Company?
Did you know that you can provide the opening balance for Input Tax Credit of a new Company? Yes, it is possible to provide the Opening Balance for Input Tax Credit in a newly created company by giving the amount in the Opening Balance field followed by Dr for the Input VAT Ledger grouped under Duties & Taxes and Type of Duty/Tax as VAT. The opening balance will be displayed in the VAT Computation and the respective Forms. Selection of Vat/Tax class is optional.

License Reactivation is a single step process. The concept of unlocking the license file is eliminated. In case of multi-site reactivation, Tally.ERP 9 prompts for resolution on detecting the Site/ Account Administrator is attached to more than single site Force password change on logging in to any one of the following Tally.NET Services for the first time.
- Surrender License - Update License - Remote Tally.NET - Control Centre - Support Centre Redirected to the appropriate form on attempting to activate a surrendered license or reactivate an un-activated serial number.
Troubleshooting
Connectivity issues: Network problems detected while Activating or Reactivating the license are provided with detailed reasons and possible solutions.
Client in Educational Mode: While establishing a connection with the license server, the system detects and lists the problems, if any, along with the possible solutions and Actions.
The Service Tax feature in Tally.ERP 9 has been revamped to handle all the functional, accounting and statutory requirements of your business in an accurate and simplified manner. The new/enhanced Service Tax features are:
1. Option to have common/Tax head specific tax ledger to account both Service Input Credit and Output Tax of all service categories. 2. Tally Audit feature is enhanced with new reports to display Voucher Type wise and User Wise, list of unaccepted Vouchers for Audit for a Specific Period. It provides a dashboard displaying statistics on number of vouchers created or altered and also allows drill down facility for audit/verification purposes.
It also gives the changes that are made TODAY on one click. It is very helpful for the company owner or admin user, to see all the Altered Vouchers that are done by ANY User for ANY Voucher Type on that particular day (system date) irrespective of the date of the transaction.
A new capability titled Quick Setup for Tally.NET is introduced which allows the user to configure and connect to Tally.NET from a single screen. The Quick Setup allows the user to perform the following tasks from a single screen Enable Security prepares the company for connectivity with Tally.NET Connect Company connects the company to Tally.NET
Configure Users to setup Tally.NET Users in order to access the company locally or remotely Configure Security Levels to setup additional security levels for Tally.NET Users and Tally.NET Auditors Configure Connection parameters such as Connection Timeout, Non HTTP ports and Proxy Server While retaining the previous Tally.NET configuration screens intact, this new feature is aimed at easing the configuration process and preventing the user from moving across different screens to configure Tally.NET.
Tally.ERP 9 now supports the Export/E-Mail of reports in JPEG (Image) file and PDF (Portable Document Format) formats. This ensures that the documents are non-editable, independent of the platform being used and mailed to the recipients. Portable Data Format (pdf) documents are independent of the application software, hardware and operating system. They are protected from alterations using passwords and viewed using the Adobe Acrobat reader or a compatible reader. Image (JPEG) file generated supports the highest level of compression. This image file can be viewed using an image viewer and printed.
Index Page has been provided while printing All Ledger Accounts/All Items and Group of Accounts/Group of Items from Multi Account Printing. Now the user can print Index page to summarise page wise printing of Ledger Accounts/ Items. This feature serves as a Table of Contents(TOC) and helps identifying the required Ledger Accounts/Items without going through the entire Printouts.

Enhancements
Control Centre
On attempting to surrender the license from the Control Centre, Tally.ERP 9 prompts the user with an appropriate message. This message will help the user to avoid a license compromise situation.
Data Issues
On detecting errors while accessing or creating the data from the client. Tally.ERP 9 prompts the user with the following message: Attempting to Read/Write File: <Filename> Error Code: <Error Code>/1 Position: <Error Position> File Size: <Size of the file> This enhancement avoids data corruption especially in the multi-user environment.
E-Mailing
While emailing the reports related to single Ledger the respective E-Mail ID is prefilled in the
To Email Address field. A list of commonly used email services such as Gmail, Hotmail and Yahoo Mail is provided. This list serves as a template and contains the SMTP server address and port, the authentication methodology used on a secured SMTP server and standard port for the selected email service provider.
Tally.ERP 9 now supports mail servers that work with SSL/TLS on standard ports. This is provided to send emails using SMTP servers on Standard SMTP port 25 which is SSL/TLS enabled for commonly used email services such as Hotmail.
Import/Export
Tally.ERP 9 can now be configured to omit errors while importing data through SOAP request. This configuration can be set by enabling the option Ignore errors & continue during data import available in F12: Configure > General. Earlier this option was available for the manual import using the option Import of Data, from this release it is extended to importing data through SOAP request.
On detecting an existing file with the specified filename at export location, Tally.EPR 9 displays the filename and prompts the user to overwrite the existing file.
Tally.ERP 9 License Server Version 4 is now incremented to License Server Version 5. Tally.ERP 9 Release 1.8 will not be compatible with the earlier versions of license servers running on your systems or the previous releases of Tally.ERP 9 will not be compatible with License Server Version 5. Hence, while installing Tally.ERP 9 Release 1.8 is the License Server Version 1.5 should also be installed in the Multiuser environment.
The user can configure Tally.ERP 9 to always display the Info Panel. This is done by enabling the option Always Show Info Panel which is available in F12: Configure > General. The information or messages in Calculator Pane appeared in a single and could be read clearly only when the calculator pane was enlarged. An enhancement is made to accommodate the information/messages appear in multiple lines with the calculator in normal mode thereby improving the readability. The keyword in screen title while Printing/Exporting/E-Mailing /Uploading were commonly displayed as Report Generation. This is now enhanced to display the relevant titles based on the action performed.
Rewrite/Backup/Restore/Split
The Backup and the Restore is enhanced. It allows the user to backup or restore all the available companies in the current directory. This is achieved by introducing the keyword All Items in the List of Companies displayed.
Security Control
A new security control titled Quick Setup is introduced. On selecting this option in combination with the required access control will enable or disable the user from utilizing all the available quick setups.
Support Centre
Users can now search for TIs (Tally Integrators) using the Preferred Partner search option available in the Support Centre. The TallyAdmin tool facilitates the user to provide the HTTP Connection Timeout and the Absolute URL. This option is available in the TallyAdmin tool under the option Configuration > Proxy Configuration. On detecting a communication failure on the network a new dialogue box appears displaying the, Reason for failure, Possible Solution and actions that need to be performed by the user. This dialogue box is available during license activation, reactivation, surrender and update.
Synchronisation
Detailed messages during Import, Export and Synchronisation of data are logged into the tally.imp file. This is achieved by enabling the option Enable Detailed Log (tally.imp) available under General Configuration. Tally.ERP 9 supports NTLM authentication protocol. You can now connect through Proxy Servers that require NTLM authentication. Tally.NET
In the Tally.NET Features screen the heading Registration Details is changed to Connection Details.
Accounting Vouchers
Print Amount in Foreign Currency option has been provided in Printing Configuration of Payment Voucher and Receipt Voucher, Debit Note and Credit Note. Now the user can print Total Amount in Multi-currency while printing above mentioned Vouchers/Note.
In Remote Access, Cheques Printing facility has been provided at the Client side. Now cheques can be printed from Remote client also to ensure Payment convenience.
Accounting Reports
In Ratio Analysis, for Columnar reports, the column width has been optimised to accommodate more columns in the report.
While printing Ledger Vouchers Report and Daybook, an option Show Voucher Numbers also has been provided in Printing Configuration to enable or disable printing of voucher numbers in report. Now the User can disable the voucher numbers while printing Ledger accounts or daybook.
In Remote Access, the feature Set Exclude Group has been provided under Multi Account Printing of Ledger Accounts. Now the user can print the report for the required ledgers during remote access.
While printing All Ledger Accounts and Group of Accounts from Multi Account Printing, Sorting Method has been provided containing two methods:

