iPad POLICIES AND PROCEDURES
1.0 GENERAL INFORMATION
The policies, procedures, and information within this document apply to all iPads provided by
Canterbury School to students in grades PK-6. Teachers may set additional requirements for
iPad usage in their classrooms.
Students in grades PK-1 will share a mobile charging station containing a class set of iPads. Each
student in grades 2-6 will have an iPad issued for his/her individual use.
1.1 iPad identification
Each iPad is labeled with two QR code labels, one on the device itself and one on the outside of
the protective case. These labels can be scanned for identification, maintenance, and tracking.
Students should neither tamper nor remove the identification stickers from the iPad or its case.
1.1 receiving the iPad
Teachers will distribute iPads from the shared cart to students in grades PK-K-1 for limited use
during specific activities or tasks.
Parents of students in grades 2-6 should try to attend a session of the iPad program orientation
where they will be provided with a copy of the iPad Use Policy and asked to sign their
acknowledgement of it. If parents are unable to attend, they should contact a member of the
tech staff or administration (Mr. Schoultz, Mr. Wilson, Dr. G., Mr. Skeen, or Mrs. Morazan) for
information and a copy of the iPad Use Policy.
Students in grades 2-6 will receive orientation in the classroom at which time, they will co-sign
the iPad Use Policy, receive direct instruction regarding the iPad program, and be issued their
individual iPads and protective cases.
1.2 returning the iPad
At the conclusion of the activity or iPad usage time, teachers will collect the iPads from students
in grades PK-K-1, close all open apps, power down the devices, and plug them back into the
shared cart. PK-K-1 teachers may gradually relinquish responsibilities for any or all of these tasks
as they determine their students to be ready.
Students in grades 2-6 should close down all apps, power down the iPad, and return the device to
the charging station located in each homeroom or advisory at the end of each day. Homeroom
teachers or advisors will monitor students as they plug the device into the station for overnight
storage, and they will lock the station once all devices are returned.
Students in grades 2-6 may occasionally take their iPads home at the discretion and under the
advisement of a Canterbury Teacher.
$
Second through sixth grade students must return individual iPads and all accessories to their
classroom teachers at Canterbury School during the final week of school.
If a student leaves Canterbury School during the school year for any reason, the iPad and all
accessories must be returned at that time.
1.3 accessories for the iPad
In addition to the iPad, Canterbury provides students in grades 2-6 with access to wired
keyboards. Keyboards will not be necessary for most day-to-day uses of the iPad, but they are
available as necessary for keyboarding instruction, formal composition, and testing. Teachers will
direct students when the keyboard is to be used.
Additional accessories for each iPad may be issued throughout the year. Students are to handle
all technology items respectfully and are responsible for their appropriate use.
1.4 updating and restoring an iPad
At regular intervals, upgraded versions of the iPad operating system (iOS) and apps become
available. To ensure that the iPads and the apps on them work consistently and efficiently, the
tech staff will install updates remotely using our device management system.
If a student experiences technical difficulties or breakage of his/her iPad, the tech staff may need
to restore the iPad to factory settings or reformat to a backup image. In this instance, Canterbury
School assumes no responsibility for any documents or other work products that may be lost in
this process.
Each homeroom or advisory in grades 2-6 has one iPad charging station containing one
classroom set of iPads. Students are issued one of these iPads for use in that grade for that
academic year. At the end of that time, each iPad will be returned and restored for use by the
next class of students. For this reason, student work saved on the iPad, itself, will not be retained
an external drive of some kind can be accessed across multiple years.
Students in grades PK-1 will share a set of iPads; these iPads will also be restored at the start of a
new school year.
2.0 CARE OF THE iPad
Each school-issued iPad is the legal property of Canterbury School, and all users must follow the
iPad Use. Students are responsible for the general care of the iPad they have been issued by the
School. iPads that are broken or fail to work properly should be taken immediately to the
homeroom teacher, advisor, or member of the Canterbury technology staff (Mr. Wilson, Mr.
Schoultz, or Dr. G.).
2.1 general care instructions
Each iPad must remain in its protective case at all times.
Use only a clean, dry cloth to clean the iPad case. Never use water or a cleanser of any
kind, even a wipe.
%
Insert cords, jacks, and cables slowly and carefully in the iPad to prevent damage to the
device or its ports. Do not force a cord to fit!
Keep the iPad and its case free from writing, stickers, drawings, or labels that have not
been put there by Canterbury School.
