Leaves & Leave application
Procedure
The leave year will be calendar year Jan to Dec.

Leave is applicable to the employee after completion of probation period.

Employee is eligible to get total 24 days of leave in a year which comes to 2 leave per
month.

All the leaves must be sanctioned by Site Reporting Manager.

Leaves which are not sanctioned would be treated as leave without pay.

The company holidays or weekly off coming in between the leave duration will be
considered in total number of days of leave.

Leaves not availed during the calendar year will get carried forwarded & cannot be
encashed.
Salary Details

Salary dates Between 7th to 10th of every month

Salary Cycle 21st to 20th of the month

Mode of payment Transfer to salary account , payments for the 1st Month will be done
made through cheque incase salary account is not created/activated

Conveyance Policy
The approved claims for the period 21st to 20th needs to be mailed to
[email protected] latest by 30th.

Approvals All claims will be verified & only the approved claims will be processed.

Claims submitted after the due date will be processed in next cycle.

Disbursement Only approved claims will be released along with the salary.
Statutary Benefits

Provident Fund

ESIC - Employees State Insurance Corporation.

ESIC (if applicable) can avail the benefits at ESIC chain of hospitals.

Employees earning gross salary Rs.15000/- or less are entitled for medical benefits.

Employees registered under the scheme are entitled to medical treatment for themselves
and their dependents.

Insurance Benefits

Mediclaim ( If Applicable)
Employee are covered under Group mediclaim insurance & Personal Accident
Policy. If there is any medical treatment required or you met with an accident then
you can reimburse the amount up to Rs. 1,00,000/- from insurance company.

In such a situation information to be sent to us within 24 hours from admission to


hospital.

You will have to provide us all required documents for the procedure for insurance
claim immediately after discharge.

For any further details you can raise a query in Ireach Portal.

The user Id and Password is your employee code Last 5 digits of the reference
number will be your employee code. Eg: IT/HR/00000.
Escalation Process

If any of your HR queries logged on iReach Portal are not resolved/responded in 48


working Hrs then use following escalation matrix. Give the Ticket number as reference to
these escalations.

The escalations without ticket number reference will not be entertained.

Exit Process

Notice Period 60 Days for salary more than 19999/-


Notice Period 30 Days for salary less than 19999/-

The settlement will be done after 45 days, after completion of notice period & exit
formalities.

Process
Send the resignation mail to your Team Leader mentioning your last working date.
Complete exit formalities after the completion of notice period.
If you have provided proper notice period & are eligible for settlement, then F & F
settlement will be done in 45 days.
Code of Conduct

Each employee has to understand that, when a work is assigned to him he has to do the
job in a diligent way.

It is each employees responsibility to see that his style of functioning or conduct is not
bringing any disrepute to the Organization.

Employees are expected to use company telephone for business purpose only.

If you are unable to attend work for any reason you should notify your Superior as soon
as possible before the start of work so that cover can be arranged.

Alcohol and Other Addictive substances at work - Any employee found to be under the
influence of alcohol on site will be instantly dismissed

Dress Code You should always be in formals


Joining Process & Documentation

We have sent following document to you - the check list.

Appointment Letters Through Mail


Acceptance Letter
Personal Data form
PF form
ESIC form (if applicable)
NDA - Non Disclosure Agreement (if applicable)
ID Badge form
Investment declaration form (If applicable)
Bank Introduction Letter
Documents to be filled & sent back

Appointment letter Sign the duplicate copy of appointment letter on all the 3 pages &
send it back with other documents.

Personal Data form fill in all the personal details in this form & paste passport size
color photograph.

PF form - Fill in the details only where the tick mark is there & sign wherever the tick
mark
Note in Part A put name of your Wife / Husband if you are married OR put name of
your Mother/Father (only one) as the nominee.

