ACKNOWLEDGEMENT

It is our pleasure to create such a work at Divine Word College

of Calapan. This work became the foundation of cooperation in the
years of our lives to come. We would like to give our gratitude to Mr.
JovertLabay, property custodian of DOLE Regional Office. Without
you, we wouldn’t think of such a great system to improve. We would
like to thank you as well for being the most welcoming person despite
us being hindrances in your work. We would also like to give our
heartiest thanks to every employee present in your office for being
courteous in every time we visit you.

We also owe a lot to the DWCC Laboratory for being the main
workplace for our project. Without it, we wouldn’t have made the
most of our software.

Our endless gratitude to our professor, Mrs. Marites D.

Bengua, without you, no one would give us constant and
unconditional guidance during the creation of our software. And the
fact that you never told us that our work was “somewhat wrong in
something”. Thank you. That really made us feel great about our
work.

II. Project Description

The project to be made is for the purpose of improving the current inventory
system. Manual recording will definitely create errors and the fact that the
custodian complains about the manual system.

Received items are recorded in a form called a Stock Card. The custodian
writes the item quantity, and the date of acceptance. Total quantity of an
item will increase by how much the received item is.

Distributed items are recorded in the Stock Card as well together with the
Received items. The custodian writes the quantity of the item to be given,
office that received such item, and the number of days to consume the said
item.

III. Goal of the Proposed System

 To provide all the services related to inventory management in the

beneficiary office.
 To easily maintain the supplies that are received and distributed.
 To record properly such transactions.
 To present a security feature so that only the custodian has the
authority to access the program with the means of having a username
and a password.
 To provide a user friendly environment, easy to understand, not time-
consuming and can be used effectively without any difficulties.
 To avoid data-redundancy, errors in reporting.
 To produce the desired output according to the needs.

IV. Limitation of the Existing System.

 Difficulty in updating the records of their inventory

 Difficulty in controlling the supplies in their inventory.
 Existing system is manual.
 Searching was complex as there is about 80+ items in theirpresent
inventory.
 The proposed system is expected to perform faster rather than the
existing system.

System Analysis

I. Problem Definition

The proposed system provides all the services related to

inventory management in the beneficiary office an to easily
maintain the supplies that are received and distributed. This
proposed system is maintained from the date of delivery of the
supplies to the D.O.L.E. Regional Office until the supplies are
distributed to the requesting Branch Office. It’s concern is to keep
the records of each supply transaction. The supplies received from
the Main Office and the supplies that the Regional Office will be
consumed & delivered to other Branch Offices. These events are
recorded properly in the proposed system, the said system will also
help the Custodian to produce accurate reports.
