An ERP Story

The main cause of difficulties with the project at Aux Bons Soins is that several users from the
functional departments, mainly finance and accounting, feel excluded from the beginning. It seemed
that the project manager was only concerned with delivery times and deadlines. The project
manager focused only with the technical implementation of ABC. There was lack of cooperation from
the functional departments. There was political resistance from the groups. There was a
confrontation between user groups and IT function. The project leader was not effectively managing
the different dimensions of the project. There was resistance from the user groups because they felt
that they had little control over the IT project. The IT function was imposing decisions on the
functional users and

Improve communication with Business Units


Use one business unit as one pilot
Measure value at the end of each month
Arrive at a consensus for uniformity of data
Hire account Manager with relevant experiences

The Organization has taken a decision of replacing the existing IT packages by
implementing ERP solutions which would integrate data over multiple functions
within organizations.

Background
Aux Bons Soins (ABS) (Meaning Good to Care) is General Insurance company from
Qubec, Canada.

In past 3 years 2 acquisitions were done, General Maritime Protection (2006) &
Western General Insurance (2008). This made ABS a major player in Insurance
Industry.
Till date the Organizations are functioning autonomously.
Now ABS Management decides to merge 3 companies to ABS Canada.
Jean Roberge the IT Vice President of ABS is presenting a 3 year Strategic plan for
development of Information Systems at Annual Strategic Planning meeting at
Calgary.
The Internal collaborators and consultant have proposed for an Integrated
Management System & Processes which will be used by all 3 companies for
managing Finance, Human Resources & Sales and Marketing.
This team of experts recommended ERP package ABC software for above mentioned
modules to streamline the operational integration of the 3 companies.
Currently there are many problems in managing the functionality and to extract
data for preparing consolidated report. Under IMSP project the processes are
suggested to be harmonized.

Background
Jean Roberge proposed that the new system will enable easy access to data and will
help decision makers proactively to focus on short & medium term growth.
Budget : $ 50 Million
Timeline : 3 Phase delivery proposed for 12 ,18 and 24 months for different
modules.
The proposal was approved by management looking at benefits and advantages
and to operate throughout Canada and North America.
After this the direction of IT dept. at ABS is changed.
As Jean Roberge understand the complexity of project he is now in need of an
efficient Project Manager and consults Mr. Francois Caron a seasoned consultant
from GTI.
Mr.Caron and Luc Martin (an expert on ABC solutions) are now meeting Jean
Roberge for understanding the role of new Project Manager.
Roberge did not take into account creating a cross functioning team for the
individual verticals which was a big drawback. Roberge needs to ensure that the

users of the new system are well trained and equipped with the right expertise to
use the system correctly.

3. Considering the type of manager that is required by the company who is


technically sound and has experience in same profession for the position of current
project leader, we will recommend Mr. B out of three potential applicants for this
position because of the following reasons:

Strong technical skills in various verticals and vast exposure in various


technologies.
Has prior experience of executing the project on large scale.
Vast experience in handling team for project management.
Prior experience on integration project where he carried out merge of three
business units.
He has managed various large scale development projects in his career.
Strong knowledge on functional departments i.e. HR, Payroll, CS, SD, MM, FI
during ITM project.
Exposure to various industries like Finance, Insurance, Paper, Energy and
government.
Strengths in planning, working within the budget sanctioned by the company.
Has a quality of project leadership.
Work while keeping the time guidelines and not compromising on the quality
of the work.
During his work prior experience, he has focused on client relationship which
has led to lot of appreciation.
