1.0 INTRODUCTION OF MANAGER AND MANAGEMENT

Manager is someone who coordinates and oversees others work to achieve


goals.Based on the assignment, we choose Telekom Malaysia Alor Setar company
as our major course in this assignment. Our group make an interview with Mr. Mohd
Shahfari Ahmad the vice manager of north state Telekom Malaysia with including
Kedah and Perlis. Mr. Mohd Shahfari is the one who control and conducted the flow
of work within two this state and holding an MBa (Master In Business) from
University Utara Malaysia which become him the most valueable person in Telekom
company within Malaysia. Mr Mohd Shahfari also the one who planning about Unifi
the fastest internet in Malaysia which become available in Kedah in 2018.
Management is activities that coordinate and oversees others work to achieve goals.
Telekom Malaysia Alor Setar was established for almost 17 years. Telekom Malaysia
Alor Setar in the main branches and center for all problem in north state. Telekom
Malaysia also divide all branches in every area to guide users the information and
problem about their internet services. The main selling product of this company is
provided Internet Service Provider (ISP) to community to enhance their technology
minded and cover up the 2020 insight which making advanced Malaysia community.

2.0 FOUR BASIC PRINCIPLE OF MANAGEMENT

2.0 . Planning
Planning is a process of setting goals, and charting the best way of action for
achieving the goal. This function also include, considering the various steps to be
taken to encourage the necessary levels of change and innovation.
2.1 . The strategic plan of the organization?
Based on the interview with the manager of Telekom Malaysia (TM), the strategic
plan use by Telekom Malaysia for extend period is make a product that can make a
high profit for example they make broadband, streamyx and unifi to achieve their
profit.
2.2 . The operational plan of the organization?
The operational plan of Telekom Malaysia is they will determine a sales to achieve a
target to make the profit to be more consistent.
2.3 . Goal setting of the organization done by top management or jointly determined
by employees?
A big company like TM need a teamwork to carry their activities. They will separate
the a job the employers and the job will be done within their department only. We can
conclude that TM use Traditional Goal Setting (TBO) to accomplished their mission.
2.4 . Will planning significantly affects organizational performance?
Lastly the answer for number four is yes, the planning significantly affect Telekom
Malaysia performance like when an employee is not doing it work as it is given, the
whole organization will be like dependent.

3.0 . Organizing

Organizing is the process of allocating and arranging work, authority and resources
to the members of the organization so that they can successfully execute the plans.
3.1 . Recognized the type of departmentalization of the organization.
From the interviewer with the manager of Telekom Malaysia in Alor Setar, we found
and know that there are to many departmentalization in that company building. The
department that we know such as sale department, technical department, marketing
department and also State Delivery Zone (SDZ) that this department make
maintenance to the house. Then they also have a support unit like finance and
security. So in their organization they have a responsible department for their job and
they also doing this by a team work. We can concluded that the manager use
functional type as departmentalization.
3.2 . Is the organization tends to be centralized or decentralized?
Besides that, based from Mr. Mohd Shahfari Ahmad the manager of Telekom
Malaysia said that they had tends this company to be centralized and also
decentralized. They use both of it. From what he said, the building in Alor Setar is the
centralized for the state only for Kedah and Perlis only. They use centralized just for
instruction and also strategic business. But they use operation by decentralized for
examples giving task to the others department based on their job and professional
course. So they have jobs for centralized and decentralized.

3.3 . Did the organization flexibly adjust their strategy according to the changing of
technology and uncertainties in business environment?

Based on my interviewer, this organization uses a flexible strategy according to the


changing of technology and uncertainties in business environment. They cannot
state by one strategy only but they must use and edit the strategy by follow the world
environment. They know that the communication technology change fastly so they
also need be faster and edit the strategy so that can make them be the greater
communication company among the other competitors. The example that they
change the strategy like before this they just sell the product to the people only by
not thinking that how and doesnt people feel on how to use and what they feel by
use it. But now the change it by show people that Telekom Malaysia can make
people live easier. They cannot state by one strategy because it can make this
company loss or bankrupts.

