Communications and Public Engagement Co-ordinator

Job description
Responsible to: Press and Communications Manager

Accountable to: Deputy Chief Executive

Working hours: 21 hours per week/three days a week (excluding lunch hour) Monday to
Friday (negotiable). Some out of office hours and/or weekend working may
be required but this should be taken as part of the weekly 21 hours

Location: The Royal College of Pathologists, 2 Carlton House Terrace, London


SW1Y 5AF or any of the place(s) of business of the College as determined
from time to time

Salary: £18,000 pa pro rata

This post is offered on a temporary fixed-term contract of six months from June to the end of
November 2010

Introduction
The Royal College of Pathologists is a professional membership organisation dedicated to the
advancement of the science and practice of pathology. Currently there are about 8,500 members,
all of whom are pathologists based in hospitals, universities and laboratories in the UK and
overseas. The College’s main tasks are to set and maintain training standards for doctors and
scientists, to advise on the appointment of consultants, to ensure the membership is kept up to
date with current practice through the continuing professional development scheme, and to
promote the latest developments in pathology by holding scientific meetings.

The College’s mission is to promote excellence in the practice of pathology and to be responsible
for maintaining standards through training, assessments, examinations and professional
development, to the benefit of the public.

Background to the Project


The first National Pathology Week (NPW) was held in Nov 2008. The aim was to increase
awareness of the specialty and to try and get away from the widely held view that pathology is all
about dead bodies and solving crimes. The project was a success and exceeded targets set for the
week.

The second NPW, in November 2009, had the theme: Pathology: the heart of modern healthcare.
The key messages focused on promoting heart health and disease prevention. Over 420 events
took place across the UK. This year our theme is Pathology: The Building Blocks of Life
highlighting the role of pathology in maternal, fetal, perinatal and paediatric health. NPW 2010 will
take place between 1 – 7 November.

Role Summary
The Co-ordinator will work as part of the National Pathology Week 2010 team, working closely with
the NPW Project Lead, Press and Communications Manager and Public Engagement
Manager. Main duties will include assisting with maintaining the NPW website, helping to co-
ordinate NPW events and all project administration.

Administration and general NPW duties


• Track invoices and monitor NPW budget including creating a spreadsheet with projected and
actual outgoings, keeping track of College purchase orders and ensuring that all invoices are
copied before being sent to accounts for payments
• Perform administrative tasks for the team such as organise meetings, taking notes at meetings,
proof reading content for publications
• Maintain database of promotional materials and mail out materials to organisers. (including
collating and mailing out organisers’ packs)
• Handle enquiries and calls from external audiences regarding NPW
• Deputise for the Press and Communications Manager and Public Engagement Manager as
required
• Travel to meetings at other locations
• Collate data from evaluation forms using Excel or Access and present the information in charts
• Collate, create and maintain data\information for marketing database, including researching
information on organisations, websites and publications which could be used to promote NPW
• Sourcing images for resources
• Any other duties appropriate to the role.

Website
• Upload information and resources on to the website (www.nationalpathologyweek.org)
(training will be provided).
• Check website for accuracy i.e. links are working, proof reading, and that information is up to
date
• Monitor and check information on events supplied via the on-line registration form and upload
details to the live website as appropriate.

Events management
• Arrange meetings for NPW team and Regional Co-ordinators
• Assist the Public Engagement Manager to organise science communications training events
for pathologists
• Arrange transport, venues, catering, travel, etc as required
• Maintain events database, including inputting delegate details, sending confirmation emails
• Assist the NPW team at events held during National Pathology Week
• Order materials and resources for any workshops or events

Media relations
• In conjunction with the Press and Communications Manager, respond to media enquiries –
taking details of the nature of the enquiry including the deadline of the journalist involved
• Monitor media and online coverage for the College, including collating press cuttings and
on line coverage
• Maintain an up-to-date media contacts database and call log.

Person Specification

Essential qualifications and experience


• One year’s experience of working in a communications, press and PR role or public
engagement role
• Very strong organisational and administrative abilities
• Experience of working with IT systems including Microsoft office (Word, Excel, PowerPoint)
• Experience of working in teams
• Be prepared to work out of office hours and on weekends occasionally.

Desirable
• Degree or equivalent
• Experience of working in a healthcare/not for profit/membership environment
• Science background
• Experience of working with the media, including responding to press enquiries
• Experience of co-ordinating events
• Experience of developing educational resources
• Experience of working of using website Content Management Systems (CMS)
• Experience of working on campaigns.