Default: This option will print Ledgers in Alphabetical order. Group: This option will print Ledgers in Alphabetical order under respective Groups (which are in turn alphabetically arranged).
The Option Show Group Name has been provided in the Print Configuration for all Ledger Vouchers Report, to print the group name of the respective ledger. Now the user can print the ledgers group name in the vouchers Printout.
A new Nature of Purchase Manufacturer Depot has been provided. This helps the users to Record the purchases from manufacturer depot Capture Name, Address and Excise Registration details of Manufacturer Depot in
Excise Sales Invoice (on sale of goods purchased from Manufacturer depot).
In Select Excise Unit screen of Excise Stock Register, Name of Tariff option has been provided to select stock Item based on Tariff Classification. Alias or Part Numbers (Part No.) specified in Stock Item Master will appear in List of Excise Stock Items for stock item selection in Name of Item field. The option to print Companys and Suppliers Excise Details (Excise Registration Number, Range, division and Commissionerate) in Excise Purchase Order has been provided. To capture Suppliers Excise Details, Excise Registration Number, Range, Division, Commissionerate fields are provided in Supplementary Details (Party Details) screen of Excise Purchase order. Note: Company and Supplier excise details can be printed in purchase order, only from the Purchase Order Voucher which is identified as excise voucher type by enabling the option Use for Excise.
When the Excise for Dealer Data migration is not complete, Tally.ERP 9 displays the Warning message Excise for Dealer Migration did not complete successfully! with additional details to check and correct the un-migrated data. Ex-Bond of Imported Goods (Customs Clearance) has been supported. In case of Imports, goods imported on receipt will be stored in Customs Bonded Warehouse. Imported goods will be released from the bonded warehouse only on the payment of Customs duty. In practice Importers withdraw the goods partially or wholly from the bonded warehouse as and when they require by paying the customs duty.
Tally.ERP 9 supports to record the full /partial clearance of goods imported and pass on the CENVAT Credit.
A new Nature of Purchase From Agent of Manufacturer has been provided. This helps to record the purchases from the agent of a manufacturer, who issues a commercial invoice along with his manufacturers Rule 11 Excise invoice. A new report Customs Clearance Register has been provided from Excise for Dealer Statutory Reports. This reports displays the goods Imported, Cleared from customs warehouse and stock Pending for clearance. This report can be viewed for One or All the imported items. Conditional pass on of Special AED of CVD (special Additional Duty) amount has been supported in Dealers Excise Sales Invoice. Passed on Duty details will be captured in Excise Stock Register, Form RG 23D and Excise Purchase Bill Register reports.
Removal As Such means removal of Raw materials and Capital Goods as it is (without using in the production process/conversion). In Tally.ERP 9, support for recording Removal as Such (removal of Inputs/ Capital goods on which CENVAT Credit availed) transactions has been provided in Excise Sales Voucher. To Record removal as such transactions a New Type of Removal Removal As Such is provided. New Excise Duty Classification Other Cess has been provided to account other cess levied in on goods manufactured in Paper/Cement/ Sugar/Rubber industries etc. Support for calculation of NCCD and AED (PMT) on Assessable Value has been provided. The option Show Excise Book and Serial No. has been provided in Sales Register Columnar Report Alteration to configure the columnar report to display and print Excise Book Name and Serial Number.
A new report RG 23 Part I has been provided. This report is a Quantitative account of inputs (RG 23A Part I)/ capital goods (RG 23C Part I)/ on which cenvat credit is availed. RG 23A Part I: This report displays the details of Receipt of Inputs, goods issued for manufacture of finished goods, goods issued for clearance as such with opening and Closing stock for the period selected. RG 23C Part I: This report displays the details of Receipt of Capital Goods, goods issued for factory, goods issued for clearance as such with opening and Closing stock for the period selected. Note: The above report will be available only when the latest Statutory Master (Stat.900) Version is installed.
Inventory Vouchers
While printing Stock Transfer Voucher, the option Destination Godown on Top of Voucher has been provided in Printing Configuration. Now the pages consumed while printing Stock Transfer will be reduced.
Inventory Reports
F5:Batch Button has been provided in Godown Vouchers report to Display the selected Godown and Item based Batch Report. Now the User can navigate to Batch Report for the selected godown and item from the Godown voucher report.
F4:Godown/Item Button has been provided in Godown Voucher Report to Navigate to other godown for a particular Item, from the same report.
Now the user can Navigate to other Godown along with the selected Item from Godown Voucher report.
In Stock Query report, Top Buyers/Sellers Button has been provided to display the Top buyers and sellers for an item, based On Value or On Quantity. Also in F12:Configuration the options Show using Alternative units, Show Tail units of compound units and Show description of item are provided.
Now the User can get report for Top Buyers/Sellers for a particular stock item based on Quantity or Value for better decision making purpose.
In the Stock Summary report, the non- transacted stock items will now be displayed when the option Show All Items (incl. zero balance) is set to Yes in F12:Configuration. It will now display the stock items having transactions with Zero closing balance and non transacted.
While generating Purchase order Outstanding/Sales Order Outstanding, all Order Outstandings were getting displayed irrespective of Period Specified. Now the report is displayed according to the period specified by the user.
Payroll
The ESI Eligibility Amount option available in the F11: Statutory & Taxation screen has been removed and the ESI eligibility amount will be taken from the Statutory Masters file. Now the ESI eligibility amount is internally
defined and hence the updated amount (i.e. Rs. 15000) applicable from 1st May 2010 will be considered automatically for the ESI eligibility. A new menu Employee Categories has been provided under Payroll Info to create the required Employee Categories from Payroll itself. This will eliminate the need to go to Accounts Info to create the Categories needed for Payroll. While emailing the Single Pay Slip the Configuration options for customised view which are available during printing are provided to help the user E-Mail the Pay Slip in the required format. In the Employee Master the Date of Leaving option available in the alteration mode has been changed to Date of Resignation / Retirement. Eight new Blood Groups are added to the Blood Group list available in the Employee Masters Blood Group field. The new Blood Groups are A1B Negative, A1B Positive, A1 Negative, A1 Positive, A2B Negative, A2B Positive, A2 Negative and A2 Positive. The Alt+D: Delete button has been removed from the Employee Salary Details screen. Using this button from the Salary Details screen was deleting the Employee Master itself.
TDS
Provision to view and generate consolidated TDS payables (TDS outstanding report) of all member companies of a Group Company is now available. Deductee Type Wise Nature of Payment Report has been provided. This report gives the details of TDS Outstanding for deductee types (Company and Non Company) based on Nature of Payments. The option to record and deduct TDS on sales commission has been provided in Credit Note (Account invoice mode) voucher.
Example: ABC Company sells the goods to partners on a condition that, on each sale Rs. 100 will be paid as sales commission. To account sales commission separate expense entry is not booked in Journal but directly a credit note is raised in favour of the partner (to reduce party outstandings) and TDS is deducted on commission.
Support for Reversal of excess TDS Deducted has been provided in Credit Note. Note: In case of Cancellation of transaction (s), the expenses and TDS deducted needs to be reversed. Such reversal of expenses and TDS is possible only when the cancellation of transaction is made before the payment of TDS to the Government.
Example: ABC Company booked advertising expenses for Rs.75000 and deducted TDS on the same. Later they cancelled the services to the extent of Rs. 25000 (actual expense incurred is Rs.50,000). In this case both the expenses and TDS have to be reversed.
VAT/CST
The functionality is enhanced to capture VAT on Assessable value and Service Tax. On selecting Current Assets and Current Liabilities in the ledger master, the option - Use for Assessable Value Calculation will be displayed. On enabling this field, the Method of Apportion can be selected as Based on Quantity or Based on Value. The value of entries made using these ledgers will be apportioned to the assessable value based on quantity or value of items invoiced. On printing the sales/purchase invoice recorded by selecting declaration forms, the form name C, C with E1/E2, F, I, H and J, number and date of issue/receipt will be displayed in the printed format. On non-selection of VAT/Tax class the warning message VAT/Tax Classification not Selected will be displayed in case of Purchase, Sales, Credit Note and Debit Notes. This message is displayed in invoice and voucher mode to facilitate selection of relevant VAT/Tax class while recording transactions.
The Party Details screen is displayed on selecting the party ledger in voucher mode.
Statutory Audit
While comparing the Companies remotely (which are loaded and connected from same Tally.ERP 9) the Tally.NET Connect Name will also be displayed along with the regular Company Name.
Auditing
The Grand Total for Newly Joined and Resigned/Retired under the Head Count section for the Salary/Wages Payments report has been provided to show number of Employees who have joined or resigned from the jobs during the selected Audit Period.
Data Analysis
The facility to drill down to the Voucher Level has been provided while drilling down from any Ledger in the Ledger-wise (using F5: Led-wise button) report for Verification of Vouchers. The option to view the Daily Cash Breakup report has been provided from the Verification of Balances report. This will help to check the Negative Cash Balance on any given day.
In the Ledger wise view for Verification of Chart of Accounts report an additional option (in F12: Configure) to filter the Revenue Ledgers or Non Revenue Ledgers has been provided.
Financial Statements
The movement of the Groups/Sub Groups/Ledgers displayed under the Gross Block has been provided in the Schedule-VI Balance Sheet. This will allow to regroup the Fixed Assets under any Group like Tangible Assets, Intangible Assets etc.
Prior to this release the Events Form Accept and Focus were introduced. In this Release there has been major enhancements in the Event Framework as a whole. Under this framework specified Actions can be triggered on the occurrence of a particular Events. The Events are implicit which can be classified broadly into System Events and Object Specific Events. The System Events introduced are System Start/End and Company Load/Close. Object Specific Events introduced are Before/After Print.
Collection Enhancements
Tally now provides a TDL interface to obtain datasets in Collection from external Plug-Ins. These Plug-Ins are written as DLLs which can be used to fetch external data (ie either from Internet or from external Database etc). These DLLs should return a valid XML which can be easily mapped into TDL Collection. In other words, TDL program can provide simple string value and/or XML to the DLL function. The DLL gives XML data as an output. Collection takes this data and converts into objects and object methods which can be accessed in TDL like other objects. DLL collection will be very useful in the following scenarios:

