Procurement Process Automation: Solution On Mobile Technology

Goal
 
Intend of this entire exercise to propose an electronic mechanism to department to automate the entire
procurement process.

1. Automation of Data digitization at procurement center


2. Creating and Managing Farmer Database
3. Electronic receipt printing to Farmers for all their transaction
4. Data management at central server
5. MIS Reports to help taking decisions at central level
Solution Architecture
With the proposed solution day to day transaction can be checked,
viewed on one click which would help in better management of the
procurement and selling process. This software will generate the MIS
reports, Stock reports zone wise & lots of other reports which will help
in making the appropriate business strategy.

The application has following key modules.


 
•Login
•Creating and Managing farmer Database
•Data capturing for transactions related to collection of cotton
•Printing of receipts
Login: The system has capacity to create the users and has inbuilt
features to validate the credentials of the users before he log’s in the
system. The user will be provided with a Login Id and Password which
upon supply will allow the user to
login in the system.

Upon success full login, we show the credentials of the user
related to
the specific zone which is non editable by the users.

After the user login in the system, the proposed solution will give following
option
to the users.

•Create Farmer ( If the farmer is new)


•Do transaction

Data entry screen for farmer creation Data entry screen for Procurement process
Data Entry screen for collection: When the vehicle loaded with item arrives
at procurement center, the following screen provides the input interface to
capture the data needed for further processes.
Reports: After the collection is over, the record is added in the list format
date wise which can be retrieved as needed for monitoring and printing purposes

The acknowledgment receipts with all relevant information desired can be


printed using Bluetooth enabled printer in duplicate / triplicate format.
Achievement

•This process will reduce the Manual entry & Multiple places
and subsequent errors due to that
•This would provide real time status of the procurement
•this would help is business forecasting
•MIS report would actually help in finding profit centers
• Stock management
