Executive summary

This report is a proposal for the new and improved office space for
Go-Mez productions.

The proposal’s purpose is to highlight the current condition of the


production office and propose possible recommendations to bring the
office in line with current staff needs and client requirements to provide a
state of the art, functional, long term solution to the current situations.

After 20 years in the current location the office is in need of a overhaul,


we propose a new office is needed with improvements to address the
downfalls and the potential risks that may affect the productivity,
efficiency, functionality and the OHS of the office.

Greater space is the overall need of the office which can be achieved with
a mixture of open planned and enclosed office areas. larger interactive
work stations, recreation or chill out areas with a the green needs of
today. Office furniture to fit effectively into the new space. Great views to
inspire the staff. Improved and updated technologies .Greater flexibility in
work hours and work areas. Storage areas with enough room for our
current needs and the futures.

It is important to keep abreast of current trends and stay ahead of the


pack to keep the clients coming back to use Go-Mez productions
Introduction

The report is to outline the proposed new facilities that we require to


have a work space that is to meet the clients and our expectations of what
a leading, creative production company should look and feel like.
This is the first ever update of the current production office for the
company and it is in dire need of a complete over haul. We currently
reside in an office too small for the increase in the personnel and work
load that we are currently experiencing. Each office area is outdated and
ineffective in providing a flexible, efficient, functional space which brings
the team together or gives them the space they need to provide our
clients with a great product.
The key elements of a good office are Efficiency, Flexibility,
functionality and the use of technology these are all important and have
been address in this report.

We have listed our recommendations for the new office space and what
each area will entail.

1. Enclosed office spaces

These areas will be determined by the function of the position rather than
the classification of the occupant. These areas will minimise to ensure
future adaptability of the work area. These enclosed offices will have the
ability to open up to the rest of the office with large glass windows and
glazed wall to give the impression of space and to let in as much natural
light as possible. The furniture will be the same as the work stations in the
open planned area to give that greater flexibility.

I. Bosses office: is an enclose area will be where the boss will be


able to conduct their own business.

II. Conference Room: A room which has the ability to house a


large table and furniture to have meetings of up to 20 pax. This
will be a multi-purpose room with the ability to be used for large
team meetings, office meetings, training etc.
III. Meeting room/demonstration room: A small meeting room
for formal meetings, interviews, client meetings with room for
up to 6 people.

IV. Chill out room: a small room those times where staff just need
to get way from it all a bit and to get some privacy. This room
will house state of the art sound systems and visual equipement
to provide some “me” time.

2. Open planned spaces

There are new ways of working which are aimed at improving productivity
and providing greater flexibility. The open planned approach creates good
team environments which promote easy interaction with staff and
technology. These areas will be opened and easily accessible but will also
have the ability to be separated from the other areas with easily to erect
partitions.

I. Open workstations: these are to house the staff members who


need to be the office most of the time. They are in the opened
planned area of the office so they work within their teams but
may be arranged to give them the personal privacy when
necessary. These stations will be furnished with mobile furniture
which are modular and easy to move when updating is required

II. Shared work stations

This is something new that propose for the Go-Mez production


office. This is also referred to as “hot desking” this is where 2 or
more people may share the one desk. Due to fact that some of
the staff in the production company are out of the office for large
amounts of time working with their clients and they don’t have
conflicting space needs with other staff members this is a good
way of saving that much need space. The work stations will
furnished with mobile furniture

III. Reception and Waiting Space.


It is recommended that the reception be of something more
permanent with a large welcoming desk with some comfortable
furniture for people to wait in while they are in the reception area.
A large flat screen TV should be installed showing the promotional
materials from Go-Mez productions.
IV. Work cafe

The work cafe idea is to replace the existing eating area. The cafe
is to be run as a cafe for the staffs eating and drinking needs but
also with the ability to host ad hoc meetings for the staff to
socialise and even a temporary place for work.

3.Technology

Technology is the integral part of the company and should be updated on


a regular basis. Where ever possible appropriate technology should be
used to maximise flexibility and decrease space and poser requirements.
It is recommended that all computers systems to now be wireless, this
includes monitors, mouse’s and keyboards. All communication systems,
telephones, fax machines, printers and intercoms also be wireless. This
will dramatically reduce the amount of cables needed; this will be a major
cost saver in the long run.

Greener and longer lasting lighting systems should be installed in all


locations within the new office; these can be controlled by the one master
system or individually in each area on touch screen systems which can be
linked to the work area computers.

Flat screen TV’s to be installed in the conference rooms, meeting room,


work cafe, bosses office, reception area. These will also be wireless and
recessed into walls to help with providing more space.

All the updated technologies will be of a lower power consuming nature to


help bring the office into line with the new greener look of the office. This
will also be a big cost saver.

4. Storage spaces

It is recommended that only essential records be retained onsite, and to


establish a archive/disposal plan which may mean that storage off-site will
be needed. It is very important to provide both central and personal
storage. Storage and filing cabinets should be modular in both width and
height to fit in each work station/area.
CONCLUSION

In conclusion having fewer enclosed offices and smaller individual


workplaces, combined with greater access to appropriate support spaces,
will enhance flexibility and make more effective use of the space. This can
be achieved by the proposed new layout of a good mixture of enclosed
and open work areas. Functional office space should make it easier to do
their work and should support the tasks they are required to do. With this
good facilities also promote a team approach, teams can interact in
centralised open or enclosed areas.

The office must be a pleasurable space for all users which encourages social
interaction and a sense of community, this is why the work cafe will work as it
will provide an alternative less formal meeting/work area.

A well designed office provides a safe attractive environment. The new office will
follow and comply with the OH&s requirements for a safe working working
environment for all staff and our visitors

RECOMMENDATIONS

The new Go-Mez production office should be revamped to include the


recommendations within this report and action as soon as possible. The enclosed
areas should maximise daylight views by building floor to ceiling enclosed rooms
around the core and against solid walls to ensure maximum access to natural
light and views for all users. The glazed enclosures enable teams to remain part
of the work environment while providing sound isolation.

The open areas will be modular and have modular furniture with components
that are transferable from workstation to workstation. Reshaping of staff
interrelationships, where workflows may be rearranged without losses in
workplace performance. Due to staff turnover or the “Churn rate” it is important
to ensure that the workplace is flexible to allow changes to occur easily and
efficiently. Primary circulation should occur around the core and through the
centre of the office space to maximise space efficiency.

Technology hard ware and soft ware should all be updated as we are a
production company and should be on the cutting edge to keep ahead of our
clients needs.
