EXERCISE 1 Spreadsheet Basics

The purpose of this exercise is to show you how to create a basic spreadsheet. Features to be covered include:
use of values & labels, cell formatting, value formatting, formulas & functions, and page setup.

Cell Label Formatting Instructions:


1. Start a new spreadsheet file in Microsoft Excel.

2. To center the spreadsheet title across columns A through E - highlight cells A1 through E1 and click
the Merge & Centre button on the formatting toolbar. Key the spreadsheet title of Eating Habits –
Good/Bad using any font style and font size 14.

3. Key the remaining spreadsheet labels in cells A3:E11 using Arial font, size 10. Do not increase
column widths of C through E.

4. To increase the width of column A, place the cursor symbol between column A heading and column
B heading. The cursor symbol changes to , drag column A to the right until all labels in
column A appear in the cells. Column widths can also be set to an exact figure using the Format
menu.

5. To vertically & horizontally center the column headings and wrap text within the cells - highlight the
cells A3:E3:
 Select the Format menu, cells on the menu bar
 Select the alignment tab and set the text alignment to: horizontal – center, vertical - center
 Set the text control to: wrap text and click OK

6. The formatting of your spreadsheet should match the spreadsheet shown here:

Calculation Instructions
7. Create a formula to calculate Calories from Fat for each food item. Each gram of fat contains nine
calories so the calculation needs to multiply the grams of fat value by 9.
 In cell C4, key + use the mouse to click cell B4, key * (multiply symbol), key 9 and press enter
 The formula +B4*9 should appear in the formula bar and the answer will appear in cell C4

Note: You may start a formula with either the + symbol or the = symbol.
8. Copy the formula created in cell C4 down through to cell C11
 Place your cursor at the bottom right corner of cell C4, the cursor symbol will change to + (the
copy command) and drag the cursor down to cell C11.
 The relative cell address of B4 will adjust to the new row address to calculate calories from fat
for each food item.

9. Create a formula to calculate Fat % of Total Calories for each food item. The calculation needs
to divide the Calories from Fat by Total Calories per item.
 In cell E4, key +, use the mouse to click cell C4, key / (divide symbol), use the mouse to click
cell D4 and press enter
 The formula +C4/D4 should appear in the formula bar and the answer will appear in cell E4
 Copy the formula created in cell E4 down through to cell E11

10. Format the cell values for E4:E11 to percent with 1 decimal place using the % button and increase
decimal button on the formatting toolbar

Additional Formatting Instructions:

11. To add borders to the spreadsheet – highlight cells A1:E11


 Click the borders arrow down button on the formatting toolbar. Select the All borders button.
The cells will now have a single line border around all cells.

12. To change the style of the outline and inside border lines – highlight cells A1:E11
 Select the Format menu, cells on the menu bar
 Select the borders tab
 Select the double line style and then press the outline preset button
 Select the dash line style and then press the inside preset button
 Press the OK button

13. Save the spreadsheet as ex01 on your home drive in your Excel folder using the File, Save As
commands.

Printing Instructions: READ only

When you print a spreadsheet assignment to submit for evaluation you must always:

 Add a footer that includes your name in the left section, your teacher’s name &
period in the center section and the filename in the right section
 Center the spreadsheet horizontally and vertically on the page
 Print the spreadsheet answer showing value & label formatting
 Print the spreadsheet showing formulas showing row & column headings, and
gridlines fitting on one page using landscape orientation

To add Headers & Footers


 Select File, Page Setup on the menu bar – Headers & Footers tab
 Select customize footer button, key your name in the left section, your teacher’s name & period
in the center section and select the filename button to add the filename in the right
section
To center the spreadsheet horizontally and vertically on the page
 Select File, Page Setup on the menu bar – Margins tab
 Select center on the page, horizontal and vertical

To print your spreadsheet showing formulas


 Select Tools, Options on the menu bar
 Select the Windows Option, Formula and press OK
o Showing formula’s will automatically increase column widths and remove some of the
formatting features
o DO NOT SAVE THE SPREADSHEET SHOWING FORMULAS

To show cell gridlines and row & column headings


 Select File, Page setup on the menu bar – Sheet tab
 Add a check mark under the Print - gridlines box and row & column headings box and press OK

To change the page orientation to landscape and fit to one page


 Select File, Page Setup on the menu bar – Page tab
 Select Scaling - fit to one page
 Select Orientation – landscape and press OK

14. Now add an appropriate footer to your first Excel file.