4.0 . Leading

Leading involves directing, influencing and motivating employees to perform


essential tasks. This function involves display of leadership qualities, different
leadership

styles,

different

influencing

powers,

with

excellent

abilities

of

communication and motivation.


4.1 . Identify the organizational leadership style based on Iowa University studies
(autocratic, democratic, laisses faire).
University of IOWA studies has identified three leadership style that its autocratic
style, democratic style, and laisses faire style. Based on the interviewer we can
conclude that the manager of Telekom Malaysia like democratic style which the
manager always accepted all the decision and sound making by the employees
through meeting and manager also participating with his employees. Based on this
style the relationship between manager and staff become close and staff like their
work so much.
4.2 . Identify the leaders behavior of the organization (employee or production
oriented).
Based on my interviewer, I can conclude that the manager of Telekom Malaysia
behaviour by his body language. He has a self-confidence and responsibility in
answering our group question without prejudices. By the managerial grid we can
conclude that the manager is using team management as their major behavioural
that high concern of task and high concern of employees which make the company
profit revenues high every years for examples doing workshop to employees to
monitor their workers performance.

5.0 . Controlling

Controlling is the process of devising various checks to ensure that planned


performance is actually achieved. It involve ensuring that actual activities conform to
the planned activities. Monitoring the financial statements, checking the cash
registers to avoid overdraft.
5.1 . How is the organization measures employees performance?
Based on the interview with the manager of Telekom Malaysia. Telekom Malaysia
Alor Setar measures their employees performance by using Key Performance
Indicator (KPI) which every department and every employee have their own KPI. By
using KPI they have given their own target. Every end of the year all the staff or
employee will be measured their performance by KPI to check whether they reach
their target or not. We can conclude that the manager use sources of information
which is based on statistical reports and employees control criteria to manage their
work.
5.2 . What is the action taken by managers if the employee outperformed?
Based on my interviewer, the action taken by Telekom Malaysia managers if the
employee outperformed, they will be guide. They will be send to training, give some
motivation and counselling. So that the manager can know what problem of
employees has to face out. But if the employee still outperformed after sixth month of
the training, motivation and counselling, the employee salarys increase will be
detained or will not get bonus. We can say that the manager use course of action by
correcting actual (current) performance of their employees.

Make a product to make a profit. E.g. Streamyx and Unifi.
ii. The operational plan of the organization?
Determine a sale to achieve profit that have been given.

jointly determined by employees?
Yes, a teamwork is needed in a such big company like TM.
iv. Will planning significantly affects organizational performance?
Yes, it will affected the TM organization performance.

Leader behavior use employees to emphasizing personal
relationship for examples leader held a workshop to staff. The
managerial grid of this company is high concern of task and high
concern of employees.
d. Controlling.
i. How is the organization measures employees performance?
TM using Key Performance Indicator (KPI) to measure
employees.
ii. What is the action taken by managers if the employee
outperformed?
The employees will be guide first, then if they still outperformed
they will not get their bonus.

Conclusion
In conclusion we decided to take Telekom Malaysia company as for group
assignment because we know that the company have a good background of
company and this company also one of famous internet service provider in Malaysia.
Telekom Malaysia also provided many kind of technology service in or out the world.
We are so proud to choose Telekom Malaysia as part of assignment and hope
Telekom Malaysia will be a successful and delegating company in this Malaysia.

7.1 INTRODUCTION

: Can sir tells a bit about of your background?

Mr. Shahfari : I am Mohd Shahfari Ahmad as a vice manager of Telekom Malaysia


Alor Setar. I had worked in hotel about 22 years. I also extended my
fields in MBa (Master in Business) in University Utara Malaysia and
right know am working in this big company as a leadership .History of
my working experience is just so difficult and years ago I am working at
a luxurious bank name Maybank and being an officer is not just a blink
of eye. So after a few month I am being disqualified because of my
experience is not label as professionalism.

