PREPAREDNESS 1. Emergency Response Flow Chart: this document outlines the chain of command and communication in the event of an emergency at any YMCA of WNC Afterschool site. 2. Emergency Response Kits : the emergency response kits are located in staffs backpacks at all times and will contain the following key items. 3. Communications: multiple communication systems are in place to communicate with emergency personnel, parents, staff, and media representatives. YCMA Mobile Text Alerts Program Site Cell Phones 2-way walkie talkies
4. Drills & Exercises Scenario-based drills are offered to both staff and children monthly. Each staff meeting will train on a component of the school safety plan. Children will be reminded about emergency procedures through our safety and preparedness component of our lesson plan. Specific Code Drills are conducted quarterly at each site. Specific code drills are initiated by the Community Youth Development Director. Site staff document each drill and post on the family table. Monthly Fire Drills are required by State Licensing Regulations and are conducted monthly at each Afterschool site. In addition to monthly fire drills, staff are trained by the Buncombe County Fire Marshalls office. Full Lockdown are drills with discussion debrief are conducted annually at each program site. The Community Youth Development Director will schedule with the Executive Director annual drills for each site. Documentation of drills will be kept at site.
EMERGENCY PROCEDURES CODE YELLOW [Example: General inclement weather, suspicious person in neighborhood] Close and lock all exterior doors/windows/blinds and doors to program spaces occupied by children. Staff and children can rotate inside the building per rotation schedule; however, no outside time occurs during emergency procedure. In certain cases, some program spaces may be closed. All staff will notify Site Director of any changes over radio. If children are outside and code yellow is initiated, staff must enter nearest door using master key and enter nearest program space and resume normal inside activities. Parents are allowed to enter building. Parents will follow same access procedures as typical program day. Executive Youth Development Director in conjunction with local law enforcement will inform program staff when program may resume as normal.
CODE ORANGE [Example: Unruly visitor, Suspected Missing Child] Close and lock all exterior doors/windows/blinds and doors to program spaces occupied by children. Staff and children must report to the central location so that all children can be accounted for and emergency can be handled. No outside time occurs during this emergency procedure. In certain cases, some program spaces may be closed. Quiet activities in program spaces may occur. If children are outside and code orange is initiated, staff must enter the nearest door using master key and report to central location. Depending on type of emergency, staff will address immediate needs and update Youth Development Director. Executive Youth Development Director will initiate text alert system to inform parents. Emergency notification to parents is communicated by individual phone call. Parents are allowed to enter the building only by calling afterschool site phone first and identifying themselves. Two forms of ID MUST be presented by all parents. Executive Youth Development Director, in conjunction with local law enforcement, will inform program staff when program may resume as normal.
CODE RED [Example: Weapons use, Kidnapping, Intruder] 5 Lock and close all doors in program spaces occupied by children. Close all blinds in program spaces. Turn off lights. Move all people in program spaces to designated code red location. Designated code red location will be different at each site. No one will leave designated code red location until evacuated by authorities. If group(s) of children are outside, all children and staff must report to the designated outside evacuation location. Executive Youth Development Director will initiate text alert system to inform parents. Emergency notification to parents will also be communicated by individual phone call. Parents will not be allowed in building until threat has been removed. When threat has been removed and parents begin to pick-up children, two forms of ID MUST be presented by all parents.
All Emergency Procedures will be initiated by the Executive Youth Development Director. Executive Youth Development Director will notify when activities may resume as normal.

YMCA WEAVERVILLE AFTERSCHOOL SAFETY PLAN Weaverville Elementary School 129 South Main Street Weaverville, NC 2787 Site Phone: 775-7079 Available Program Spaces: Trailer Cafeteria Gym Outside Central Location: Cafeteria Code Red Location: Library Outside Evacuation: Southwest corner of fields nearest Yost St. and Visitor Parking Lot Parent Pick-Up Procedure: Once Code System has been installed, Afterschool parents and families will be given a generic code to enter the school during the hours of 1:00PM & 6:00PM. Until Code System has been installed: All exterior doors remain locked during program hours, including Main Entrance to School. Parents use the Trailer Door entrance. This space will be the central location for the site and where the Family Table, SEEK machine, sign out book and childrens belongings will be kept. The YMCA Afterschool site will try to keep at least one group in program space with Afterschool entry door. Should no one be in that space, a sign will be on entry door directing parents to call the site phone. If parent calls site phone number, the Site Director will inform parents of nearest door to enter and then radio group leader to be at the door to let parent in. Parents will be required to stop at the Family Table where SEEK machine and sign out book are located.
