1. Introduction

A Microsoft Office Visio 2007 Connector Implementation

Visio Connector Application for Software Upgrades will help the IT/Datacenter Administrators and manager to
assess the hardware and software installations on the Servers and user computers/laptops. This connector will
minimize the constant interactions of administrators with the users for the installations of the OS and
software’s in any IT infrastructure. It simplifies the communication by providing a ready to install visual
representation of data which can be executed later to build the infrastructures efficiently.

2. Installation Overview

2.1 Permission to Run Setup.exe

2.2 Software Prerequisites


1. .NET Framework 2.0
2. Microsoft Office Visio 2007

2.3 Installation of Prerequisites


1. .NET Framework 2.0

Download and install the .NET framework 2.0 from:

2. Microsoft Office Visio 2007

The system should have the Microsoft Office Visio 2007 installed

2.4 Installation Flow

The Setup.exe installs the Visio Connector for SOFTWARE UPGRADE ASSESSMENT as an Add-In on the
machine.
Run the Setup.exe
The Welcome Screen appears.

Click Next to continue

The Set Up Installation Path and Disk Space Information screen appears.

1. Click Next, for the default path,or click Browse to select the destination folder path.
2. To check the Disk Space Required, click Disk Cost.
3. Click Next to continue.

The Confirm Installation screen appears.

1. Click Next to begin installation.


2. If you want make any changes to the installation settings or go back to the previous pages, click
Back.
3. Click Cancel to exit the setup wizard.

The Installing Visio Connector for SOFTWARE UPGRADE ASSESSMENT screen appears

1. Please wait while the setup wizard installs Visio Connector for SOFTWARE UPGRADE ASSESSMENT.
This may take few minitues message (See Figure 5: Installing Visio Connector for SOFTWARE
UPGRADE ASSESSMENT).
2. The installation bar is dispalyed.
3. To cancel the installation click Cancel

Once the installation is successful the Installation Complete screen appears( see figure 6)

3. Getting Started

This section describes the basic flow of the reference implementation.

The Microsoft Office Visio 2007 Connector for Software Upgrade Assessment is a COM Add-In that starts up
automatically with Visio 2007.

3.1 Selecting/Opening the Software Assessment Template


The Add-In when installed adds a new template “Software Assessment” under “Add-Ins” Templates Category.

Open Visio 2007, from File, select NewAdd-InsSoftware Assessment

1. Select “Add-Ins” from the “Template Categories” list from the left pane.

2. Select “Software Assessment” from the “Featured Templates” group.

3. Click on “Create” button.

A new menu “Software Assessment” and toolbar “Software Assessment Add-in” is added as the template
opens a new document. A stencil Software Assessment consists of predefined shapes to show Software
Assessment diagram will be also be opened.

Import wizard dialog will also open as you open the Software Assessment Template. This wizard provides sources
of including the machines (severs/client). You can also open the wizard from Software Assessment menu or
toolbar.

The Software Assessment menu consists of the following menu items –

 Import Data – To import data for analyze through various means.


 Find and Upgrade – Find is for finding the applications present in current machines and Upgrade is
to find the applications to which current application can be upgraded to.
 Status Window – To verify the status of diagram generation while in progress.
 Show Report Window: To view the report of the applications.
 Help – User Guide for Visio Connector for Software Assessment.
3.2 Import Data
To create the Software Assessment diagram following are the Import Options:

1. Import data from a Microsoft Office Excel Workbook.


2. Use the Microsoft Excel Sample Template to provide the data

3.2.1 Selecting the Microsoft Office Excel Workbook

1. Select the Information that’s stored in Microsoft Office Excel Workbook and click Next.

2. Select an Excel Workbook that consists of Network Names.

3. Click Open.

4. Select the Log on Credentials to start the monitoring. Enter the credentials if Windows Authentication is

not selected.

5. Click Finish.

6. Click No and Enable WMI monitoring if required. Click Yes, if WMI monitoring is already enabled.
7. A diagram will be auto generated for all the machines present in the Excel Worksheet.

Note: There will be a separate page created for servers and clients.

Note: Each page can contain up to 30 machines, if the number of machines exceed 30, a new page

will be added to the drawing.

3.2.2 Using the Microsoft Office Excel Template


1. On Import Data Wizard, Select Information that I enter using Excel Template and click
Next.
2. Create a new excel file.

3. A message is displayed to create a new File if the File name entered by you does not exist. Click
Ok. A new File will be created at the selected location.

4. A message is displayed to replace an existing File if the File name entered by you already exists.
Click Ok. File will be replaced.

5. The new Excel file created with the template will open. Type the Server/Client names . Click
Save. Click File > Exit.

Note: Color of the machines changes to black if access is denied / RPC Server Unavailable to that particular
machine.