The iPad should never be left in an unsupervised area (locker, cubby, car) at school or at
home unless directly instructed otherwise by a teacher (i.e. if told to leave in a locker).
One student should not share his/ her iPad with another.
Do not install any apps or download materials from the internet on the iPad unless
instructed by a teacher to do so.
Ensure that the iPad is fully charged each day, either by returning it to its charging station
at the end of the previous day (if it stays at school) or by charging it overnight or by
putting it in the charging station first thing in the morning (if it has been taken home).
2.2 carrying the iPad
The protective case issued with each iPad is sufficient to protect it during normal use. It also
provides a suitable means for holding and carrying the device throughout the School and safely
standing it on a desk or table. Students must follow these guidelines when taking an iPad out of
the charging station and moving with it in the classroom and between the classroom and another
location (for instance, to a special-subject classroom or to the library).
The iPad must always be in the protective case when it is carried.
Students should use the two-handed cross-chest carry (to which they will be introduced as
part of their school orientation session) when carrying an iPad between classes.
To avoid placing too much pressure on the iPad, backpacks or bags that hold any other objects
(such as folders, notebooks, and textbooks) should not be used to carry the iPad.
2.3 screen care
The protective case issued with each iPad has a built-in protective screen cover. Because the
iPad is to remain in this case at all times, students should not ever touch the actual screen of the
iPad. Even with the case and screen cover, however, iPad screens are particularly sensitive to
damage. Even a small incident can crack or break the screen and render the device useless.
Never lean on the front of the iPad.
Do not place anything on or near the iPad screen.
Do not place anything near the iPad that could put pressure on the screen.
Avoid bumping the front of the iPad against the edge of a table or desk, against a cubby
or locker, against a car door, or on the floor.
2.4 iPad inspection
We respect the privacy of others, but students should be aware that one or more student may be
selected at random to provide a school-owned iPad for inspection, including visual examination
of condition as well as an inspection of installed apps, email, etc. Additionally, using Meraki or
Apple Profile Manager, the tech staff may randomly conduct a remote inspection of a student's
iPad.
&
3.0 USING THE iPad
iPads are intended to be use throughout each school day in homerooms, advisories, special
subjects, and the library. In addition to any teacher expectations, students will access documents,
resources, announcements, calendars, schedules, and more using the iPad. Additionally, the
iPads will be utilized for student-created content (such as presentations, movies, podcasts, images,
posters, narrative reports, etc.)
Students are responsible for having their iPads with them throughout the day in each class unless
specifically instructed not to do so by a teacher. Teachers may assign consequences for students
who fail to attend class with an iPad.
Because students know that they are responsible for their device, they should never loan their
iPad to anyone else nor ask to borrow an iPad from a classmate.
3.1 charging the iPad
Each iPad must be present at school each day in a fully charged condition, but because these
devices are quick and easy to charge, this should not be a problem. iPads returned to the
charging station at the end of the school day will automatically be charged overnight; however, if
a student is directed by a teacher to take his/her iPad home, s/he is responsible for charging the
iPad at home or for returning it to the charging station first thing the next morning so that it is
ready for class. There is only one charger and cord per iPad, so if a student loses a charger
and/or cord, s/he will be responsible to purchase a new one immediately.
Repeated violations of the charging policy (3+ days without having an iPad charged and ready to
use in class) may result in students losing iPad privileges for a specifically determined length of
time.
3.2 camera, photos, and lock or home screen images
Inappropriate media may not be captured with any iPad camera apps, stored in the iPad photos
or movie apps, or used on any of the iPad displays (lock or home screen). "Inappropriate media"
includes (but is not limited to): images containing: guns or other weapons; pornography; foul
language; disrespect towards different races, genders or religions; alcohol; drugs; or gang-related
symbols or pictures. Canterbury School reserves the right to determine what is considered to be
inappropriate.
Students should only capture or share an image or video of anyone at school (student, parent,
faculty, or staff) if that media is part of an education-related activity and then only with the
express permission of that person. Canterbury community members have the right to privacy, so
all images are to be protected.
3.3 sound, music, games, or apps
The sound on the iPad should remain in the mute position unless directed otherwise by a
teacher. Normal volume sound may be used for instructional purposes at the discretion and
direction of a teacher.
'
Students will be instructed to bring headphones or ear buds with a microphone as part of their
classroom school supplies. For health reasons, students should never share headphones or ear buds with
classmates or peers.
