Placing an Order

A letter placing an order will contain the following details: Contents 1. Thank the seller for his quotation 2. Give the detailed specification of goods 3. Mention the price and the discount possible 4. State the quantity required for each item 5. Give clear instructions regarding delivery time, place, and mode of transport 6. State the mode of payment (DD, cash on delivery, cheque) 7. Confirm the terms of payment 8. Give instructions regarding packing , marking, insurance 9. Close your order with what you wish to emphasize,eg fulfilment of the order on time or quality

Example of an Order Placed: AVT TRADING CORPORATION Court Lane, Civil Lines, Delhi 20 January 2007 Mr Ravi Malhotra Sales Manager Reva Computers Ajmer Road, Jaipur 302006 Dear Sir Sub: Order for Computer peripherals Ref: Your quotation No D/66 dated 18 Jan 2007 Thank you very much for your quotation of 18 January 2007. We are pleased to inform you that your quotation is acceptable to us. Please send the following items on the business terms agreed upon: Catalogue No 126 236 Item Description HP Pavilion T25001 desktop HP ScanJet 3200C Quantity 05 05

We would be grateful if you could send the items duly insured. The insurance charges may be included in the bill. We would appreciate receiving the items by 31 January 2007. As desired, we would make the payment by crossed bank draft.
