Please read the following scenarios and write suitable messages which respond to each.
Messages 1 - 5 are for readers form low-context cultures. Be sure to select the correct Genre
and use appropriate Registers.
4. Farzana Lawson, a hardworking bank teller, has sent a request asking that the company
create a program to reimburse the tuition and book expenses for employees taking college
courses. Although some companies have such a program, CityCom Bank has not felt that it
could indulge in such an expensive employee perk. Moreover, the CEO is not convinced that
companies see any direct benefit from such programs. Employees improve their educational
credentials and skills, but what is to keep them from moving that education and those skill sets
to other employers? CityCom Bank has over 200 employees. If even a fraction of them started
classes, the company could see a huge bill for the cost of tuition and books. Because the bank
is facing stiff competition and its profits are sinking, the expense of such a program is out of
the question. In addition, it would involve administration—applications, monitoring, and record
keeping. It is just too much of a hassle. When employees were hard to hire and retain,
companies had to offer employment perks. But with a soft economy, such inducements are
unnecessary.
‘As director of Human Resources, send an individual response to Farzana Lawson. The answer
is a definite no, but you want to soften the blow and retain the loyalty of this conscientious
employee.
2. You are the assistant human resource manager for a small insurance company whose tertitory
includes your province and three other provinces. Your company has recently revamped its.
retirement and employment benefits packages, and you haye been assigned the task of
communicating these changes to all employees.
Since some of the changes are complex, you will be traveling to four sites in your region to
meet with the company's agents and their personnel. You need to arrange hotel
accommodations for the personnel at each of the sites, and you will need a meeting room with
a screen and equipment for projecting your PowerPoint slideshow.
Since the company has had a very good year, management wants the employees to enjoy
their stay at the hotels. So, you also need to inquire into the recreational facilities available.
Write a letter of inquiry to the Hote! Intercontinental in a major city in one of the provinces in
which your company operates. The letter should elicit the information you will need to decide if
the hotel is the right one for your meeting. Make it clear that you will be looking at other hotels,
seeking the best rate for services required
3. After working a few years, you would like to extend your college education on a part-time
basis. You know that your education can benefit your employer, but you can't really afford the
fees for tuition and books. You have heard that many companies offer reimbursement for fees
and books when employees complete approved courses with a grade of C or higher.
Think about how to persuade your boss to start a tuition/books reimbursement program. How
could such a program help the employer? Remember that the most successful requests helpreceivers see what's in it for them. What objections might your employer raise? How can you
counter them? After thinking, write a memo to your boss (for a company where you now work
or one with which you are familiar). Persuade her or him to act on your action request.
|. As one of the managers of Capri, a hair care and skin products company, you are alarmed at a
newspaper article you just saw. A stockbroker for Morgan Stanley Smith Barney was making
cold calls on his personal cell phone while driving His car hit and killed a motorcyclist. The
brokerage firm was sued and accused of contributing to an accident by encouraging
employees to use cell phones while driving. To avoid the risk of paying huge damages
awarded by an emotional jury, the brokerage firm offered the victim's family a $500,000
settlement.
You begin to worry, knowing that your company has provided its 75 sales representatives with
cell phones to help them keep in touch with the home base while they are in the field. You are
also wortied about texting while driving. At the next management meeting, other members
agree that you should draft a message detailing some cell phone safety rules for your sales
Teps. On the Web you learn several tips: Anyone with a cell phone should get to know its
features, including speed dial, automatic memory, and redial. Another suggestion involves
using a hands-free device. (Management members decide to purchase these for every sales
rep and have the devices available within one month.) You also learn that cell phones in cars
should be within easy reach so drivers can grab them without removing their eyes from the
road. If they get an incoming call at an inconvenient time, they should allow their voice mail to.
pick up the call. They should never talk, of course, during hazardous driving conditions, such
as rain, sleet, snow, and ice.
“Texting while driving is totally out of the question! In addition, taking notes or looking up phone
numbers is also dangerous. The more you think about it, the more you think that sales reps
should not use their cell phones while the car is moving. They really should pull over. But you
know that would be hard to enforce
Write a memo or e-mail to Capri sales reps outlining company suggestions (or should they be
ules?) for the safe use of wireless devices in cars. You may wish to check the Web for
additional safety ideas. Try to suggest reader benefits in this message. How is safety beneficial
to the sales reps? The message is from you acting as operations manager,
You are sales manager for a furniture manufacturer and have just received a strongly worded
claim letter from Nobby Collon, who owns a large hotel in a nearby city. Mr. Collon has been
refurbishing his hotel and had placed a special order with you for 115 headboards to fit
specifications he sent.
He ordered headboards an inch and a half narrower than conventional double-bed size. He
also specified a finish different from that normally used in this grade of headboard. Finally, he
wanted his hotel’s logo imprinted on each headboard. You completed this order and shipped it
to him about a week ago,
He ordered the mattresses directly from a manufacturer that has since gone out of business.
They did, however, deliver his mattresses before going bankrupt, just a week before your
headboards arrived. The problem is that all these mattresse’s were manufactured in the
conventional dimensions, rather than the narrower ones for which the headboards were
designed.Collon is asking you to take back the current shipment and either change the dimensions to fit
the conventional mattresses or to send a different set (which would, of course, have the finish
he specified and his hotel's logo on them).
Obviously, you cannot comply with his request. Write an appropriate strategic claim refusal. Of
course, the facts are on your side—he ordered the headboards in the size and finish that he
received. However, the challenge is to tell him so without lecturing or using negatives. If you do
choose to alter the headboards in the original order, feel free to do so—but be sure to charge
him.
6. Compose a persuasive sales letter promoting the MBA program at AUAF. The letters are
intended for executives and decision makers in business entities in Afghanistan and your aim
is to persuade them to fund some of their appropriately qualified employees through the MBA
program at AUAF. At the very least you should persuade these employers to have a meeting
with the MBA program director to discuss options for individual/group discounts and/or funding
opportunities from external funding organizations.
However, as some these executives may be from either a high or low context cultures you will
need to write two versions of the letter - one for a high context audience and one for a low
context audience. In each letter use a Genre and Register appropriate to either high/low
contexts cultures to convince these readers of the benefits of the MBA program and how
having MBA qualified employees in their companies may help their company in the future.
Please use an appropriate format for each message. Make sure you combine all 7 messages
into one word document. However, also make sure each message begins on a new page. You
may add letter headers and use other methods fo make each inessage visually appealing. The