All apps on the iPad will be provided and synched by Canterbury School. Students are not to
download or install apps on the iPad unless specifically directed by a teacher, an administrator,
or a member of the technology staff (Dr. G., Mr. Schoultz, or Mr. Wilson).
3.4 school internet access
Each school-owned iPad will be configured to connect with the Canterbury wireless network and
administered through the Canterbury Apple Profile Manager and/or the Meraki multiple device
management (MDM) system. Additionally, the Meraki app may be installed on each iPad; both
Meraki and Apple Profile Manager allow the School to monitor internet usage, install and synch
apps, and update school iPads remotely.
Any device on Canterbury's campus, whether school-owned or personal, must be registered on either Apple Profile
Manager or Meraki MDM. Students or visitors bringing a personal device to Canterbury must see
either Mr. Schoultz or Mr. Wilson to have this device registered.
While a student is at school, s/he should connect only to a Canterbury School wireless network.
3.5 home internet access
Because a student may occasionally be directed by a teacher to take his/her iPad home, a home
wireless network may be set up on an individual iPad. If necessary, students and parents can
contact a member of the tech staff (Mr. Schoultz or Mr. Wilson) for assistance with setting up a
home wireless or printing network.
3.6 printing from the iPad
Printing at school from the iPad (via AirPrint) will be available on a very limited basis.
Canterbury School is attempting to be environmentally conscious, so we hope to reduce our
paper usage! Students should talk to teachers about when and to which printer they should print
from the iPad. Information and instructions about printing from the iPad will be given at school.
If a student takes the iPad home, s/he will be able to print to any printer equipped with Air Print
technology. If no such printer is available, the student should save the item s/he wishes to print
and request permission to do so from a teacher or administrator once s/he is at Canterbury.
3.7 iPad left at home
If a student is directed to take an iPad home and s/he forgets to return it to school, s/he is still
responsible for completing work at school as if s/he had the iPad present. A student repeatedly
leaving his/her iPad at home (3+ occurrences) may lose the privilege to take the iPad home for a
period of time to be determined by the School.
(
3.8 iPad loaners, repair, or replacement
Canterbury School retains a very limited number of "extra" iPads for students who enter the
school midway through the year or to be used as loaners. So students should take exceptional
care to ensure that each of their iPads remain in good working order!
If a student's iPad is broken or needs to be replaced for any reason (see section 5), it may be
possible for a student to be issued a loaner iPad. But, because of the limited number of student
loaners, there may be a delay between the time an iPad is broken or sent for repair and the
student receiving a loaner device.
4.0 MANAGING EMAIL, FILES, and the WEB
Although often considered mostly a convenient device on which to use apps and to consume
media, the iPad is also a power tool for creation. As the iPad program becomes fully integrated
across all aspects of the academic program, students will use the iPads frequently to showcase
understanding in a variety of ways by creating multi-media products of learning. So it is
important that students learn how to access, compose, create, save, and share documents,
presentations, images, audio files, and movies.
4.1 passwords and privacy
Each student will be issued and/ or create a unique passcode or password word to access various
school accounts. A student should not share or reveal his/her passcode or password to anyone
except parents, teachers, administration, or technology staff. If a student forgets his/her password
or if necessary for maintenance or repair, the tech staff can remotely access an iPad and/or reset
a student's passcode or password.
4.2 Google Apps for Education
Google Apps for Education at Canterbury will provide one means of digital creation (via Google
Docs (word processing, spreadsheets, and presentations), access to digital storage (via Google
Drive), linking to other Canterbury technologies (via Google Drive), and a resource for web
development (Google Sites). Use of Google Apps will be for school related projects. Teachers and
tech staff may introduce other collaborative web-based tools throughout the year.
4.3 student email accounts
Students will be provided with @canterburygso.org accounts. These accounts enable students to
access Google Apps for Education and other web-based tools and resources; they also allow
teachers and students to communicate easily. Canterbury School Gmail accounts should be used
only for school-related purposes; they may not be used to send personal emails, to harass or bully
others, to send or forward "chain" letters, to conduct business, to transmit media (photos, music,
movies, etc.) that may be obscene or offensive, or to sign up for any other accounts. The
@canterburygso.org account is the only email account that may be accessed or used during the
school day.
