ELM Work Instructions

ELM is the tool used to upload a mass list of new accounts or to mass update existing accounts.
Log into the IC Web (CRM)
Select ELM

Select Mapping Format Search

Description Enter * Click Search

You will receive two results:


CSTCR mapping for used to create customers
CSTMT mapping format used to update customers

Select the link for the format you need for your list?
This will take you to the Mapping Format Details

Click Export Icon

The excel document will be created Click on Spreadsheet and you will see the following format:

Highlight column 2 through the end of the fields populated Copy

Go To Field F1 Right click Paste Special Transpose Ok

Delete Column E through A Your file should look like the screenshot below:

You will use this mapping format to populate the fields you want to mass load. Use the Customer Maintain
Mapping Descriptions document for CSTMT and Customer Create Mapping Descriptions document for
CSTCR.
Enter new values starting in row 5 (using the code values provided in the Customer Mapping Descriptions
documents). If you are using the Customer Maintain Mapping format you will need to enter the Customer
Number(s) in the first column (Organization ID). Only add the values in the column(s) for the fields you will be
updating. Once you have entered all of the values you will be loading highlight rows 1-4 and delete them only
leaving the new values you added to the spreadsheet.
Once you complete your list of values you will be loading in the correct columns based off of the mapping
format you will need to delete the header and save as csv file.
ELM Select External List Create
Complete the following fields under General Data;
ID = Use standard file name AS_Project Name_Date
External List Origin = Where it was received from
External List Type = Internally Procured
Mapping Format = Customer Create/CSTCR (new accounts) or Customer Maintain/CSTMT (existing accounts)

Select the following under Process Steps:


Read File, Map Data, Check Postal Correctness and Maintain Business Partners
File Select Client File browse to locate file location, upload file.
Delimiter = Comma
Scheduling Start = Immediately (unless it is a list that has to be run at night)

Then select Start at the top of the screen.

Hit Refresh, see Process Steps for any errors.


If your file fails you will need to rename the ID under General Data by adding v1 or v2 (version of the original)

Click blue hyperlink to see error details. Please note if header left on file, an error will occur for line 1.

Click Show List Records to pull accounts created. Results will only show 4 records at a time. In order to
change the results to next 4 accounts change Display Records from Position to next record youd like to view.
(example if the last record viewed is 5, enter 6, to view the next 4 records)

Export to excel by selecting the export icon.

You will have access to pull a complete list of customer details from BI

Instructions for scrubbing list for upload:


General Tips

Files must be saved as .CSV file before uploading

No commas allowed in spreadsheet

Mapping Codes must be in all caps (Xs, Comp Types, ID Codes, Functions)

Watch out for zip codes and mapping codes that start with a zero. You must always insert 0
(apostrophe, zero) in the beginning of that field to make sure it is read properly when uploading.

Changing from all caps to Title Case


Copy selection and paste into blank Word document
Select all, go to: Format, Change Case, Title Case
Select all again in Word and paste into original Excel document

To separate first and last names:


Copy selection and paste into blank Word document
Remove all middle initials and remove middle names or combine them with the first name for conversion
Select all rows, go to: Table, Convert, Table to Text, Select Other under Separate Text At section and replace
the with a space.
Select all rows, go to: Table, Convert, Text to Table
Select all rows and paste into original Excel document.

To Re-Format Account Numbers


Export information for all accounts; copy into one document. Copy row that contains account numbers and
paste into a blank Word document.
Select row in Word, go to: Table, Convert, Table to Text, Select Tabs under Separate Text At section
Select row, go to: Table, Convert, Text to Table, Change number of columns to 1
Select all rows and paste into original Excel document.