The Unique attribute of Collection definition is used to control the display of unique values in the table for a specified method based on values selected from the table previously in a field. The display of values is changed dynamically based on the field value. The unique attribute has been enhanced to add a new sub attribute in the syntax which is used to specify another field object method which also participates in controlling the uniqueness of values in the table.
The collection attribute Data Source is enhanced to support Variable as data source. Now variable values can be gathered as objects to the collection. When the Data Source is a Compound variable with multiple levels, the same is available in Collection as a complete object hierarchy.
Any expression in TDL is evaluated in context of Interface and Data Object existing at that instance. There are many context changing functions available in the platform. They change either the Interface Object context or Data Object context. In order to change a particular object context, functions like $$Owner, $ReqObj etc are used. In this release a new function called ReqOwner is introduced which is used to change the Interface(Requestor) Object context one level up the chain.
Variables are context free light weight data structures which can store values. They assume an initial value at instantiation and can change during the program execution. The variable framework has been completely revamped to support Compound Variables. Prior to this release we came up with list variables where it was possible to store multiple values of the same datatype within a list. With the introduction of Compound Variables now it will be possible to store multiple values of different datatypes within the same structure. Each member of a compound Variable can either be a simple variable, a list variable or another compound variable. The nesting can extend upto any level. Compound variables are very useful in all cases where it is needed to store and manipulate multiple variables of different type as a unit.
Third Party Applications can validate the Request Response Interaction with Tally using robust License Mechanism built in Tally with various approaches. The below approaches can be used by the Third Party Applications to retrieve & validate the License Information from Tally based on the level of Security desired.
The Third Party Applications will be able to send an XML Request to call platform function within Tally which is used to retrieve the required License Info from Tally. This is a less secured option as the license data will be available over an Open XML.
The Third Party Application will send a Validation String within the XML Request. At Tallys End, the validation string and the required License Info will be encoded using the procedures (Non Standard) built inside the TDL. The converted Strings will be sent back within the XML Response to the Third Party Applications which will decode the strings at their end.
The Third Party Application will send a Validation String within the XML Request. The encrypted Strings will be sent back within the XML response to the Third Party Application. The Third Party Application will be able to decrypt the Strings at their end using the standard DLL shipped by us for Decryption.
License Info Retrieval using Encryption Algorithms built using Third Party DLLs
The Third Party Application will send a Validation String within the XML Request. At Tallys End, the validation string and the required License Info will be encrypted using an External DLL which can have its own Encryption Routines. Tally uses the Function CallDllFunction to return the encrypted strings to Third party Application within XML Response. At Third Party Application End, decryption algorithms will be required which can again be provided inside the same DLL used for encryption.

Issues Resolved
Data
Tally.ERP9 hangs when a user on the network gets a warning message No Access Allowed and the other user tries to load the same company. All other users will not able to access/ work until the first user comes out of warning message. This issue has been resolved.
Export/Import
Vouchers having the same Remote ID were overwritten while importing them into the same Company. This is can be controlled by enabling the option Overwrite Vouchers during import available in F12: Configure > General.
E-Mailing
The To E-Mail Address was blank, when emailing the Ledger from CST Forms Issuable screen. This issue has been resolved.
Licensing
The E-Mail ID and Confirm E-Mail ID fields of the Activate License/Activate Site License form were case sensitive. This issue has been resolved and fields are now case insensitive.
While activating or reactivating Tally.ERP 9 single user license Error code 01 was displayed on certain machines. This issue has been resolved.
On the client machine, Tally.ERP 9 was crashing when the IP Address of the server was provided in IPv6 format. This issue has been resolved and Tally.ERP 9 prompts the user with an appropriate message.
When the Tally.ERP 9 license file was locked by the application the Account TDLs available on the server were not transferred to the client. This issue has been resolved.
Changes made to the Proxy Configurations in TallyAdmin tool were not retained. This issue has been resolved.
Multi-lingual
The Amount in words was incorrectly printed for an invoice generated in Hindi language. This issue has been resolved. ODBC
MS Word 2003 and MS Word 2007 were unable to filter the required groups from Tally.ERP 9 using ODBC for mail merge or generating labels. This issue has been resolved.
On detecting an internal error Tally.ERP 9 was crashing and getting into an infinite loop for cleaning the system registry. This issue has been resolved.
Performance
Data loading took longer duration than the normal stipulated time when a company has Purchase/Receipt Note transactions without the quantity or amount or both and the valuation method is set to Last Purchase Cost. This issue has been resolved.
When the stock item batches were huge and the valuation method was set to Standard Costing data loading took longer duration than the normal stipulated time while checking the balances.

Synchronisation
While Synchronising data with multiple companies open using the same instance of Tally.ERP
9, the voucher type masters were successfully imported into the first company. However, while importing the vouchers into the subsequent companies an error message appeared disallowing the import. This was happening as Tally.ERP 9 was not creating the masters in subsequent companies. This issue has been resolved. Tally.ERP 9 crashed on selecting the Import Snapshot option available in Synchronisation menu. This issue has been resolved.
Accounting Masters
If Statements of Accounts menu was displayed without any Accounting features enabled then blank space was getting appeared above the Statistics menu option. This issue has been resolved.

BRS
In Bank Reconciliation Statement, if the option Show Forex Details in F12: Configuration was enabled, the Forex details were not getting displayed for the vouchers. This issue has been resolved.
While exporting BRS in excel format, the amount column (Debit & Credit column) was shifted towards left in place of Bank date column.
Excise
Secondary Education Cess details were not being displayed in Statutory Details of Local sales or Interstate sales recorded using voucher class. Note: This issue was found only in case of excise ledgers created by using Default Duty/Tax Type Excise (Excise feature was not enabled)
In an Excise Sales Invoice recorded using Voucher Class with Excise duty ledgers, Additional VAT was not being calculated properly. If the same voucher was opened in alteration mode and reallocated values using R: Reallocate (Alt +R), the Additional VAT was calculating properly. This issue has been resolved.
Inventory Masters
While displaying Item Master in Display mode, the Group Name was not appearing. This issue has been resolved.
Inventory Vouchers
When any vouchers was printed in simple format and then if POS Invoice was printed from display mode, the POS Invoice was also getting printed in simple format.
This issue has been resolved, now the POS entry is getting printed in POS format.
While Passing a stock journal voucher for an item where Batch details were enabled and the additional cost details were provided then the additional cost details were not getting displayed in voucher creation or alteration mode but the same details were getting displayed in print preview screen. This issue has been resolved, Additional cost is appearing in the Voucher.
If a Sales Order was entered and a Delivery Note was entered against the above sales order next day and if a Sales Invoice was entered against the above Delivery Note on the same day then in alteration mode of sales invoice, the date of Delivery Note was displaying the Sales Order Date in Dispatch Details screen. This issue has been resolved.
In Remote Access, while printing Stock Journal the details of Additional Cost were not getting printed. This issue has been resolved.

While altering the Salary Details, the cursor was taking long time to move from Pay Head name field to Rate field and vice versa. This issue has been resolved.
While processing the Employer Other Charges using a Journal Voucher, the EDLI Admin charges amount for last Employee was getting rounded off with Debit value if the actual value was less than 50 Paise. The Employee with such Debit values were not appear in the Computation sheet.

While booking the expenses in Journal Voucher application was not allowing to select multiple references of Advances (made to party) to adjust against the bill. This issue has been resolved.
TDS amount was getting doubled, when a TDS payment entry was recorded in payment voucher (with /without Voucher Class) using TDS Helper (Alt+S). This issue has been resolved.
While booking the expenses in Journal Voucher for a party to whom Deduct TDS in Same Voucher was enabled (configured to YES); Application was not allowing to select TDS Duty Ledger in TDS Details screen. This issue has been resolved.
VAT/CST
The excise duty entered in purchase invoice was not being captured as a part of assessable value in Forms Issuable report.