)
Although student Gmail accounts are personal, technology and/or administrative personnel
reserve the right to access them, either in person or remotely, in case of a problem or to resolve a
tech issue.
The same rules about email usage apply even to a student's personal email account at home.
Students are to be as respectful, thoughtful, and careful in the language they use and their
conduct within emails as they are in any other form of written or spoken communication. A
student who receives or sees a harassing, disrespectful, or insulting online communication should
contact a teacher, Mr. Skeen, Mrs. Morazan, or a member of the technology staff (Dr. G., Mr.
Schoultz, or Mr. Wilson).
If a student uses another account at home (such as Yahoo) for personal communication, the same
school rules about respectful internet and email usage apply. Using an alternative email does not
mean that students can ignore the Canterbury School communication standards.
4.4 Haiku
Canterbury School uses a learning management system (LMS) called Haiku. This password-
protected web-based site allows for announcements, attendance, assignment creation and
submission, calendars, discussion, information sharing, and grading. Each student will receive
training regarding Haiku usage at the start of school and on an ongoing basis throughout the
school year.
Students will access Haiku via the website, via the Google Drive account, or as an app that will
be installed on each iPad. Parents will access their child/ children's Haiku accounts via parent
log-in on the Haiku parent portal linked to the main Canterbury School webpage.
To facilitate the use of and comfort with Haiku and its features, parents and students will receive
orientation and training from school personnel.
4.5 Apple iWork and iLife
The Apple iWork and iLife suites are preinstalled on each iPad. The iWork suite includes Pages
(a robust word processing app), Keynote (a presentation creator), and, in some cases, Numbers
(spreadsheet tool). iLife includes iPhoto and iMovie (used to create visual products) and
GarageBand (used to create audio projects). Both iWork and iLife will be used extensively for
classroom-related tasks; students will receive ongoing instruction regarding these apps throughout
the year.
4.6 iCloud Drive
Apple will soon launch a new cloud file storage/ management structure called iCloud Drive.
This will be similar to Google Drive, but it works specifically for sharing products created with
the iWork or iLife apps (i.e. Pages, Keynote, or iMovie). Students will receive instruction
regarding iCloud Drive and its use as part of their classroom instruction.
*
4.7 access to accounts
Each student is the author of anything sent using from his/her email account or Google/ iCloud
Drive accounts, whether or not s/he actually sent it. So a student should never allow anyone else,
even a friend, to use his/her account. Conversely, a student should never ask to use another
student's account. If a student thinks that someone else has used his/her account, s/he should
contact an administrator or a member of the tech team (Mrs. Morazan, Mr. Skeen, Mr.
Schoultz, Mr. Wilson, or Dr. G.) immediately.
4.8 saving work on the iPad
Students in grades 2-6 will use the same school-owned iPad throughout the entire school year;
therefore each student may save work directly to the iPad (i.e. a document in Pages, a
presentation in Keynote, images in iPhoto, an mp3 in iTunes, or a video file in iMovie). Work
composed in Google Docs should be saved to each student's Google Drive account.
Although storage space is available on the iPad, it is not regularly backed up, especially in the
case of re-imaging. As directed, students should email work to themselves, upload to Google
Drive or iCloud Drive, or submit to Haiku.
4.9 online chat services/ apps
Students may use chat features such as FaceTime, Messages, or a Haiku live chat as part of a
classroom activity and as directed by a teacher. Otherwise, chat features and instant messaging
should be used only at home and only for school-related tasks (i.e. collaboration with a research
group or studying with classmates).
4.10 social network sites and personal websites
On campus and during school hours, Canterbury School will block most of the common social
networking sites (Facebook, Twitter, Instagram, Google+, etc.); however, these or other social
media sites may be used at the discretion of and with supervision from Canterbury faculty
and/or administration. Students should realize the public nature of social networking sites and
recognize the risks and responsibilities assumed when participating in such sites.
4.11 online games or game apps
Unless a teacher directs students to use a game as part of a learning activity, students may not
access or play online or game apps during instructional time. In addition, students are not
permitted to play or participate in violent games of any kind or visit websites/ download material
of a violent, hateful, or obscene nature.
4.12 copyright
Whether in hard copy or creating digital products, all iPad users are expected to follow copyright
laws. Intentional violations of copyright laws, including plagiarism will be addressed and
appropriate consequences assigned. Students will be given instruction about various copyright
issues as part of their classroom instruction and in the library.
