Special Event Evaluation


1) Event Information

Name: Wheelchair Tennis Clinic for Everyone


o Date: April 2, 2016
o Time: 9am- 4 pm
o Venue: A wheelchair tennis clinic
o Organizer(s) of the event: Shane Crnkovich and Laura Rew with
Ability First Sports
How long were you at the event? We expected to be there from 9am 4
pm but the heat only allowed us to be there from 9am - 2:45 pm until we
had to wrap things up.
Brief description of the event :
o For our Event we wanted to promote inclusion and equality through
the wheelchair tennis as a recreational opportunity for all people of
various ages and previous ability levels. We both do not have very
much history dealing with the creation of an event so we worked
with Ability First sports and their population. Our target audience
was at first anyone but working with Ability first started to focus
more on people with developmental disabilities. Our program
included an icebreaker, warm-ups and drills, lunch, tennis games,
and prizes to give away during the learning and playing wheelchair
tennis in an inclusive environment together. For marketing we
sought the help from our classmates and posted fliers around town
we had made. For sponsorships we were able to secure donations
from Woodstock's Pizza, Shubert's Ice Cream, and the Chico State
Bookstore with everything else provided by Ability First Sports.

2) Goals of the Special Event


The goals for our event include:
Improve attitudes
Create open-mindedness
Reduce stress

Increase motivation
Learn new things

The goals for our event did not change. We wanted to focus on the participants
and give them a great event, and that was our main focus from the beginning.
3) Observations

Overall quality of program - To what extent did co-managers strive for


excellence? The co-managers helped us through the day as we needed
without babying us either. The coaches knew we had a plan for the day
and let us orchestrate the event but also gave their experiential expertise
when we needed it.

Communication with co-manager We mostly talked over phone,


emailed or texted. Devon was fairly good with getting back to us but he
was very busy the few weeks before the event which at those crucial last
few weeks to prepare, the lack of communication wasnt the best for us
heading towards the event date

Communication with vendors Woodstock's Pizza was secured by


Laura who works there. Shuberts Ice Cream and Chico State Bookstore
were also secured by soliciting donations around downtown Chico.

Communication with agency supervisor and instructor


Communication was efficient and informative by being able to meet us
almost whenever we needed. We gave our Agency the Program
Description at least a month in advance so they could assure we could do
the things we planned and had the resources and materials to provide to
us to put on this type of clinic.

Creativity/resourcefulness Although we mostly copied the idea of


wheelchair tennis clinic given to us by our agency we created the time-line
of the day and activities to work with the type of even we ended up having
on our day. During our prize court we needed to adapt to the actual
abilities and change the way we wanted to give out prizes on the spot. We
ended the day using the tennis racquets as hockey sticks improvising a

game of hockey with the tennis ball as a puck that ended up being very
participant friendly.

Professionalism They were professional the whole time making the


event with us. They assured and made us confident that they were well
ventured in the sport event days and running them successfully the whole
time. During the event we felt the knowledge of the Ability First coaches to
fall back on if needed and overwhelmed but they also didn't give us too
much help at times when they knew we were more than capable of
handling the situations arising at our event while coaching us through the
leading we were doing.

Organization Organization was good in getting things done on their


part in a timely manner so we could continue in the event creating
process.

Adaptability We changed the way the day went as it went. We realized


that the abilities were less than ideal for a full level wheelchair tennis clinic
so adapting to what the participants were able to do was understood by all
and made easy to adapt to these changes.

Time management Time management was fairly good meeting were


held almost once a week and assignments were completed on time.
Donations and securing volunteers could have been more well managed in
regards to time.

Attitude Co-managers were very well at giving a positive attitude


throughout the day. The sun was getting to everyone and we knew that
getting all the things we wanted to get done in our plans wasn't going to
happen without really pushing our participants so changes to the day
ended up following with time to figure which direction to take things. This
was responded to well by co-managers and we all figured out where to
take things with Shane and Laura taking the most initiative.

4) Your Analysis based on your Observation

Relative to our goals, our event was a success. We were able to improve
the attitudes of every participant within the first hour of our event. The
participants had a great time learning new things about tennis, and
learning how to play tennis hockey. We were able to create openmindedness throughout our event as well. We could see that the
participants wanted to learn and that they wanted to be there. Additionally,
we could see that stress was reduced and motivation was increased.
Everyone had a great time from beginning to end.

Four specific things that we learned from this event are as follows:
1. We learned that planning early is very important. This includes
getting donations and sponsorships. A lot of businesses required a
month or more prior to our event date in order to provide resources
for us. Luckily we were still able to get donations from various
businesses.
2. We learned that when people say they will probably be there to
help volunteer at our event, it usually means no. We had ten or
more people say they would come help, and out of those ten people
only three really came through for us.
3. We learned that making fliers and putting them up is important. We
did get fliers posted weeks before our event, however they did not
seem to help us. We think that if the fliers were more visually
appealing people would be more inclined to come. For instance,
we could have had color, pictures, and fewer words on our fliers.
4. We learned that you really need to over-plan for an event and be
really organized. There were times when we did not have all of our
ducks in a row so to speak. However, we were successful at
organizing last minute when we needed to, but learning that overplanning is necessary after the fact did not do us any justice.

To make our event better we would have done the above four points. We
would have attempted to receive donations more than a month in advance
to ensure that we had adequate prizes for our participants. We would have
also liked to have more volunteers and participants, but as we learned it is
difficult to get people to fully commit and mean it. We also would have
designed our fliers differently, and we would have put them up in more
areas around Chico. Furthermore, organize is key and we learned this the
hard way. We would have over planned and over organizing knowing how
necessary it is to do so.

5) Participant Attendance

In order to count the number of participants at our event, we would give


each participant a nametag as they arrived. We would write their names
on a sticky nametag for them and ask them to place them on their shirts in
a visible area. This would help us keep a tally of the people in attendance,
and would additionally help us learn each other names.

We had fifteen people total at our event.
