The Master files


 The master files contain all the necessary information in order to run the Hotel Management
System. These includes rooms, business source, charge type, countries, id type, payment type,
rate type, room status, room type, and vehicles.

 To access the master files open the Hotel Management application and click on the monitoring
menu.

 Double click rooms from the Quick Launch list and double click room number to open check in
form as shown below

 Edit necessary field and click Check In.

Adding/Editing of Rooms

In order to add reservation or to check in guest you need to encode first the room number. This can be
done by using the “Rooms” master files which can be access using the instruction from the previous slide.

To access rooms click on the monitoring menu and then click rooms.

Open the reservation list from the monitoring menu and double click guest name.
Edit neccessary information as shown below.

Now click the check in button. Information will automatically updated at the rooms window.

Posting charges
 

To post the final charges for guest open the guest record and click the check out button as shown below.
 

Click the Amount Paid to open the payment form.


Click check out after the balance reaches zero (0.00).

Enter the Amount at the Amount Paid textbox and click add button. Click close afterward.