"+
5.0 BREAKAGE, LOSS, THEFT, or VANDALISM
No new initiative like the iPad program comes without a certain amount of breakage or loss.
Things happen. But, so that there are no misunderstandings about these situations, the iPad Use
Policy presents these general guidelines for iPad breakage, loss, theft, or vandalism.
5.1 breakage to an iPad or other device
Damage to an iPad, keyboard, or any other supporting technology device will be assessed on a
case-by-case basis. Depending upon this assessment, next steps after breakage may include: a
quick fix; a student's being issued a loaner while his/her device is being repaired; a student's
being issued a new device; a student's device access being restricted for a specific period of time; a
student and family being required to pay all or a portion of repair costs; or a student and family
being required to pay all or a portion of replacement costs.
The tech staff will use the QR device tracking system to document all damage and misuse,
however slight, of each device issued to or used by a student; breakage caused after repeated
documented issues is likely to result in a more stringent consequence.
5.2 loss of an iPad or other device
If a student misplaces or loses an iPad or any other device, s/he should report it immediately to a
teacher, administrator, or member of the tech staff. Hopefully, the QR tracking system and
remote management systems will enable the device to be located; however, if the device is not
found, each instance will be evaluated on an individual case-by-case basis with potential results
similar to those in instances of breakage.
5.3 theft or intentional vandalism of an iPad of other device
In cases of theft or vandalism, a report will be filed with the School and, potentially, law
enforcement officials.
If it is determined that there was intentional damage to an iPad or other technology device by a
student, then that student's parents will be responsible for full payment of the repair or
replacement cost of the device (whichever is less). Students who intentionally damage school-
owned technology may receive additional consequences including, but not limited to: restriction
of device, internet, or email privileges, or suspension from school.
6.0 iPad RESPONSIBILITY AND FAIR USE
With the implementation of the iPad program, Canterbury School is committed to using 21
st
century tools as part of its mission to develop the whole child. The iPad Use Policy outlines the
policies and procedures by which the School, parents, and students bear equal responsibilities for
creating a community of learners at Canterbury School.
6.1 school responsibility
Canterbury School has the responsibility both to provide the resources necessary to create an
optimal learning environment and to implement precautions and procedures to ensure that this
learning environment is safe for all. \
""
The School will provide internet access to its students and faculty, block inappropriate internet
sites and materials, provide technology device management and monitoring, provide cloud-based
storage opportunities, and provide guidance and instruction to parents, students, faculty, and
staff around issues of technology and fair use.
Additionally, administration, faculty, and staff at Canterbury School are responsible for using
technology resources in accordance with best practice and ethical and professional guidelines, for
modeling such use for the students, and for assisting the students to understand and to uphold
these guidelines throughout their School experiences.
6.2 parent responsibility
Parents are responsible for their students' actions and of his/her use of all resources, including
technological, provided by Canterbury School. Parents should review this iPad Use Policy carefully
and discuss it with their children. In addition, parents should continue to have conversations
about students' use of technology at school and also remain actively involved with their children's
technology use at home.
By signing the agreement, parents indicate an understanding of the iPad Use Policy and give their
child permission to use Canterbury-owned technology devices, including the iPad and keyboard,
the Canterbury School network, and other technology resources throughout the school year.
6.3 student responsibility
Students are responsible for understanding this iPad Use Policy and following it and other school
rules in a respectful and ethical manner. If a student has any question about his/her iPad, other
technology equipment, internet use, email, copyright, or any other issue, s/he should ask a
teacher, and administrator, or tech staff. It's always better to ask than to be uncertain!
By signing the iPad Use Policy, each student acknowledges that s/he understands the policy and
will, to the best of his/her ability, strive to adhere to it.
"#
6.4 consequences for policy violations
Canterbury School will investigate violations of this general iPad Use Policy and any other rules or
guidelines that may be distributed in the future. Depending upon the situation and the severity of
the violation, the School may take disciplinary action, including (but not limited to): a warning;
temporary or permanent termination of access to the iPad, to the network, to email, or to cloud-
based storage; and/ or suspension from school.
Because violations of the rules and guidelines in this iPad Use Policy may reflect and/impact not
only students but also the school, the School reserves the right to address any inappropriate use
of the internet, the LMS, internet storage, or email, whether on Canterbury's campus or not. This
includes harassment or the use of insulting or threatening language or images.
I have reviewed this iPad Use Policy and I agree to abide by it to the best of my ability.