The value of purchases recorded in journal voucher by selecting Others in Used for field was being displayed incorrectly in VAT Classifications Vouchers report. This issue has been resolved.
In the invoice alteration mode, if the additional ledger selected earlier was changed to another ledger, the Statutory Details screen was not displaying the updated details. This issue has been resolved.
In sales invoice recorded using voucher class predefined with sales, output VAT and additional tax, if the stock item rate which was initially provided was removed, the same was getting displayed in Statutory Details screen even after using reallocate button. This issue has been resolved.
In the alteration mode of sales invoice recorded for zero valued entry, if the item rate was specified, the output additional tax was not being calculated automatically. This issue has been resolved.
In the accounts invoice alteration screen, the declaration forms selected for inter-state sales/ purchase in creation mode was not being displayed when the cursor was moved to Sales Ledger /Purchase Ledger field. This issue has been resolved.
In inter-state transactions, if party ledgers predefined with CST registration number were selected, the CST number was not being captured in Forms Issuable and Forms Receivable Report. This issue has been resolved.
Statutory Audit
Auditing
The Specific Vouchers sampling method was displaying wrong description for the Sampling Method while drilling down to the Sampled Vouchers from the Total Column from the Statutory Audit Dashboard. This issue has been resolved.
The Voucher Numbers were not getting exported while exporting the Ledger Vouchers reports for the Salary/Wages Payments and Forex Vouchers. This issue has been resolved.
While viewing the Ledger Vouchers report under the Auditing section, the option to filter the Ledger Vouchers belonging to any other Audit Status (Show Vouchers of Audit Status) was not working properly. This issue has been resolved.
The Audit Status and Audit Note were not displayed in some specific scenarios for the Ledger Vouchers belonging to Related Party Transactions during the Remote Audit process. This issue has been resolved.
During the Remote auditing process, the Sampling Method and the description was not displayed for the sampled Vouchers in the Verification of Sampling Vouchers screen. This issue has been resolved.
The Verification of Vouchers was also including the Non Accounting Vouchers while displaying the Total Voucher count. The Non Accounting Vouchers are now not included while displaying the Total Voucher count on the Statutory Audit Dashboard.
Data Analysis
The TCS transactions were not displayed under the Statutory Payments option without enabling TDS in the F11: Statutory & Taxation features.
While viewing the Ledger Vouchers report from the Verification of Vouchers report, the Opening Balances for the Ledger was not appearing during the Remote Audit process. This issue has been resolved.
In Verification of Balances report the Unadjusted Forex Gain or Loss was not appearing. This issue has been resolved.
In the Pending Documents reports the Number of Pending Bills count was shown incorrectly for the Outstandings Receivables and Payables. Now the total Pending Bills count and On Account count is shown separately for each party.
The amounts for Sales Bills to Make and Purchase Bills to Come were not appearing in the Verification of Balances report. This issue has been resolved.
Financial Statements
The alignment for the Amounts shown in the Debit and Credit columns was not correct while printing the Schedule-VI Balance Sheet and ScheduleVI Profit & Loss A/c statements in detailed format. This issue has been resolved.
Statutory Compliance
The current Release 1.8 provides the Statutory Compliance features for VAT/CST, TCS and FBT alone.
Tax Audit
Tally.ERP 9 was crashing when print was given for any of the Clauses from Tax Audit Info when there were more than 20 Vouchers (approx.) under the respective Clause. This issue has been resolved.
The cash transactions involving multi currency were not appearing in the Cash Payments report. This issue has been resolved.
Multiple Companies Tally provides its users the facility for creating and maintaining any number of companies. Hence the user can maintain all his companies / Branch companies as well as his own Personal accounts in Tally. The Tally user can also handle companies concurrently i.e. the user can load more than one company and simultaneously work on all or any of the companies loaded by shuffling between companies as and when required. Tally also allows users to group companies
and hence provides a consolidated report for the companies grouped. How to create multiple companies? To create a Company -> select 'Create' option (in company info menu) -> now, Specify Company Name and other related details. Once one company is created, to create a new company -> Press F3 (Comp Info). Now the user will be able to create another company (follow the above procedure). Once, the user has created more than one company he could load and work on any of the companies that is created. Multi Currency Tally maintains books of accounts in base currency. Tally also allows users to enter transactions in multiple currencies and view reports in any of the currencies that have been created in Tally. The user can thus invoice his foreign customers in their currency as well receive payments in their currency. If there is any forex gain / loss, then it reflects the same immediately in the concerned parties ledger account. The gain or loss hence derived can be transferred to a forex account by using a Journal (use voucher class). The user can also view and print ledger accounts in the currency the transaction has been entered. Tally also allows the user to view & print all reports in any currencies. Procedure: Press Alt+C -> select currency -> specify 'Rate of Exchange'). Procedure to use Multi Currency: -> Click on features (F11) -> activate Multi Currency -> select 'Accounts Info' -> Currencies -> Create -> specify Currency symbol and other details required. Then, select 'Rate of Exchange' > specify rate (selling and buying rate) for a particular date. Now you can enter a transaction in any currency. Lets illustrate this further with an example Lets assume a sale is made to a Party in U.S. on 1st of April for U$ 100 @ S$2 / US$ (selling rate S$ 2 / US$). The receipt for the same sales is rec'd on 2nd of April @ S$2.5 / US$ (selling rate S$ 2.5 / US$ on 2nd April). Now Tally shows a gain of S$ 50 (base currency), which is displayed in Party ledger. The gain now can be transferred to a forex Gain / Loss A/c using a journal (use voucher class in journal). Multiple Financial Year Tally allows the user to have any number of financial years in one company itself. At the time of creating the company it is only necessary to mention the beginning of the financial year. There after the user is free to maintain accounts for any number of periods e.g. lets assume the user has created a Company starting from 1st of April 2001. Now if he needs to change to the next financial, the user has to select Period (F2), from Gateway of Tally) and specify the date range 1-4-2001 to 31-3-2002 and he can continue with the transactions for the next financial year. Once the user has information for multiple years in a single company he can easily shift between different financial periods by selecting 'Period' (Alt + F2) option or can view reports for a period which could span multiple financial Years for e.g. the user can view a report which could consist transactions for the second half of the previous financial year and first half the current financial year. Comparison of Data Using Multi-Columanar Reporting Tally allows the facility for comparing information / reports by using the multi-columnar reporting facility. The user can view / compare information for multiple periods (year, month, qtr or user defined period), currencies etc for the same company as well a compare information for two or more companies on the same screen instead of toggling between different periods / companies. This facility of easy comparison of information will help the management do
meaningful analysis and will help bring out any exceptions very easily. Option 1 ->Select any report (e.g. Balance Sheet) -> select 'auto column' (Alt + N) -> select any option (company, yrs, month, qtrly etc) and press enter. Tally now displays comparisons based on the option selected
Option 2
-> Select any report (e.g. Balance Sheet) -> select any range of period -> select 'new column' (Alt + C) ->select company to be compared with (if the user wishes to compare bet'n companies -> specify period. Memo Vouchers This is a non-accounting voucher and the entries made using it will not affect your accounts. That is, Tally does not post these entries to ledgers but stores them in a separate register. You can alter and convert a Memo voucher into a regular voucher when you decide to bring the entry into your books. Memo vouchers are used when the user has to make Suspense Payments or he has to make a transaction for which the user does not have complete information. To enter a Memo Voucher, select 'Voucher Entry' then press F10 (memo vouchers) and complete the transaction. Memo vouchers can be effectively used when they are included in Scenarios. Entries made through Memo vouchers can be made part of a Scenario management and scenario reports can be viewed by including these memo vouchers. To view a report of all Memo Vouchers -> Select Display ->Exception Reports -> Memorandum Vouchers -> select any month (to view memo vouchers for different periods, click on Date (F2) and specify the date range). Post Dated Vouchers Tally users can use this facility for entering vouchers in advance for future transactions that are definite in nature. The voucher marked as post dated does not affect the books of accounts till the date specified in the voucher. This facility is extremely useful when the user has issued or received post-dated cheques. How to enter a Post dated Voucher?
-> select 'Voucher Entry' in 'Gateway of Tally' screen -> select any voucher (e.g. Payment F5) > press Ctrl + T (Post dated Vouchers) complete the transaction and save. How to view Post dated vouchers? -> Select Display -> select Exception Reports -> select Post dated Vouchers.
Used Defined Vouchers Tally provides 18 predefined vouchers and also allows the user to define (create) new accounting/inventory vouchers types as per his/her needs. E.g. the user can further classify Payment Vouchers by creating vouchers by the name Bank Payment and Cash Payment Vouchers. The user can also set the voucher numbering as per his needs, which can be either automatic numbering or manual numbering or have no numbering at all. Further the user can also assign Prefix and Suffix for voucher numbers and numbering can restart either from beginning of the year or month. How to create a new Voucher Type? ->Select 'Accounts Info' -> select 'Voucher Type' -> select 'create' option -> Now enter the Voucher name, specify the type of voucher, specify the method of numbering, activate or deactivate the other functions as per needs. Sales and Purchase Extracts Tally gives a facility to get an extract report of the Sales and Purchase register. The extract report gives the user the consolidated figures of all groups as and ledgers for both debit as well as credit side. With this report the user gets the complete Sales Turnover figures for any period as well as complete but consolidated tax return figures which help him in filing his Tax returns. Procedure: -> select Display -> select Accounts Books -> select Sales Register -> select particular month > press F6 (Extracts). Daily Balances& Transactions Value Tally provides a facility of viewing certain reports (cash books / bank books) and ledgers in daily breakup basis. The user can thus have information for total transaction value for all days as well as closing balances for all days. In the same report the user can also get daily average details as well as high and low details for the month (press F12). Procedure: -> select Display -> select Cash/Bank Books or Ledger -> select particular month -> select F6 (Daily Break Up). -> select F12 (Configuration) -> Activate 'Show Average Details' and show 'High / Low Details' -> Tally displays Average details for the month as well as High and Low details for the month. The user can also drill down from this level to voucher level. Cash Flow Tally provides with a cash flow statement using which the user can track the movement of cash
