Step by step procedure on how to create graph presentation in Excel

Example Data from Mechanical Unit Rates 2015


1. Go to Insert and select Pivot Table.
2. Select the Data from Mechanical Unit Rates by pressing the icon, select table and press
the icon again to go back to Pivot Table dialogue box.
3. Select New Worksheet to transfer Pivot table to another location or Existing Worksheet
to place it onto the same worksheet and press ok.
4. From the new worksheet, click on the Pivot Table area to work with the Pivot Table report.
5. Choose the fields you want to present as your data on the graph from the PivotTable
Fields. Your graph data will depend on what you include on the Pivot Table Fields.
6. You can view selected systems or depending on what you want to see on your data and
graph by using Filters. This will allow the user to select different data that includes or
excludes what you want and do not want to see on your graph and data.
7. For this example, I will select “System” on my filter area where I can select different
systems that I want to view. As you can see, all systems are selected but you can edit
them by clicking Select Multiple Items to exclude other systems.
8. Under the Rows Area, select the item you want to place under the X-axis of your graph.
For example, the year, trade, & area are specifically selected in sequential order because
it will affect your category placements.
9. Under the Values Area, you can now select the numerical data you want your graph to
show. You can also compare data by adding more fields to report.
10. You can choose the type of calculation that you want to use to summarize the data from
the selected field. If you want it to calculate the sum, count, average, maximum,
minimum, and etc., click the arrow down button from the Values and selecting Value
Field Setting.
11. To create the graph, select the entire table and go to Insert and from the charts ribbon,
select the type of chart you want to use. For this example, we will choose one from 2D
column charts.
12. Drag your mouse to the chart area and an icon will appear to show the chart elements
where you can add additional information for the graph. You can add an axis title, chart
title, and etc. and edit them.
