1) Explain the concept of Project management Process Group & Project MANAGEMENT FRAMEWORK

and its importance in Project Management.

Answer: Project management process group:

The five Project management process groups outline the necessary competencies that must be achieved in
order to secure the most effective use of project resources. These five essential areas or process groups are:

Initiating Process Group

As the name indicates the project initiating process group involves the processes, activities, and skills needed
to effectively define the beginning of a project. Setting all permits, authorizations, and initial work orders in
place to secure an effective and logical progression of initial project activities sets the stage for subsequent
success throughout all project phases.

Planning Process Group

The Planning Process Group sets forth the processes needed to define the scope of the project, set strategic
plans in place to maximize workflow, and begin to assemble priority lists and plan team needs. Also sets out
clear cut project goals and puts in place the project infrastructure necessary to achieve those goals according
to the timeline and budgetary constraints.

Executing Process Group

The executing process group involves managing teams effectively while orchestrating timeline expectations
and reaching benchmark goals. Project managers utilizing this set of skills will demonstrate a high degree of
organization and communication skills while addressing team concerns or other complex situations
associated with getting the work done on time and within budget.

Monitoring and Control Process Group

Processing change orders, addressing on-going budget considerations, and mitigating unforeseen
circumstances that may affect a team’s ability to meet initial project expectations are all part of the core skills
and competencies involved in the Monitoring Process Group. Seasoned managers keep the momentum
moving forward and guard the project against stalling by actively monitoring progress and using foresight and
quick response to address project challenges.

Closing Process Group

The Closing Process Group addresses the culmination of strong project management skills demonstrated
throughout the other interrelated processes that guided the project. Following through to close all aspects of
the process and submitting necessary paperwork on time is just as important as all other skills and processes.
Good closure brings great reviews and can increase future word of mouth referrals.
Project Management framework:

It is a combination of processes, tasks, and tools used to transition a project from start to finish. An overview
of a generic process used by this framework is:

Initiation, planning, execution, control, monitoring, closure.

The importance of Project Management framework is to:

 Simplify and assist with sharing information on project management best practices, approaches,
tools, templates and samples.
 Create and share an understanding of the best practices for planning & management for all types
and kinds of project, including IT projects, construction projects, etc.
 Improve the level of competence.
 Contribute to setting common standards and requirements for various projects and establishing
common terminology.

2) Explain the concept of PMBOK Project management Body of Knowledge and its importance in

Project management.

Answer:

PMBOK is an acronym for "Project Management Body of Knowledge." This is a guide to attempt standardize
project management tasks so that all employees and project managers are on the same page when it comes
to overseeing the project process.

Purpose: The PMBOK Guide is intended to be a subset of the project management body of knowledge that is
generally recognized as a good practice. The knowledge and practices described in the guide are applicable to
most projects most of the time and there is a consensus about their value and usefulness.

Importance: For project managers committed to upholding the highest standards, the protocol contained
within the PMBOK Guide contains vital information for leading effective projects in any industry. For project
managers looking to set themselves apart from other leaders in the field, developing advanced project
management skills through ongoing professional development including increased competency with PMBOK
process groups can help leverage the competitive edge.

Understanding project management as an interrelated set of dynamic skills and progressive knowledge can
help professionals build a long and illustrious career. The PMBOK sets forth a detailed outline for project
management success for managers who are willing to invest the time into finessing these vital career skills.

PMBOK guide identifies various project processes and classifies them into 5 major project process

groups (Initiation, planning, execution, control & monitoring, closure groups) so maximize the concentration
on the processes and amplify the results.
It also identifies crucial knowledge areas which may be applicable for most of the industries and gives the top
management which areas are to be given more importance than other so that effectiveness can be achieved
in the project.

6) What is SCOPE CREEP and explain how the management of scope creep is a major factor for time

Management

Answer:

Scope creep in project management refers to changes, continuous or uncontrolled growth in a project’s
scope, at any point after the project begins. This can occur when the scope of a project is not properly
defined, documented, or controlled.

New opportunities, interesting ideas, undiscovered alternatives, and wealth of other information emerges as
the project progresses, providing a perpetual temptation to redefine the project and to make it “better”.
Some project change of this sort may be justified using clear eyed business analysis, but too many of these
non-mandatory changes sneak into projects because the consequences are either never analyzed or
drastically underestimated. To make matters worse, the purported benefits of the change are often
unrealistically overestimated.

Effect of Scope creep on time management:

The changes in scope delay the project so much that the ultimate deliverable has no value are all because the
need is no longer pressing, or it has been met by other means. Scope creep represents unanticipated
additional investment of time and money because it requires new effort, and it also can significantly delay
delivery of the originally expected benefits.

Scope creep can come from any direction, but one of the most insidious is from the project. Every day a
project progresses, you learn something new, so it’s inevitable that you will see things that were not
apparent earlier. This can lead to well-intentioned proposals by someone on the project team to “improve”
the deliverable. Sometimes, scope creep of this sort happens with no warning & visibility until too late, within
a portion of the project where the shift seems harmless. Only after the change is made do the real and
sometimes catastrophic unintended consequences emerge.

Particularly on larger, more complicated projects, all changes deserve a thorough analysis and public
discussion, with a particularly skeptical analysis of all alleged benefits. Both scope creep and scope gaps are
universal and pervasive issues for projects.

Thus, Management of Scope creep is very influential factor of time management and must be contained in
projects.
