its competitive advantage and thus reflecting a bad image of the company on the market. I
was disappointed by this.

4.4 Enjoyments during Internship


Work off days

The intern enjoyed day offs during those days when she could be given the opportunity not to
come and she would rest from business activities.

Attending to new responsibilities and duties


The intern attended to new responsibilities and duties, she gained vast skills which are key in a
real work environment. This among others included physical stock taking, preparing schedules, E-
ordering, quotation writing, record management among others.

Field work
The intern enjoyed the field work activities since she had the opportunity to visit very many
organizations and companies she like for example banks like pride, Barclays among others. This
helped to keep the intern busy and creative

Attending workshops
The intern enjoyed attending workshops were by she got to know about the new technologies in
the country. And also interact with very many professionals.

Team work
The intern enjoyed working as group with other employees since this gave her confidence and
more ideas since she would observe what was being done by other employees.
She also made very close friends out of the people she would interact with.

Good supervisors
While at Kazinga channel world offices limited, the intern was given supervision by the company
engineer and they both used to ensure that she learns something each day. The intern enjoyed the
fact that the field and academic supervisor were so good and offered her guidance where
necessary.

Breakfast allowances
The intern enjoyed that act that they were given breakfast every morning when they arrived at
work, they were served breakfast which solved hunger issues and enabling the intern save her
money.

Friendly staff

The company employees were very friendly and social. They used to help the interns where
necessary and also provided necessary guidance if needed and this also provided them with the
interaction on both business related and social issues.

CHAPTER FIVE:

CONCLUSION AND RECCOMENDATIONS


5.0 INTRODUCTION
This chapter comprises of the conclusion and recommendations of the field attachment made.

5.1 conclusions
In conclusion, the intern had such a nice experience at Kazinga Channel Office World Limited.
The ICT facility was richly developed and thus giving the intern a wide range of hands on
experience, her supervisors were very friendly and willing to answer my questions and also
give me various opportunities to try out what she had learnt and finally, her colleagues were
easy people to work with and were also very willing to share what they knew, that is to say
knowledge and past experiences in certain fields both academic and social, thus making me a
better person both professionally and socially. She got involved in many activities that made her
acquire relevant skills that she thinks will help her in future. She learnt so many lessons and
gained some experience in some aspects of life. Due to the many activities she got involved in,
the intern is glad to say that she acquired major skills in different aspects like installation, repair
among others which she is so grateful of the organization. The challenges limited and
disappointments the intern faced while conducting the field attachment made her realize the true

meaning of the world and she got lessons and stories to tell about the working environment. The
enjoyments shows her the best part of working in a welcoming environment and also working
with courageous and motivated people, the intern thereby encourages the education sector to
introduce such opportunities not in universities only but in all the basic levels of study

5.2 RECOMMENDATIONS
5.2.1 To the organization

First and foremost, the intern recommends that more time should be given to internee in
order to have a greater impact. When little time is given, many end up discouraged due to the
fact that they are not in field always which makes them so idle due to the fact that there is
nothing much to do in the workshop.

The intern recommends the supervisors; they were such nice people and very willing to
share their knowledge she thank all of them for the guidance they endeavored to extend to the
interns
.
The intern recommends that the organization to provide enough support to student going
out in field because we experience hardship if you are sent without enough allowance were
you have to use your own money and calming for it sometime is difficult.
Orientation should be by the organisation whereby interns are shown all places and
departments within the organisation and also the heads of those departments. This should be
done at the time when the intern joins the company

Organisations should provide allowances to interns especially transport and lunch since some
students come from far and have to finance themselves and therefore will motivate interns to
work harder for the good and betterment of the company

5.2.2 To the student


The intern advises the students to start saving money they can use during the internship
period due to the challenging transport cost and also lunch costs since most organizations
do not provide lunch to them

The intern advises the one should carry out a background check about the organisation
she or he is going to do her internship from because it helps one to be familiar with the
organisation background. This will enable her or him not to be challenged with locating
places at workplace.

Students should also ask for assignments when they have nothing to do or when they are
done with their tasks this therefore makes the managers to see potential in you since you
have the desire and willingness to work.

Respect all field supervisors and other employees you interact with throughout the field
attachment process regardless of their backgrounds and social differences.

The students should start looking for placements as early as possible since it’s somehow
hard to get places or at times the companies delay to call people for internship. This will
help them settle done when the time of the field attachment begins.

5.2.2 To the university


The university should give the interns the necessary facilities as early as possible to allow
them prepare themselves for work since some managers will not allow them to perform
tasks without their equipment’s such as log books among others

The university should give the interns reliable supervisors since some of the interns get
done with their field attachment without being supervised at all yet it is a must for them to
get the supervision.

The university should help out in getting for students placements since some students fail
on getting themselves companies to work in or even start doing the attachment late hence
disorganizing the students.
