File Processing

There are various types of files used in computer systems including master files, transaction files, and other files. Master files contain permanent reference data that changes infrequently through amendments as well as dynamic data that changes frequently through updates. Transaction files are used to update dynamic data on master files. Other file types include reference files for look-up purposes, history files for historical records, report files to prepare printable reports from master file data, and dump files for temporary storage.

Type of Files
There are various types of files used in computer systems: 1. Master File This is the main file which contains permanent data against which transactions are processed. Typically contain:

o Reference data tends to be fairly permanent & is processed by amendments


(inserting new records/delete existing ones etc). o Dynamic data frequent change & is processed by updating (changing the various field values etc). Example of Reference and Dynamic Data in a Hotel File A hotel may keep a master file containing - items describing the rooms (e.g. type, size, no. of beds etc) which will rarely be change Reference Data and items of data describing the guest (e.g. name. length of stay, special requirements etc) which will frequently change, perhaps everyday Dynamic Data.

2. Transaction File Are used to update dynamic data on master files. E.g. transaction file
of weekly customer sales used to update the customer sales master file.

3. Other files Some organization keep other files such as history, report and dump files.