flow ie cash inflow as well as cash out flow (both cash & bank included) in his business. The report also displays a net flow for any period. The user can also get a daily cash flow statement (F4). By selecting F12 (configuration) option the user can also activate average details and hence get average cash inflow/out flow for any period. Procedure: -> select Display -> select Cash / Funds Flow -> select Cash Flow -> press F4 (for daily flow).
Interest Calculations This is one of the most powerful features available in Tally. Tally automatically calculates interest based on the information furnished by the user at the time of creation of ledgers. The user can now view the impact of interest accumulated against each ledger and in turn against each transaction. Although Tally provides exhaustive information on interest implications, the interest amounts are not brought into books. The user now has the option to book the interest calculated as per his requirements. Interest is calculated on simple and compound basis and can be entered into books by passing debit notes for interest receivables and credit notes for interest payable. Procedure : -> Firstly activate interest calculation (including advanced parameters) for the company by pressing F11 (features). Then, activate the interest calculations option for each specific ledger for which interest has to be calculated. Also specify the % of interest along with the interest style. The user can specify different %'s for different periods. -> Select Ledger from 'Accounts Info' menu -> Alter -> select any ledger for which interest calculation has to be activated -> set interest calculation to yes -> now provide information regarding 'rate of interest (%)' and style as per requirements. -> accept the same. Tally automatically calculates interest for ledgers for which interest calculations is activated. To view report, -> select Display -> Statement of Accounts -> Interest Calculations -> select Receivables / Payables or ledger wise.
In case the user opts to specify or change the Rate of interest at the time of entering the transaction, then he do so by activating the option 'Override interest parameters' in Ledger creation mode. Percentage Based Reporting Tally provides % based reporting on all financial statements like Balance Sheet, Profit & Loss, Cash Flow, Sales register etc. You can activate the option show %'s by pressing F12 (Configuration) in any report and then view the report on a % basis. For e.g. If the user opts to view Profit and Loss report by activating %'s, then all groups are shown as a % of Sales.
Tally maintains all Books of accounts starting from records of vouchers, ledgers etc. Tally handles different types of vouchers like Payment, receipt, adjustment entries like Journals, Debit notes, Credit notes, Sales, Purchases, Receipt notes, Delivery notes etc. Tally follows the double entry system of accounting and hence will eliminate any possible errors. Books, Registers and Statement of Accounts
a) Books
Tally maintains all the Primary books of accounts like Cashbook, Bank Book.
b) Registers
Tally maintains all registers like Purchase Register, Sales Register and Journal Registers.
c) Statement of Accounts
Tally maintains all statement of accounts like Balance sheet, Profit and Loss and Trial Balance, Cash Flow, Fund Flow & Stock Statement.
General Ledger Tally maintains details of all ledgers that are defined by the user. You can define your chart of accounts i.e. - maintain groups, ledger etc. Ledger reports can be used for scrutiny of accounts. Most accounting systems across the globe follow the concept of separate Personal and Nominal accounts. Tally follows the concept of single ledger systems, which includes both Personal and Nominal accounts. Credit Control (Outstanding Mangement) Including credit Limit A Tally user can maintain 'Outstanding Reports' along with Age Wise analysis. Credit Limits can be given 'amount wise' as well as 'period wise'. Once Credit limits are set for a Party, then the user cannot bill the particular Party beyond the specified limit. Only the authorized user can alter the Credit Limits. This helps to monitor as well as control any potential slow collection and warns about the potential bad debts. To set Credit Limits follow the procedure below : Activate Budgets and controls by pressing F11 (Features) -> Select Accounts Info -> Select Ledger --> Select Credit limits -> Select Group -> Define the limit for each ledger either by Value or Period or Both.
Accounts Receivable and Accounts payable Accounts Receivables is the amount to be received from Sundry Debtors and Accounts Payable, the amount to be paid to Sundry Creditors. Tally provides complete bill wise information of amounts receivable as well as payable either Party wise or Group wise. This feature can track bills, payments/receipts including advances one-to-one. How to use this facility? Activate 'BillWise' details by pressing F11 (Features). Now Create a Party (Ledger A/c) under the group 'Sundry Debtors' as well as one under group 'Sundry Creditors', and also activate 'Maintain balances bill by bill' for all the Parties while you are in Ledger creation mode. Next, select the option 'Voucher Entry' in 'Gateway of Tally' -> Select Sales or Purchase Voucher. Now, while entering the transaction, the user can specify a Ref. no with due date for the amount or break it up by giving multiple ref no with different due dates. To view the reports follow the procedure given below. Select 'Display' (in Gateway of Tally menu) -> Select 'Statement of Accounts' -> Select 'Outstandings' -> Select 'Receivables' (in case you want to see amount due to the company) -> Select any particular group. The report displays bill by bill outstanding for all parties along with the pending amount as well as the due date. In case user wants to see the amount payable by the company then select the option 'Payable' under the menu 'Outstandings'. The user, once he has selected either Payables or Receivables can toggle between the two reports by clicking F4 function key. For individual Party wise outstanding: ->Select 'Ledger' option under 'Outstandings'. This report gives a bill-by-bill display of all outstandings for the concerned party along with the total outstanding amount.
For a display of total outstandings for all parties -> select 'Group' in the menu 'Outstandings' and then select any particular group or sub-group.
Tally gives Age wise Analysis Reports and hence keeps the user informed for the range of period the bills have been outstanding. The user has the luxury of defining the Ageing periods as per his needs. e.g. 0 to 30 days, 30 to 45 days, 45 to 60 and so on. The procedure for displaying the report is given below. The aging analysis gives flexibility to do ageing by due date or bill date. -> Select 'Ouststandings' under Display menu -> select 'Receivables ' or 'Payables' press F5 (age wise) -> select method of ageing -> specify the periods. Flexible Voucher Numbering Tally provides predefined vouchers and also allows the user to define different types of vouchers as per his/her needs. E.g. the user can further classify Payment Vouchers by creating vouchers by the name Bank Payment and Cash Payment Vouchers. The user can also set the voucher numbering as per his needs, which is either automatic numbering or manual numbering or have no numbering at all. Further the user can also assign Prefix and Suffix for voucher numbers and numbering can restart either from beginning of the year or month. How to create a new Voucher Type? Select 'Accounts Info' -> select 'Voucher Type' -> select 'create' option -> Now enter the Voucher name, specify the type of voucher, specify the method of numbering, activate or deactivate the other functions as per needs. Flexible Classification of Accouting Heads / Chart of Accounts Tally allows the user to define account heads as per his requirements. Tally offers 28 predefined widely used Groups. Of these 28 predefined groups 15 groups are Primary groups and the remaining 13 are sub groups. Among the 15 predefined groups 9 Groups are Balance Sheet items and the remaining 6 groups are Profit and Loss items. The user is allowed to alter the nomenclature of any of these 28 Groups. Further the user is allowed to create any number of Groups as per his/her requirements, which can either be a Primary or a Sub-Group. Tally also allows the user to have a multiple tree like structure groupings. This flexibility and ease of configuration allows Tally to be used across industries and geography. E.g. the user can have Continent wise Debtors groupings (i.e. Asia, America, Europe, Africa, Australia) under the Group 'Sundry Debtors'. The continents can also be further bifurcated into countries and states and so on.
Bird,s Eye View / Drill Down Display Tally allows users to Drill Down from any report to lower levels of reports till the voucher. E.g. User can view a Balance sheet and then select the required group in the Balance Sheet and drill down till the vouchers. Any changes then made in the voucher (i.e. if allowed by current security levels), is reflected real time at all levels. Data Based reporting Tally allows users to select any report for a particular date or for any range of dates. Once you have selected a Report, press F2 (F2 in case of Day Book) and specify the date range (From and To). You can also do simultaneous comparison side by side for any two selected periods including across financial years. All reports from Tally are generated based on the transaction date rather than the date of actual entry and hence Tally ensures that information is always represented accurately. This unique approach to bank reconciliation allows review of past date status for auditing purpose. Voucher and Cheque Printing Tally provides the facility to print any voucher that has been entered. The user can print the voucher as soon as he has entered the voucher or even later. Tally also provides cheque printing facility. The cheque can be printed immediately after printing the voucher or can be printed later. To activate Cheque printing option press F11 -> activate 'Set modify company features' -> enable Cheque printing -> specify bank name (as created in Ledgers) -> Specify dimensions of Cheque. Now while entering Payment Voucher mention the name to be printed on the cheque. Once the voucher is saved Tally prompts the user to print cheque. Columnar Reports Tally provides columnar reports in Sales register, Purchase Register and Journal registers as well as Ledgers and Cash / Bank Books. For Columnar Reports, Select Display -> Accounts Book -> select any of the registers -> Press F5 (Columnar).
Bank Reconciliation Tally provides the user a facility to reconcile bank accounts with his bank statement and hence providing the user with information regarding transactions, which haven't been cleared as yet by the bank. For bank reconciliation follow the following procedure: Firstly, while creating "Bank Account" Ledger, specify 'Effective date of reconciliation' (ie the date from which the user wants to reconcile his bank accounts). Then, Select, -> Display -> Account Books -> Bank Book -> Select the particular 'Bank' Select month > Press F5 (Reconcile). Now enter the date, on which a particular transaction has been cleared. Tally now provides information of balances as per company Books as well as per Bank.

