This user guide will provide instructions on how to display Actual Cost line items
posted to a Cost Centre.

Section 1: Reporting on line items / Postings


Access SAP in the usual manner to report on school finances.
1.

Log onto SAP, using your personal SAP user ID and password.

In the transaction bar, enter the transaction code S_ALR_87013611 then hit
Enter on your keyboard.
(If you cannot see the transaction bar, left click on the
of the Menu.)

Enter your Schools Cost Centre in the Or value(s) field.


Ensure you populate the From Period and To Period to the timescale you
wish to view information on. Finally, set the Plan Version to C i.e. Total
Current Budget. Now you can click Execute.

4. You now can view all Cost Elements relating to the Cost Centre entered, by
clicking up and down on the bar on the right had side of the screen.

5. To view in detail the Actual Costs against an individual Cost Element, double
click on an amount in the Act. Costs column.

6. You then can choose from the list of reports for a breakdown of the costs by
double clicking on a line. (OR highlighting the line and clicking tick bottom
left)

7. You are then taken into transaction KSB1 (where there is a User Guide also),
here is where you can see numerous details of the postings made. This E.g.
displays Cost Element 142000 Clothing/Uniforms within the Cost Centre
CIP2265.

8. From here you can double click on a line to see further details.
9. To come out of these pages, click on back icon and yes to exit reports

Section 2: Hints & Tips:


1. The layout of the report (when you are in Transaction KSB1) can be
changed to show or hide columns.