3.2.3 Using the Complete Machines information that is stored in Excel template
1. On Import Data Wizard, Select Complete Machines Information that is stored in Excel
Template and click Next.

2. Create a new excel file.

1. A message is displayed to create a new File if the File name entered by you does not exist. Click
Ok. A new File will be created at the selected location.

2. A message is displayed to replace an existing File if the File name entered by you already exists.
Click Ok. File will be replaced.

3. The new Excel file created with the template will open. Type the Server Details and Client
Details. Click Save. Click File > Exit.

Enter all the fields in both server details and Client details worksheet.

1. Select the Log on Credentials to start the monitoring. Enter the credentials if Windows

Authentication is not selected.

2. Click Finish.

3. Click No and Enable WMI monitoring if required. Click Yes, if WMI monitoring is already enabled.

4. A diagram will be auto generated for all the machines present in the Excel Worksheet

Note: There will be a separate page created for servers and clients.

Note: Each page can contain up to 30 machines, if the number of machines exceed 30, a new page

will be added to the drawing.

3.3 Find & Upgrade

1. Open the Find Upgrade Window from the Menu/Toolbar.

2. Click Find to find the machines on the document with a specific Operating System, SQL Server or

Microsoft Office. All the machines which match the criteria selected in the Find will color Yellow.

A Message box will be displayed with the number of machines found with the selection.

3. Click Upgrade To. Select the Operating System, SQL Server or Microsoft Office to check the upgrade

feasibility of a particular machine.


Note: The Operating System, SQL Server, Microsoft office versions and editions are read from the Config File.

User can update the config file for more versions and to add new Applications.

4. Click Start Upgrading.

5. Upgrade Advisor apply data graphic to the machine as follows:

MS Office
Signifies this machine meets all the recommended requirements needed to

install MS Office edition selected in the Upgrade Window

Signifies this machine does not meet minimum requirement needed to

install SQL Server edition selected in the Upgrade Window.


SQL

Signifies this machine meets minimum requirement needed to install


OS
Operating System edition selected in the Upgrade Window. But it is less

than recommended requirement.


6. To view the report of each machine, select the machine. A Report will be displayed in the Report window at

the bottom of the Visio Document.

Note: You can close the Report window/Status Window and open it from the Show Report Window in Software
Assessment Menu in the Visio Menu Bar.

4. Troubleshooting
This section describes the instructions and the errors users may come across.

4.1 Error while Importing Data

Error scenario 1:

On the Import wizard form Software Upgrade Assessment when user selects Information that’s stored in
Microsoft Office Excel Workbook click Next or when user selects Information that I enter manually
using Excel Template and click Finish then the following error appears:

The selected option requires Microsoft Office Excel 2007 installed on the user machine.

Error scenario 2:

On the Import Wizard form of Software Upgrade Assessment when the user selects existing Microsoft Office
Excel Workbook option and click Next or when user selects Information that I enter manually using
Excel Template and click Finish , file dialog opens and select a blank excel workbook, the following error
appears:

Error Description:

The input excel used for these options must be a valid excel file with ‘Network Names’ column present in it.

Error scenario 3:

On the Import Wizard form of Software Upgrade Assessment when the user selects existing Microsoft Office
Excel Workbook option and click Next or when the user selects Information that I enter manually using
Excel Template, file dialog opens. Now select a file without .xlsx extension, the following error appears
Error Description:

The input excel used for these options must be a excel file.

4.2 Error while Diagram Generation

Error scenario 1:

During the diagram generation process when the user tries to close the document on which the diagram is
being generated. The following error message appears.

Error Description:

The diagram generation process needs to be terminated if user wants to close the document. Click Yes to stop
the diagram generation process and close the document, click No to continue the diagram generation without
closing the document.

Error scenario 2:

During the diagram generation process user tries to delete a page from the document on which the diagram is
being generated, the following error message appears.

Error Description:

Page cannot be deleted until the diagram generation process is complete.

Error scenario 3:

During the diagram generation process, if user tries to delete shape(s) from the document on which the
diagram is being generated, the following error message appears.
Error Description:

Shape(s) cannot be deleted until the diagram generation process is complete.

4.3 Error while upgrading

Error scenario 1:
In upgrade option of Find and Upgrade menu item, when ‘Start Upgrading’ is clicked without selecting any shape,
the following error message appears.

Error Description:

Applications cannot be upgraded in any machine until and unless any shape is selected.

Error scenario 2:
In upgrade option of Find and Upgrade menu item, when ‘Start Upgrading’ is clicked without checking any
application to which up gradation has to be done, following error appears.

Error Description:

Applications cannot be upgraded in any machine until and unless any application is selected.