: Mr. Shahfari can I ask, what the vision and mission of this Telekom
Malaysia Alor Setar?

Mr. Shahfari : Okay, the vision of this company is to make life and business easier,
for a better Malaysia and for the mission is we deliver life made easier.

: What are the plans and strategies Mr. Shahfari do in the short term in
a future?

Mr. Shahfari : For the short term in terms of the market in north state Kedah and
Perlis we will make a product that can make a high profit for example
broadband, streamyx and unifi. All this product are being contributed by
doing a meeting to take a suggestion about hows pros and cons
about this product as well.

: What is the role Mr. Shahfari as a manager Telekom Malaysia to


ensure that this thriving company?

Mr. Shahfari : A big company like TM needs teamwork to carry their activities. They
will separate a job for employers and the job will be done within their
department only.
Me

: Is there strategy that Mr. Shahfari used in this time affect the
performance of the organization? Can Mr. Shahfari explain a little bit?

Mr. Shahfari : The strategy that I use now is upgrading strategy from time to time
.This is the most important value that a company needed to make profit
or revenues. So Telekom Malaysia make a specific protocol to all of
employee that will prevent workers from become lazy, stress and
boredom.

: Mr. Shahfari how many branches of Telekom Malaysia in Malaysia?

Mr. Shahfari : About branches is for almost every state of Malaysia have a Telekom
Malaysia Berhad and HQ is in Kuala Lumpur the headquarters of all
tm.
Me

: How many employees you have Mr. Shahfari?

Mr. Shahfari : For me I have many workers in every department and for almost 1500
workers in my company.
Me

: Do you use medium IT to manage your work that related with your
company and your employees?

Mr. Shahfari : Yes, I use WhatsApp to communicate with them and we also create a
group to discuss our problem about this company.

Me

: Can Mr Shahfari explains how the leadership style that you use to the
workers?

Mr. Shahfari : My answer is simple. Our government use democratic style right so I
am use it as a major style in my company because workers like this
style so much that can give them equal quality of life and they can give
decision what they like when every meeting is conducted.
Me

: Do sir fully entrusted to the employee in managing this company?

Mr. Shahfari : From my opinions, I as the manager of this company, I will managing
this company in my own hand, i cannot trust 100% to others. At most
we can trust only 95%. For me, I put my trust close to 90% to my
employees. We cannot put 10% because if 10% it will be perfect and I

cannot judge my employees. In one day, we must have one mistake


that we make. For me, 95% is the best for them.

: Do sir always involves yourself with your employees to help them?

Mr. Zulhelmi : I will monitor them but not too strict. If we can achieve our target every
day, Alhamdulillah. We can celebrate our dinner and make a party to
reward my staff of all what they do it to this company.

7.5 CONTROLLING
Me

: How Mr. Shahfari monitors employee performance? Whether the


monitoring of sir through the receipt of complaints from employees or
by your own way?

Mr. Shahfari : In terms of complaints, every 6 months we will have KPI (Key
Performance Indicator) systems. I used an interesting system. Through
the KPI system, I can review employees attendance. So, the
employees will not too able cover their own data. I would see from time
to time every 6 months. If an employees performance was good, I will
give them a reward. For example, increase their salaries or positions.
For information, a manager also have a greater side of management, it
will be adjusted through KPI manager. So, they can know me can
handle this cafe or not.

: What Mr. Shahfari do when your employees is outperformed?

Mr.Shahfari : The action taken by me when my employee outperformed is i will


guide them to the rightness. I will set a training, give some motivation
and counselling. So I will know what the problem of my employees has
to face out.

: What is your hope for this cafe in the future?

Mr. Shahfari : My hope is I want the whole Malaysia have Telekom Malaysia. I will
make sure every state has a better internet connection that can
connect with others in or out of the world with just one touch.
