OPENING & EDITING EXISTING WORD DOCUMENT

Open Existing File

you have saved a file,


retrieving it is easy.
There
are three ways to
retrieve or open a file in MS Word. You can
use the Open button in the standard toolbar,
the File menu or the keyboard shortcut in
opening MS Word Documents.

Using the Standard Toolbar


1. Click the Open button in the Standard Toolbar.
2. The Open Dialog Box appears, by default it will be opened in your My
Documents Folder.
3. Click on the Document that you want to open.
4. Click Open button
5. The selected Document opens.
Using the Keyboard Shortcut
1. Press CTRL + O on the keyboard (The Open dialog box appears).
2. The Open Dialog box appears, by default it will be opened in your My
Documents folder.
3. Double click on the File that you want to open
4. The selected Document opens.
Using the Menu bar
1. Click the File | Open
2. The Open Dialog box appears, by
default it will be opened in youre My
Documents folder.
3. Double click on the File that you want

Selecting Text
There are several forms of text that you can select in MS Word: a single word, a line
of text, a group of words, a sentence, a paragraph and the whole document. Below is a
table on how to select these forms of text.

Copy and Paste


This MS Word features will surely save you a lot of time when typing repetitive texts
document. Copying and pasting does not only work with texts but also with other MS Word
objects such as pictures, tables, etc.
1. Select the text that has to be copied (Use the selection techniques you have learned
previously to make the task a lot easier).
2. Right click on the selected text (A shortcut menu appears).
3. Click Copy in the shortcut menu (The shortcut menu disappears and the text you have
copied is placed in the clipboard).
4. Click on the location where the text is supposed to be pasted.
5. Right click on the location (The shortcut menu appears again).
6. Click Paste in the shortcut menu (The text you have copied is now placed where the
insertion point is located).
Exercise
1. Type: The Quick Brown Fox Jumped Over the Lazy Dogs
2. Paste it 10 times
3. Save the Document under the filename: EditingText.

Cut and Paste


The term cut is almost synonymous to the word move or transfer. When cutting a
group of text or any object found in your document, you are taking out that group of text
from its current location to be transferred to another spot. To cut and paste follow the
instructions below.
1. Select the text that needs to be cut (Use the selection techniques you have learned
previously to make the task a lot easier).
2. Right click on the selected text (A shortcut menu appears).
3. Click Cut in the shortcut menu (The shortcut menu disappears and the text you are
going to move is placed in the clipboard).
4. Click on the location where the text is supposed to be pasted.
5. Right click on the location (The shortcut menu appears again).
6. Click Paste in the shortcut menu (The text you have copied is now placed where the
insertion point is located).
Exercise
1. Using the same document type: She sells seashells by the sea shore.
2. Cut the Word seashells and paste it after sea shore.
3. Save your document.

Deleting Text

If youre using a word processor and you made a mistake while typing, it is not
considered a problem. You can simply erase the text that you have entered by error. There
are two ways to remove a text entry, one is by using the Delete key and the other is by
pressing the Backspace key both can be found in the keyboard.
The Delete key will remove the text found at the right side of the insertion point while
Backspace will erase the text at the left side of the insertion point.
Exercise
1. Using the same document type: Money the source of insincere love; the spring of false
light and fortune; the well of poisoned water; the desperation of ages.
2. Delete the word Money, Change it to Lust
3. Save your document.

Correcting Errors using Undo and Redo


Undo
The Undo command is surely a great help when you commit mistakes in MS Word. By
simply clicking the Undo button MS Word will cancel out and reverse the commands
and actions that you have issued and made previously. You can find the Undo button
at the Standard Toolbar.
Type the following in your MS Word Document
Man cannot reap love until sad and revealing separation, and bitter patience; and desperate
hardship sleep. My little boy; sweet dreams will find your soul who is unafraid of the terrible
darkness of the night and the biting frost.
Using the Standard Toolbar
1. Change the word desperate to distressed
2. Using the Standard toolbar
Using the Keyboard Shortcut
1. Change the word terrible to dreadful.
2. Press CTRL+Z in your keyboard
Using the Menu Bar
1. Change love to adore
2. Click Edit
3. Click Undo Typing
Type the following in your MS Word Document
Love which is God will consider ones sighs and tears as incense burned at His altar and will
reward us with fortitude.
Love is something that gathers strength with patience, grows despite of obstacles, warms in
winter, flourishes in spring, casts a breeze in summer and bears fruit in autumn.
Redo

The Redo command is the reverse of Undo. Clicking the Redo button
found in the Standard Toolbar beside the undo button will cancel out what
you have undone using the Undo button.
