File Closing Checklist


An annotated version of this checklist is available on the wiki. If any step is not
applicable, please

▢ Copy this checklist to the /Notes folder in the client’s file.

Documents & correspondence

▢ Scan any documents that are not already in the digital file.

▢ Shred any documents that do not need to be returned to the client.

▢ Gather all e-mails related to the file and print them to PDF within the
client's /Correspondence folder. Name the file [date] [initials] E-mails.pdf.

Client service

▢ Call the client and ask what we could have done better. Be persistent, and
insist on a real answer. Take notes and e-mail them to Sam.

Close file

▢ Draft a file-closing letter (see wiki for sample language). Save a copy in the
client's /Correspondence folder.

▢ Burn the digital file to a CD. Label the CD with the client's matter number.

▢ Mail the file-closing letter, any check(s) for the client, CD, final invoice if
there is an outstanding balance, and any documents to be returned to the
client.

▢ Move the client file folder to /_Business Clients/Closed Business Files or, if
the client has an outstanding balance, to /_Business Clients/_Billing
Business Clients.

▢ Archive the project in Basecamp.

▢ Delete the client and any related project(s) in Freshbooks (unless the client
has an outstanding balance).

▢ Save this checklist to the /Notes folder in the client's file.