Receivables Turnover (Payment Performance of Debtors) Tally tracks the payment performance of all debtors and hence generates a report where-in the user can get information of average time taken by the debtors to pay back their debts. The payment performance of debtors is calculated in two ways. 1. Using Receivables formula: Tally calculates the payment performance of debtors using the formula which is mentioned below: Payment performance by formula: (closing balance / total sales ) * nos of days. 2. Using actual bill clearance dates: Tally calculates the performance of the debtors using the actual bill cleared date. Procedure: -> Select Ratio Analysis from 'Gateway of Tally' screen. Select 'Receivable Turnover in days'. Branch Accounting Tally provides a convenient method of handling Branch accounts. Each branch can handle their individual accounts. If there is any transaction or transfers between branches or offices then the user enters a transaction by debiting the other branch account and at the other branch a reverse entry is made (ie first branch is credited). When these branches are grouped together then there is no net effect on the books is nil. In case there is a difference it can be easily used for branch reconciliation. Eg.Create two branch companies, Branch A and Branch B. Now if funds are transferred from Branch A to Branch B In Branch A's accounts books, Branch B is debited and in Branch B's books, Branch A is credited.
Now when the two braches are consolidated there is no net effect on the combined books.
* Please note that the Branch accounts needs be created under the group 'Branch and Divisions'. Flexible Period Accounting Tally is one of the most flexible accounting packages available and this can be illustrated by the fact that Tally can handle multiple periods in a single company. Once a company is created the user can specify any range of dates and obtain reports for that range. These date range can also be across multiple financial years. I.e. the user can get a report for 18 months, 24 months etc. Different countries have different financial periods. Hence if a particular company has its parent company in another nation, which has a different financial year, the user can generate a report as per financial periods of the parent company. Also different years can be used such as fiscal year for taxes, any other internal way e.g. Start of new year on the first day of Chinese new year or calendar new year. Procedure: -> select any Report (e.g. Profit and Loss) -> select Period (F2) -> specify date range and save. Consolidation of Companies Yet another outstanding feature in Tally is its ability to handle Group companies. Tally allows the user to create multiple companies which could be either branch companies or sister concerns. These companies could be grouped together to get consolidated reports so as to enable the management to analyse the performance of the group company. Any changes done in any one of the branch companies, is automatically updated in the group company. At any point of time a new company could be included in the list of companies of a particular group. Tally also allows the user to create multiple levels of group companies. Procedure: -> Create multiple companies and load those companies, which have to be grouped together -> select Company Info (Alt + F3) -> select 'Create Group Company' ---> specify name of the Group Company and other information's -> select companies that are to be grouped together and save the screen. A group company is automatically created
Budgeting and Control Tally provides a wonderful tool to the user to have a control over his business through the feature of budgets. The user can hence compare the actual performance of the company with the budgeted figures and also get a Variance report. The user can define multiple budgets (e.g. Optimistic Budget, Realistic Budget) or even create budgets for different periods. The budget values can be defined for each Group as well as all Ledgers. Procedure: -> select Features (F11) and activate 'Budgets and Controls' -> now select Accounts Info -> select Budgets -> select Create -> specify name for the budget -> specify the date range for the budget -> activate Groups -> select groups A/c -> assign budget value and save -> activate ledger -> select ledgers and assign budget values and save the screen. To view Budget Reports : select any report (B/S, P/L, T/B etc) -> select new column (Alt + C) -> select period -> select type of Budget -> activate Variance and save screen. Cost Category: In many cases the user would like to allocate a transaction to more than one cost Centre. Tally provides a facility called Cost Categories. This facility enables the user to allocate cost to Parallel sets of Cost Centres i.e. the same amount can be allocated to more than one cost center. The same is explained with an example. Create two categories one by the name Projects and another by the name Executives. Now create a Cost Centre called Project A under Cost Category 'Projects' and also create another Cost Centre called Salesman A under category 'Executives'. Now enter a transaction, after specifying the amount -> select Category (Project) -> select Cost Centre (Project A) -> next select another Category (Executives) -> select Cost Centre (Salesman A) and complete the transaction. To view reports -> select Display -> select Statement of Accounts -> select Cost Catogories -> select any particular category.
Variance Analysis Tally provides complete variance analysis reports. This report provides information of variance of actual figures from the budgeted figures. The user can get a variance analysis report once he has activated Budgeting and Control options. This option hence will help the management in taking critical management related decisions. This will help giving exception reports to management. The drill down feature can be used to go to the voucher level details to understand the problem better. Procedure: -> select Trial Balance / Group statements -> select Budget Variance (Alt + B) -> select type of Budget -> accept the screen. Ratio Analysis Ratio Analysis provides management with reporting tools that can give you the pulse of the corporate health. They convey more useful information than absolute numbers. Tally helps the user in analyzing ratios and
performance of the company. The Ratio Analysis report provides information on all major Ratio's and also information's like Operating Cost figures, Return on Working Capitals etc which will help the management in taking critical decisions. This report helps the company provide useful information not only to internal management use but also external agencies such as banks etc. Procedure: -> select Ratio Analysis from 'Gateway of Tally'
Scenario Management, Including Reversing Journals and Optional vouchers Scenario Management is the latest management tool provided in Tally by which the user can create multiple scenarios for the purpose of forecasting or to view provisional reports. This can be done by selectively including certain types of vouchers, which will in no way affect the regular books. The vouchers that are used in Scenario management are 1. Optional Voucher 2. Memorandum Voucher 3. Reversing Journal Procedure: -> select F11 (Feature) -> activate 'Use Rev. journals and Optional Vouchers -> accept screen -> select Accounts Info -> select Scenarios -> select Create -> specify 'Name' of the scenario -> activate or deactivate 'actuals' as per requirements -> specify the type of vouchers to be included (use Exclude options only when you need to exclude voucher types which have been included previously) -> accept the screen To view Scenario -> select any report like B/S, P/L, Cost Centre, Ledgers etc -> select New Column -> Select Scenario -> accept screen. Reversing Journals and Optional vouchers are both non-accounting vouchers and hence will not affect the books of accounts in any manner. The reversing Journal is a separate Voucher Type. This voucher is effective only when called for in reports as a part of the Scenario management. In case of Rev. Journal the user can specify the date till which it is applicable. Procedure: -> Select Voucher Entry -> select F10 -> select Rev. Journal -> complete the transaction and specify the date till which it is applicable. For Optional Vouchers select any Voucher and select 'Optional (Ctrl + L)'. This Voucher is used when the user has to enter a transaction but has incomplete information or the transaction is not yet completed. This Voucher can be regularized at any time by going into voucher alteration mode and clicking on regular option in the voucher.
Data Reliability
Tally offers extremely high reliability data. Tally uses a flexi-field, flexi-length, self indexed weighted file structure for an extremely compact and fast database. Tally is robust and will not be affected even if there is a power failure or if the machine is shut down while the system is still functioning and hence there will be no data loss. Tally uses signaling quality data integrity checks at a regular levels to ensure complete reliability of data.
Data Security
Tally use of data integrity checks ensures that no external change to the data can pass thru Tally. It also uses a binary encoding format of storage to prevent devious grouping of information. It also offers access to the database thru an ODBC layer, which is fully activated.
Tally Audit
Tally audit feature provides the user with administrator rights, a capability to audit for the correctness of the entries made by authorized users and alter them if needed. Once entries are audited, if there are any alterations made to those entries then Tally will display all the altered entries along with the name of the user who has altered the entry and date and time of alteration. How to activate Tally Audit? Tally Audit feature can be activated during creation of Company. If the company is already created, then he can select the particular company and then select the option 'Comp Info' (Alt+F3) and then select 'Alter' option. Activate 'Use Security control' -> specify Administrator Name & Password -> activate 'Use Tally Audit Features' and save screen. How to audit Transactions / masters? Select Display -> select Statement of Accounts -> select Tally Audit -> select masters or Vouchers -> Tally, now shows all the vouchers that haven't been audited -> select F7 (accept one) and audit any entry -> or select Alt+F7 (accept all) to audit all entries. How to audit entries that have been altered? If any of the entries are that is audited is altered by any one of the users, then Tally will reflect the same in Tally Audit report. Once the users vouchers option under Tally Audit, he can select F12 (Configurations) and activate the feature 'Show entered / altered by'. Tally now displays all the entries that are altered along with the name of the person who has entered it, name of the person who has altered the
same and the date of alteration. The administrator can once again audit the entries that have been altered after verifying the same.
Tally Vault
Tally offers a data encryption option called Tally Vault. The Tally vault password given cannot be broken by any means. Tally follows D E S (Data Encryption Standard) encryption method. How to activate Tally Vault option? The Tally Vault can be activated at the time of creating a new company or by altering the existing company. If it is a new company, then, From Company Info screen, -> select Create -> Specify Company Name and other company related details -> specify Tally Vault Password and repeat the same and save screen. If it is an existing company, then, Load the particular the company -> select Comp Info (Alt+F3) -> select Change Tally Vault -> specify New Password and save screen.
Tally offers high levels of security. The user can define multiple levels of security as per his requirements and every authorized user in the company can have individual passwords with rights to use specific features only. The user with administrator level password will have full access and can set controls to other users. How to activate Administrator level Password? Admin level password can be activated while creating a company. Select Create in Company Info screen -> specify Company Name, Company address and other company related details. -> Activate security control -> specify administrator name -> specify password and repeat password and save screen. If the company is already created, then, -> Load Company -> select Alt+F3 (Comp Info) -> select Alter ->come down to security control and activate the feature 'Use security control'. How to create multiple levels of passwords? Load company -> select Alt+F3 (Company Info) -> select Security control -> Types of security -> specify name of security level and press enter -> select basic facilities of 'Owner' -> specify 'Days allowed for backdated Vouchers' i.e. the no. of days the user is allowed to go back to enter vouchers from the current . -> specify 'Cut-off date for back dated vouchers' i.e. the last day till which the user can go back to enter transactions -> go to column 'Disallow the following facilities' -> specify the type of access (i.e. Full access, Create, Create/alter, Display, Print etc) -> select the features to be disallowed and save screen. -> Tally allows the user to create any number of levels.
Now, select 'Users and Passwords' under the option Security Control -> specify Name of the user, Password and level of password and save screen.
Tally has a simple menu driven installation procedure. At the time of installation the user can opt to install the program files on any drive (i.e. if the hard disk has partitions) as well as specify the directory names where the program files are to be installed. The user can also specify the location of the data directory. It does not take more than 60 seconds to install Tally on the local hard disk and takes only about 8 MB space in the local drive. How to install Tally? Insert Tally Installation CD in the CD drive -> select My Computers on the desktop -> select CD drive -> Run Install.exe -> specify Path (for Program files and data directory) -> click on Install -> After Installation a message 'Installation Successful' is displayed -> Click on Ok and Tally is installed. The Tally icon is created on desktop.
A Multi-user Version (Gold) of Tally can be installed on a network having any number of machines (computers) working with different operating systems like NT, Win 95, 98, Win 2000. Tally works on any kind of network (i.e. NT, Novell, Peer-Peer N/W etc). The protocol needed to detect the lock is TCP/IP.
Internal Backup/Restore
Tally has an in built user friendly Backup and Restore option. The user can take a backup in the local hard disk or in any external media. Tally provides the user with capability to take backups of one or more companies or all companies in a single directory. How to take a backup? In Company Information screen -> select Backup -> select Source directory and path -> select Destination (specify path) -> select the companies for which the back up has to be taken. And save screen
How to restore data? In Company Information screen -> select Restore -> specify destination (specify path)-> select source (specify path) -> select the companies for which have to be restored And save screen.
Tally allows users to maintain a company for any number of financial years. Once the books of accounts are completed for previous financial years and if the user wishes, he could split the company data into multiple companies as per financial periods required. Tally offers a feature of splitting company data. The user can specify the date from which the company has to be split and Tally will split the company to form two companies as per periods specified. Once the data has been split, the closing balance of the first period (first company) becomes opening balance for the next period (second company). How to split Data? Load the company that is to be split. -> Select Company Info (Alt+F3) -> select Split Company Data -> select Company -> specify the date from which the company as to be split and save screen. Tally splits company data as per the periods specified.
The user can create multiple directories where he can store data. The data stored in these directories can be accessed directly by Tally after specifying the path. How to create companies in different directories? From Company Info screen -> select 'Create' -> specify Directory Path -> specify company name and other related details and save screen.
How to Load Companies from different directories? From Company Info screen -> select 'Select' option -> specify path and select Company If you want to select another company from a different directory, then, ->Select Alt+F3 (Comp Info) -> select 'Select' -> specify Path -> select company. If the user opts, the two companies can be merged and the consolidated report can be viewed.
Tally connects to data source and displays Tally Wizard query screen -> select the columns you would want to include in the query.
Once all the columns are selected, the user returns to excel and excel displays all the columns selected.
-> Now, select the second worksheet and design reports as per requirements.
Comparison for e.g. Sales Registers (Month wise) : -> Select Display -> Select Account Books -> select Sales Register -> select Alt + C (new column) -> specify previous financial year date and save. Tally shows month wise comparisons.
Web Enabled
Tally ees 6.3 is now Web enabled. This will help the user in reducing his paper work further. Now, report in Tally can be e-mailed directly from Tally. It is not just reports, but even invoices and purchase orders can also be e-mailed directly from Tally. Hence, the user does not have to send printed invoice or purchase orders from Tally. Procedure: Select any report (e.g. Balance sheet) -> select Alt+M (E-mail) -> specify all details as required by Tally.
Print Preview
Any user would ideally like to view format of reports / Invoices / Vouchers before printing the same. Tally now offers a facility of print preview. Now any report can be viewed before printing or before it is mailed. Once Tally shows the preview the user can either opt to print or mail the same.

