7 CS OF BUSINESS COMMUNICATION:

For any communication in business, in order to be effective, it must have seven qualities. These seven attributes are called seven Cs of effective business communication. (All these attribute starts with the alphabet C so are called 7 Cs). Clarity Correctness Conciseness Completeness Consideration Concreteness Courtesy

1 .Clarity:
Clarity demands the use of simple language and easy sentence structure in composing the message. When there is clarity in presenting ideas, its easy for the receiver/decoder to grasp the meaning being conveyed by the sender/encoder. BENEFITS OF CLARITY: It makes understanding easier. Complete clarity of thoughts and ideas enhances the meaning of message. Clear message makes use of exact, appropriate and concrete words Example: Here are some examples that show how simple and clear words can be used instead of difficult words. After can be used instead of subsequent. Example can be used instead of E.g

2.Correctness:
At the time of encoding, if the encoder has comprehensive knowledge about the decoder of message, it makes the communication an ease. The encoder should know the status, knowledge and educational background of the decoder.
Correctness means:

Use the right level of language. Correct use of grammar, spelling and punctuation. Accuracy in stating facts and figures. BENEFITS OF CORRECTNESS: Correctness in message helps in building confidence. Correct message has greater impact on the audience/ readers. EXAMPLE: While communicating at business level, one should know the use of formal language and correct punctuation marks. No matter how correctly composed a message might be, unless its credibility is sound, it can not be a correct message. Thus before a message is sent, its accuracy should be weighed.

3.Conciseness:
Conciseness means convey the message by using fewest words . Conciseness is the prerequisite to effective business communication Achieving conciseness does not mean to loose completeness of message. BENEFITS OF CONCISENESS:

It is both time-saving as well as cost-saving. It underlines and highlights the main message as it avoids using excessive and needless words. Concise communication provides short and essential message in limited words to the audience.

Example: This includes avoiding overdose of language and usage of idioms. That or which clause should not be used. Heres a sentence: We bought leather jackets Instead of We bought jackets which were made of leather.

4.Completeness
By completeness means the message must bear all the necessary information to bring the response you desire. The sender should answer all the questions and with facts and figures. and when desirable, go for extra details. One way to make your message complete is to answer the Five ws. WHO? WHAT? WHEN? WHY? WHERE? The Five question method is useful when you write requests,announcements,or other informative message. BENEFITS OF COMPLETENESS:

Completeness brings the desired response. Complete communication develops and enhances reputation of an organization. Complete communication helps in better decision-making by the audience/readers/receivers of message as they get all desired and crucial information. It persuades the audience

Example: If a person wants to buy a laptop but he first asks for information about certain laptops, the company will have to provide the complete

information. This information will include all the direct and indirect questions that could come in the customers mind.

5.Consideration:
Consideration demands to put oneself in the place of receiver while composing a message. Consideration implies stepping into the shoes of others . Focus on You instead of I and We. (You-Attitude). BENEFITS OF CONSIDERATION: Empathize with the audience and exhibit interest in the audience. This will stimulate a positive reaction from the audience. Show optimism towards your audience. Emphasize on what is possible rather than what is impossible. Lay stress on positive words such as jovial, committed, thanks, warm, healthy, help, etc.

6.Concreteness:
It means that message should be specific instead of general. Misunderstanding of words creates problems for both parties (sender and receiver). When you talk to your client always Use proper facts and figures. Use action verbs. Choose familiar words. Choose image building words BENEFITS OF CONCRETENESS: It makes use of words that are clear and that build the reputation. Concrete messages are not misinterpreted.

7.Courtesy:
Courtesy in message implies the message should show the senders expression as well as should respect the receiver. The sender of the message should be sincerely polite, judicious, reflective and enthusiastic. BENEFITS OF COURTESY: Courtesy builds goodwill. Courtesy strengthen relations. Example: A person wants to draw out money from the bank but the bank is closed. The manager can either sayThe bank is closed. or You can draw the money tomorrow.

Importance Of Seven Cs.


These principles tells us how your message can becomes effective for your target group. These principles also tell about style and importance of the message. To compose an effective written or oral message, one must apply to certain principles. These principles provide guidelines for choice of content and style of presentation. When these principles are inculcated into the components of communication process, the desired feedback is received. provides short and essential message in limited words to the audience. Seven cs can be applicable to both sort of communication oral, written. To compose an effective oral or written message these principles provide us guide lines that how an effective message can be written to stimulate the reader for the desired outcome. The seven cs has a much wide scope because these are applicable for each and everyone during the course of a whole day weather he is giving presentation or meeting.