SSC, HSC, Last yr degree. diploma mark sheet /certificate , Address Proof & Photo
Identification Xerox each 1 copy

ESIC form Fill in the details only where the tick mark is there & sign wherever the
tick mark
Note- In details of Nominee you need to mention only one name put name of your
wife / husband if you are married OR put name of your Mother/Father (only one) as
the nominee.
Documents to be filled & sent back

Investment declaration form (If applicable) this of regarding the Investment


declarations if your salary is beyond the income tax slab then you are liable to pay TAX
to avoid TDS deductions you must declare all your investment details. As per the
document attached.

Photo ID proof (Voter ID, Driving license, Pan Card, Aadhar Card, Pass port ) Xerox
each.

3 Passport size color photos, one family photo (only if ESIC is applicable) Post card size
which includes self & family. Write your name on backside of photo.

Very Important Above documents should be sent back to us within one week after
receiving any further delay in submission of documents can lead to salary hold
delayed.
Bank Account Opening process

You need to have an account with HDFC bank only.


You need to share your communication address to courier you the bank account
opening letter. (Only for out stationed employee).
Once the bank letter is received, you need to approach nearest HDFC Bank & ask
for Salary account opening. Please provide the bank account opening letter to the
executive, provided by us with your Photo ID & address proof Xerox & one photo.
Once the account is opened & activated kindly email the account details to
ITSource .
Bank executive may ask you the company code it is I1661
Account numbers to be shared before 20th of every month. Any account
numbers received after 20th will not be considered for current salary processing,
instead same will be considered in the net month.

IN case of any issues in opening the bank account then kindly call back to HR on
immediate basis.

Email the Bank account number once it is activated to ensure the salary is deposited in
the same.
You need to share the account number to Ms. Steffi Fernandes (HR)

1. How to Login?
Step 1.1- Open following URL in Internet Browser.

Following screen will appear on your display.
Step 1.2- Enter your login details.
Note Your Login id & Password is your Employee Code
Step 1.3- Now you are logged in & following screen will be displayed.
2) HR Helpdesk-

2.1-Queries- How to Log HR Query?


Step 2.1.1- Click on Hrhelpdesk Menu & select HR Queries menu.

Step 2.1.2- Click on New Ticket to log new Query.


Step 2.1.2- Click on New Ticket to log new Query.
Step 2.1.3- Following Screen will appear. Enter details in various fields like-Category,
Priority, Subject. Enter the details of your Query in Query text box. The screen will look
as below.
Step 2.1.4- Click on Submit to save your Query. Now your query is logged. Auto
generated Ticket number will be displayed on your screen for this query. Use the same
for your future reference

How to View reply to your HR Query?
Step 2.1.5- After you enter in HR queries Menu as per Step 3.1- following screen will
appear. All the Tickets logged by you will be visible in the list.
Step 2.1.6- Select the Ticket number & click on view option. Following screen will appear.
Note reply to your query in Comments section
Step 2.1.7- If you want to reply again to the answer received from HR then can add to
your comments by simply typing in text box & click on Add comment.
3) Personal Details

Salary Slips - View your salary slips

Step 3.1.1- Click on menu Personal details & then submenu My salary slip, as shown
below.
Step 3.1.2 Select Month & click on Preview to view your salary slips.

My Leave details - View Your Leave balance

Step 3.2.1- Click menu Personal Details & then submenu My leave Detail as shown below

Step 3.2.2- Following screen will appear. Select your leave cycle Financial if cycle is April
to March, Calendar if cycle is Jan to Dec. Check in check box to select all Leaves. & then
Click on Preview, To view your leave balance report.
My Profile - View / Change Your Profile

Step 3.3.1- Click menu Personal Details & then submenu Profile as shown below.
Step 4.3.2- Now you can view your personal details. To update the same click on EDIT
YOUR PROFILE following screen will appear make necessary changes & then click on
UPDATE to save
Change Your Password-

Step 3.4.1- Click menu Personal Details & then on Change Password submenu as shown
below. Update old password & new password & click on UPDATE to change your
password.