In this field you should specify Dr or Cr. Type the letter D or Dr over the existing prompt to change, then select the ledger name from the pop-up list that Tally opens. There may be multiple Debit and Credit entries in one single voucher.
If you are creating inventory voucher in Tally you will give information about the stock item you receive or issue and item related details like the Godown/warehouse, Batch Details, Quantity, Rate, Amount etc.
This field appears in Accounts voucher only. Enter the amount of transaction and press Enter key. Tally will update current balance of the ledger and display it. This will happen only if you gave 'Yes' to the question 'Show Ledger Current Balance?' under Accounting Voucher in Vouchers Entry under F12: configure option. The total will appear on the bottom of the Debit and Credit columns. If both credit and Debit totals are not equal Tally will prompt to enter further Credit / Debit to balance the voucher. If both are equal Tally will move the cursor to Narration field.
The last field of Voucher is Narration, here you enter details of the transaction entered in the voucher. It is not mendatory / compulsory to give narration. You can type anything about the transaction or just leave this field blank. You can turn off narration by responding No to the question 'Use Common Narration?' at voucher creation/alteration screen.
After entering narration, when you press Enter key a confirmation prompt will appear Asking 'Accept Yes/No?'. Press Y or Enter to save the voucher or press N to return cursor to the first entry allows you to alter any data in the voucher. If you give Y Tally will save the voucher and blank screen will appear next to continue voucher entry.
Payment voucher:
The payment voucher is for all payments you make through cash or Bank. These payments can be towards expenses, purchases, to trade creditors, etc. Follow the below procedure to create a payment voucher.
All payment vouchers must have first entry a debit and at least one credit to a Cash or a Bank Account. You can have any number of debit and credit entries. However, if you do not credit one cash or bank account and still try to accept the voucher a message appears asking for a cash or bank account.
If you have given Yes to 'Print After Saving Voucher?' in Voucher Type creation/Alteration Tally will print the voucher immediately after saving.
Receipt Voucher
The receipt voucher in Tally is for all receipts into the Cash/Bank account. The voucher is similar to the payment voucher except that you debit cash or bank A/cs and credit the ledger from which you receive. The first entry in receipt must be credit and at least one debit to a cash or bank account. There can by any number of debit and credit entries. If you do not debit one Cash or bank account, a message appears asking you to rectify the entry.
If you have given Yes to 'Print After Saving Voucher?' in Voucher Type creation/Alteration Tally will print the voucher immediately after saving.
Alternatively you can print any voucher later by going to Voucher Alteration screen using Display menu. Open the voucher and press Alt-P to display the 'Print Voucher' Screen. Give 'Y' to the Print? Prompt.
Sales Voucher
The first entry must be a debit involving any debtor, bank or cash account and second should be a credit to ledger placed under sales account group. Rest of the accounts may be any Revenue account or any account under the Group current liabilities. Thus you can include Duties&Taxes from 3rd entry onwards.
Purchase voucher
The first entry must be a credit involving any creditor, Cash or Bank account and second entry should be a debit to a ledger placed under purchase account group. Rest of the accounts may be any revenue account or any account under the Group Current Liabilities
Contra Voucher
The contra voucher is for Fund transfers between cash and Bank accounts only. The following is the rule,
For example, If you pay Rs. 10000 cash into State bank Account. Your contra entry should be like this,
Credit Note:
Credit Note is raised when a buyer reutrns some goods that you sold him. or you give him credit due to rate difference or discount/rebate or when there is an exces debit to any party
Debit Note:
You create a Debit Note when you make purchse return or when you have shortbilled a customer or you are granted credit by your supplier due to rate difference, discount etc.
Memo Voucher
This is purely Non-accounting voucher. These entries will not affect your accounts nor does affect your final results. You can alter and convert a Memo Voucher into a regular voucher when you decide to bring the entry into your books.
You can use memo vouchers to make suspense payments, vouchers not verified at the time of entry, Items given on approval.

Account Voucher
Voucher is a document containing the details of a transaction. For every transaction, you make a voucher. The voucher entry option at the Gateway enables you to make your day-to-day entries.
To make your voucher entries, press V at the Gateway. This brings you the Voucher Creation screen as shown in Figure.

Show Cost Centre Details? If you want to allocate transactions to Cost Centres, set this option to yes which will pop-up a window for cost allocation during Voucher entry.
Show Inventory Details? If you want to input Inventory Details in Vouchers like Sales or Purchase, set this option to Yes which will pop-up a window for Inventory allocation during voucher entry.
Show Table of Bills details for Selection? Normally, the list of Outstanding Bills appear when you make any transaction relating to ledger for which Bill by Bill option is set to Yes, and you select Ag Ref, so that you can pick up the Bill you want to adjust. However, if there is long outstanding list it may slow down the pace of voucher entry. To prevent the Outstanding Tables from being popped up during Data Entry, set this option to No, to speed up data entry.
Show Bill-wise Details? If you want to input Billwise details in Vouchers for the ledgers for whom you have set yes to maintain bill wise details, set this option to Yes which will pop-up a window for Billwise allocation during Voucher entry.
Expand into multiple lines? In the bill wise details, if you wish to view another line displaying the due date of the bill also, se this option to yes.
Show Balance as on Voucher Date? If you have set the previous option to Yes, current balance of the ledger as at end-of-period will be
displayed. If you turn this option to yes, Current Balances as at voucher date will be shown during Voucher entry, instead of end-of-the period. This is particularly helpful if you enter vouchers of previous date when you want display of balance for the ledger as at the Voucher date instead of end-of-the period.
Use Payment/Receipt as contra? Normally Fund Transfer transactions are entered in contra Voucher, however, if you prefer to record such transactions in payment / receipt vouchrers, set this option to yes (e.g when you transfer fund through bank draft / DD and pay bank charges, a payment voucher will be more convenient than contra voucher)
A note of caution here. Normally you should make fund transfer entries through contra voucher only, unless you have specific reasons to do otherwise. When you use Receipt or Payment vouchers for fund transfer, stick to a particular voucher type otherwise you may get partial or wrong report when you view for a specific type of voucher.
Allow cash Accounts in Journals? Norally cash transactions are recorded in Contra, Receipt or Payment Vouchers and such entries are not permitted in Journal Vouchers which are exclusively used for adjustments between Ledgers other than Cash and Bank Accounts. However, if you wish to pass a journal Voucher involving cash / bank Ledger, set this option to Yes.
Use Cr/Dr instead of To/By during Entry? By default To and By appears during Tally Voucher entry, however if your preference is Cr & Dr, set this option to Yes
Warn on Negative Cash Balance? During Vouchers entry if you want a warning when cash balance becomes negative, set this option to Yes.
Pre-Allocate Bills for payment? Normally, you first enter the total amount paid/received and then select the Bills adjusted. By turning this option to Yes, you can first select the bills during Payment Voucher Creation. In such case, while
entering a party account in a Payment Voucher, the list of outstanding bills come up to select the bills to be adjusted, simplifying the task of making payments without pre-calculating the total of the bills.
Allow Expenses/Fixed Asset in Purchase Vouchers? Purchase Vouchers are normally allowed to include Direct Expenses (when this option is set to No). To allow Fixed Assets and Indirect Expenses also, set this option to Yes.
Allow Income Accounts in Sales Vouchers? Sales Vouchers will be allowed to include Direct / Indirect Incomes by setting this option to Yes.
Top portion of voucher Creation window displays the name of the company for which you are creating the voucher (Current company)
Type of Voucher: Top left corner of the screen displays the selected type of Voucher. To select any other Type of Voucher, press relevant button. Different Types of Vouchers will be explained in detail.
Voucher Number: Just after the Type of Voucher, Number of the Voucher is displayed. If automatic numbering was set for the selected voucher type, it would be generated automatically and cursor would not move to this field. By default automatic voucher numbering is enabled in Tally 9. If manual numbering has been set cursor will move to the voucher number field to input number from keyboard.
Reference: This field appears in all types of vouchers except receipt, payment, journal, Reversing Journal and Memorandum Vouchers. It's a free field where you may input any reference relating to the Voucher. For example, you may enter Order Number, or Invoice number,in Purchase, Delivery challan number in sales voucher.
Date of Voucher: Date of the Voucher is displayed at top right corner of the screen which indicates date of voucher entry. The Current Date at Gateway of Tally is taken by default as date of voucher. To change the date, press F2 on keyboard.
Effective Date: This is the date which is considered for the computation of Due Date /Interest. This field appears if you have set Yes to the option, Use Effective Date for the specific voucher. Date of Voucher and Effective Date may be different. Also to change Effective Date, press F2 button that prompts Effective Date below Current Date.

Account Groups
Account Groups provide you the ability to organize you Accounts. You can classify all ledger based on their functions. When you create a ledger, you have to put it in an appropriate Group depending on its nature of function. This classification is known as Grouping of Ledgers which determines whether the ledger goes into the Profit and Loss account o into the Balance Sheet. Grouping of ledger determines the type and amount of Information you can get.
Tally 9 provides a set of pre-defined Groups. You can use these Groups readily for classification of ledgers, without creating new Groups or you can create Groups under and of these Groups and place ledger under these Group or create new primary Group. You create multi-level Group one under another to any level.
Select Create under Single Group menu Groups menu, a screen appears to create a new Group with following fields as in picture.
Name: Type the name of the Group. You can not give duplicate name. Alias: Give additional name(s) for the Group.When you select Group you can refer to it either by Name or by Alias. Alias is optional but Name is compulsory.
Under: When you reach this field a pop-up window will open and show all the existing Group heads. Select the parent group under which the Group being created should be placed. You may select any from the existing Group by pressing ALT+C which will bring Group Creation screen to create parent group of the group you are currently creating.
You can create a Primary Group if Allow Advanced Entries in Masters is set to Yes. While creating New Group, select Primary at Under, then select the nature of Group from the following 4 items

If you select Expenses or Income, you have to additionally specify whether this Group affects Gross Profit or not by appropriately responding Yes / No
For example, you may crate Groups like Depreciation, Interest on Loan, Selling Expenses etc. in primary Group. The advantage of Primary Group is that you can configure the Group nearer to your requirements than the default Reserved Groups provided by Tally 9.
The basic rule is Debit the receiver and credit the giver, debit what comes in and credit what goes out. For example if a customers buy goods/service and paying his bill. His account will be credited and cash / bank account will be debited.
Somebody asked me he is not getting debit credit entry fields in payment/receipt vouchers. Tally 9 by default is set to single entry for payment, receipt and contra. That means you will select a single that is to be credited or debited (for payments credited, for receipts debited) then you will select the accounts to be credited (for receipts) or debited (for payments). This is the single entry mode in Tally.
For example if you are making a payment you will first select a Cash or bank account and in the particulars you will select a supplier (for example). and on the right hand side you will enter the amount of payment. This method is simple and convenient. However if you want double entry system you can still use it by configuring Tally.
To do this open Accounting Vocher Creating screen (F5: Payment, F6: Receipt). Press F12: Configure. Give No to Use Single Entry mode for Pymt/Rcpt/Contra. Now you will have both debit and credit fields.

For example if your current financial year is 1-4-2010. At the end of 31-3-2011 you will want to open new account. So ledger balances will be carried over. Voucher numbers will start with number 1.To do this use the 'Split Company Data' option in tally.
Open Tally 9. Open the company you want to split. Press Cmp. Info (Alt+F3) button on the right hand side.
You will get the above screen select 'Split company Data'.
Give the beginning date of new financial year. Usually April -1 is the commencement of new financial year in India. So give that date. press enter. Now you will have two companies First Company and Second Company. Your Original data will be retained.

In the Gateway of Tally select Masters -> Accounts Info -> Voucher Types -> Alter. List of voucher types will open. Select a voucher type to set narration for each entry. For example select payment voucher and give yes to Narrations for each entry.
Now when you make payment voucher you will be asked for narration for each ledger.

In Tally 9 there is an option to enter the bank date. Tally will show two balances in reconciliation statement. The Balance as per company books. And amount not reflected in Bank, and Balance as per Bank.
Whatever voucher entries you make (Payment/Receipt/Contra etc) will be reflected in Balance as per company books. For whatever vouchers you make BSR entry will be shown in Balance as per bank. The difference between the two is given as Amount not reflected in Bank.
We will see this with the following examples and screen shots.
Now will go to Display menu -> Accounts Books -> Ledger -> State bank of India. Then Click Reconcile button on the right hand side. (Short cut : F5).
Now the Balance as per company books is Rs. 1000 Amounts not reflected in Bank is Rs.1000 Balance as per Bank is Rs.0 I gave the check on 11.june.10. If the check clears on 13.june.10 i give that date under Bank Date column. Now the Bank account will tally
